Guidance on 

Inventory of Devices

 
Asset Type Select the type of asset based on the drop down list (e.g Desktop, Laptop, etc)

Location of asset Specify the location of asset based on the drop down list (e.g. Office, Bilik Komputer/ Computer Lab)
Specify the brand for each asset (e.g. Acer, Dell, etc.). Please select 'Custom/ Build' for devices that
have no proper brand.
Brand

Quick tips: You may navigate to System Information of the asset to view this information.

Asset Brand (others) If 'Others' is selected, please specify the brand here

For each asset, specify the model (e.g. Aspire One D270, Aspire C20-720, etc.). 

Model & Number 

Quick tips: You may navigate to the System Information of the asset to view this information.

Specify the type of ownership of the asset. The definitions of each dropdown are listed below:

 Government Assets: Assets that have been purchased and/or contributions that have
been registered as government assets in the specified systems
 Lease-to-use (LTU) (Sewa Guna) : Assets that have been leased to the site based on
contractual agreement from/managed by the Government for use only. It has a lease
period.
Ownership Type  Lease-to-own (LTO)  (Sewa Beli) : Assets that have been leased to the site based on
contractual agreement from/managed by the Government and with the option to purchase
upon expiry of lease period.
 Contributed by external parties, however not registered as Government
asset:   Assets that have been contributed by external parties (e.g. PIBG, Lembaga,
NGOs, etc.) to the site and have not been registered as Government assets.

Quick tips: For assets that are contributed by external parties ("sumbangan") but have been
registered as assets on KEWPA, this falls under the Government Asset category

Lease Expiry (year)  For assets that are LTU and LTO, please state the lease expiry year (e.g. 2026)

Quantity Specify the total quantity of assets with similar specifications & status
Asset Condition For each asset, select from the drop down list if the asset is in good conditon or faulty.

Quick tips: 

 Asset is in good condition if it is able to perform its function (e.g. Able to turn on,
able to browse the web, perform any adminstrative/ studies related work, etc.)
 Asset is considered faulty if there are some errors or issues faced when in use (e.g.
screen is blank, computer won't start, windows doesn't boot, screen is frozen, etc.)

Guidance on Inventory of Devices

For each asset, select from the drop down list if the asset is currently in use or not in use. If you are

unable to confirm this, please select "Not Sure".
Specify whether the asset has been tagged to be disposed (pelupusan). If the asset is still in use, please

select "N/A - asset is still in use".

For each asset, specify if it is still In Warranty or Out of Warranty. If you are unable to confirm this, please

select "Not Sure."

For each asset, specify if it has reached End of Life (EOL) or End of Support (EOS) status. If you are
unable to confirm this, please select "Not Sure".

EOL / EOS
End of Life / End of Service : Equipment that is no longer supported by the service
provider/vendor/manufacturer for maintenance services as well as any patching or bug fixes. In some
cases it is no longer produced in the market.

For each asset, specify the Operating System (e.g. Microsoft Windows 11 Home, Microsoft Windows 7
Professional, etc.) installed for the asset in use.

Quick tips: You may navigate to System Information of the asset to view this information.

For each asset, specify if the OS license installed is genuine. If you are unable to confirm this, please
select "Not Sure".

  Quick tips: You may view the Activation Status for Desktop Computer & Laptop:

Genuine OS Installed
 For Windows 8 and below, you may navigate to Start > Control Panel > System and
Security > System.
 For Windows 10 and above, you may navigate to Start > Settings > Update & Security >
Activation.

For each asset, specify the memory capacity (RAM) (e.g. 8 GB) available for the asset.

Quick tips: You may refer to the System Information of the asset to view this information.

Storage Capacity (GB) For each asset, specify the storage capacity (e.g. 500GB) available for the asset.

For each asset, specify the browser installed (e.g. Google Chrome, Mozilla Firefox) that is commonly

used for the asset.
For the browser selected, specify the version (e.g. v102.0.5005.63) of the browser currently installed.

Quick tips: You may navigate to Control Panel > Programs > Programs and Features of your asset
to view the browser version.
For each asset, specify the Office Productivity tool installed/ commonly used (e.g. Microsoft Office 365,
Microsoft Office Pro Plus 2016, LibreOffice 7.3.3, etc.).
Office Productivity Name
Quick tips: You may navigate to Control Panel > Programs > Programs and Features of your asset
to view the Office Productivity tool installed.
Genuine Office Productivity For the Office Productivity tool selected, specify if the validity of the Office Productivity software
Software Installed installed (e.g. Active, Inactive).
For each asset, specify the Antivirus installed (e.g. Trend Micro Security, Smadav) or select the "No
Antivirus Name
antivirus is installed" dropdown if there is none installed.
For the Antivirus selected, specify the validity of the Antivirus selected (e.g. Active (Paid), Active
Antivirus Validity
(Free), etc.).
