Kick-off
The kick-off is the first stage in the BOS process, formerly known as the “BOS Roadmap.” The Kick-off is a
process in itself, where the OMT and UNCT need to discuss the scope of the BOS, the timeline of BOS design and
implementation, as well as commitment and engagement, etc., after which the UNCT agrees on the basic needs
for common services and formally initiates the BOS process.

Navigate to the BOS Portal: https://bos.undp.org/bos/ and log into the system using your user credentials:

Upon accessing the system, you will automatically land in the country of your duty station. At the top of your
screen you will see a Navigation Bar, where you click on Kick-off:

Please note that the Kick-off is only accessible to the OMT Chair and the UN RC.

The Kick-off menu has 4 areas to upload information – Kick-off info, Participating Agnecies, Accountability
Framework, and BOS Documents – as follows:

Kick-off info
As previously mentioned, only the OMT
chair or RC can access the Kick-Off phase in
the system – since only they are allowed to
formally kick-off the BOS process in the
platform.

Please select a start date of your BOS


process. Please note that, if necessary, this
date can later be changed before submitting
the BOS for Quality Assurance.

Those OMTs that are transitioning an


existing BOS framework to the platform,
should use the dates as indicated in their
paper-based BOS document.

Please select a BOS review date – you can


pick any date within 12 – 18 months from
the initial start date given above.

Assign an initiator of the BOS and add a


short narrative in the text box. You will be
able to revise this narrative before
submitting the BOS for Quality Assurance.

Saving your Data
When opening the Kick-Off stage for the first time, and
after having filled in the BOS Start Date, BOS Review
and Initiator as above, click on Initiate BOS. You can do
this even without formal UNCT endorsement, as the
system will allow you to go back and modify the dates
and other inputs.

Once you have initiated the BOS in the system, leave the
Kick-Off stage by selecting any other stage at the top
bar. Then go back into the Kick-Off stage, where you
will see that the Initiate BOS button has now changed
into Save.

You can now proceed with filling in the Participating


Agencies and Accountability Framework.

Participating Agencies
Use the drop-down menu to add agencies participating
in the BOS one-by-one.

There is also a link to add multiple agencies in one go.

Please note that “UN“ in the drop-down menu may


represent several UN Secretariat entities, including:

- DCO/ RC / RCO staff


- DSS
- OHCHR
- DRR (Disaster Risk Reduction)
- OIOS

UNEP, UN Habitat are listed separately in the drop-down


menu, as are UN Peace Operations (for political and
peace keeping missions), and UN RECs and OaHs (i.e. UN
Regional Commissions UN Offices away from HQ).

Accountability Framework
Select the role from the accountability
framework to add the team members.
At the top you will see 8 buttons:

• RC
• OMT Chair
• UNCT
• OMT Members
• OMT WG
• Quality Assurance
• Other
• View All

Click on the appropriate button to fill in the fields in the box


given on the right. Fields marked with an Asterix (*) are
required.

The RC and OMT Chair roles are highlighted in red as a


mandatory requirement to activate the Kick-off process in the
system. There can be only one RC, but you can add multiple
OMT Chairs.

Make sure all the BOS stakeholder agencies are added to the
Participating Agencies section.

BOS Documents
This is where you will upload Meeting Minutes in evidence
of the UNCT formally endorsing the BOS process.

OMTs with an active BOS should upload their existing BOS


here.

Simply click on Upload New.

Double-Check
To make sure you have completed all elements in the Kick-off stage, please navigate to the footer menu bar at
the bottom of your screen, and click on Progress:

Here you will see all the BOS process steps: Kick-off, Stock-take, Opportunity Analysis, Cost-Benefit Analysis,
Results Framework, Implementation Plan, and Sign-Off.

Select Kick-off and review all elements. Yellow colored elements still need to be completed; green means
completed:
