THE HISTORY AND EVOLUTION OF POWERPOINT

On April 20, 1987, the first version of PowerPoint was released. Since then, 95% of presentations are created
with it, 30 Million presentations are given daily, and 500 million people use it. This article focuses on its origins,
history, and use cases, as well as the development of different versions (except for version 13 due to

PowerPoint presentation:
 Keep it simple: A popular rule of thumb is to have no more than 5 (+/- 2) points on a slide. A more useful rule
of thumb may be to have no more than 1 idea per slide1. This helps to keep the audience from feeling
overwhelmed and makes it easier for them to follow along.
 Use the 5/5/5 rule: To keep your audience from feeling overwhelmed, you should keep the text on each slide
to no more than 5 bullet points, with no more than 5 words per bullet point, and no more than 5 text-heavy
slides in a row2.
 Use visuals: Use images, charts, and graphs to help illustrate your points and break up the text. This can
help to keep the audience engaged and make the presentation more interesting2.
 Stick to one concept per slide: Each slide should address a single concept rather than trying to connect the
dots across multiple data points, trends, or ideas. While it’s fine to build on previous slide data as you go, each
slide should be self-contained3.
 Use consistent formatting: Use a consistent font, color scheme, and layout throughout the presentation.
This can help to make the presentation look more professional and polished.

Features of MS PowerPoint
FEATURES OF MICROSOFTS POWERPOINT
There are multiple features that are available in MS PowerPoint which can customize and optimize a
presentation. The same have been discussed below:
1. Home- The home tab holds the Cut and Paste features, Font and Paragraph options, and what you need to add
and organize slides.

2.Slide Layout- multiple options and layouts are available based on which a presentation can be created. This option
is available under the “Home” section and one can select from the multiple layout options provided.

3. Insert – Clipart, Video, Audio, etc.-under the “Insert” category, multiple options are available where one can
choose what feature they want to insert in their presentation. This may include images, audio, video, header, footer,
symbols, shapes, etc.

4. Slide Design- MS PowerPoint has various themes using which background colour and designs or textures can be
added to a slide. This makes the presentation more colourful and attracts the attention of the people looking at it.
This feature can be added using the “Design” category mentioned on the homepage of MS PowerPoint. Although
there are existing design templates available, in case someone wants to add some new texture or colour, the option to
customize the design is also available. Apart from this, slide designs can also be downloaded online.

5. Transitions- set up how your slides change from one to the next on the Transitions Tab. Find a gallery of the
possible transitions in the Transition to This Slide group – click More button at the side of the gallery to see all of them.

as opening, saving, sharing, exporting, printing and managing your presentation. Click the File tab to open a new view
called the Backstage.
11. Tools tabs- when you click some parts of your slides, such as pictures, shapes, SmartArt or text boxes, you might
see a colorful new tab appear

In the example above, the Drawing Tools tab appears when you click a shape or text box. When you click a picture,
the Picture Tools tab appears. Other such tabs include SmartArt Tools, Chart Tools, Table Tools and Video Tools.
These tabs disappear or change when you click something else in your presentation.
Apart from all these options; font size, font style, font colour, word art, date and time, etc. can also be added to a PPT.
DIFFERENT PARTS OF POWERPOINT WINDOW AND ITS FUCTION

PowerPoint window below as we tackle the definitions and functions as we go along.
Ribbon-The Ribbon is the primary interface for accessing tools and commands in PowerPoint. It consists of the
following components.
 Tabs – They are located at the top section below the title bar and contain groups of related commands.
Specifically, it includes File, Home, Insert, Design, Transitions, Animation, Slide Show, Review, View, and
Help menus.
 Groups – Groups are the combination of organized related commands. Each group name appears below the
group section.
 Commands – They are the predefined instructions of the executable program. It exists in the form of Icons in
the ribbon, for instance, a group of Slides that contains New Slide, Layout, Reset, Section, etc.
Quick Access Toolbar-This Quick Access Toolbar is a customizable toolbar that provides quick access to frequently
used commands.
File Tab-This File menu bar performs file related operations such as creating a new presentation, opening an existing
file, save, save as, printing the file, and so on.
Title Bar-The header or title bar of the presentation is located at the top of the window. It presents the name of the
active presentation.
Slide Area-This is the main area of the PowerPoint window where slides are displayed and edited.
Control Buttons- The icon in the top left corner is known as the control menu and the three buttons in the top right
hand corner provide shortcuts for commands on this menu.
 Minimize- Document is reduced to a small icon within word.
 Maximize – Document is increased to fill the whole application window. When the window is maximized this
button change to restore.
 Close- closes the active documents.
Slide Tab-The Slide thumbnail pane is a column on the left corner of the PowerPoint window that displays small
images of the slides in the presentation. You can use the thumbnail pane to quickly navigate to different slides in the
presentation.
Zoom Options- the zoom control lets you zoom in for a closer look at the text. The zoom control consists of a slider
that you can click on the – and + buttons to increase or decrease the zoom factor. (the minimum zoom support is 10%
and maximum zoom support is 400%)
Slide Views Buttons-They are the four view buttons on the left of Zoom control contain a series of icons. It allows you
to change the PowerPoint views.
 Normal view – This is the presentation’s normal view, with the slide sheet on the right and slide thumbnails on
the left. This view allows you to select and rearrange the working slides.
 Slide Sorter view – It shows all of the slides in a tabular format. Only the slides can be arranged in this view.
 Reading View −This window will allow you to carefully read the slide. You cannot, however, make any
changes.
 Slide Show View – This displays all of the slides, as well as any animations and sounds you’ve added to the
presentation.
Notes Pane/Slide Notes-This is a section below the slide area where you can add notes to accompany each slide.
The notes are not visible during the presentation, but they can be printed as a speaker’s guide.
Status Bar-This is the status bar at the bottom of the screen of the PowerPoint window that displays information
about the current slide, such as the page number and slide status.

USES OF POWERPOINT PRESENTATION


PowerPoint presentations are useful for both personal and professional usage. Given below are a few of the major
fields where PPT is extremely useful:
 Education – With e-learning and smart classes being chosen as a common mode of education today,
PowerPoint presentations can help in making education more interactive and attract students towards the
modified version of studying.
 Marketing – In the field of marketing, PowerPoint presentations can be extremely important. Using graphs
and charts, numbers can be shown more evidently and clearly which may be ignored by the viewer if being
read.
 Business – To invite investors or to show the increase or decrease in profits, MS PowerPoint can be used.
 Creating Resumes – Digital resumes can be formed using MS PowerPoint. Different patterns, photograph,
etc. can be added to the resume.
 Depicting Growth – Since both graphics and text can be added in a presentation, depicting the growth of a
