1.1 INTRODUCTION:

The working environment plays a significant role in influencing employees'


performance, according to Chandrasekar (2019). It can have both positive and negative
impacts on employees' performance. Given that individuals spend a substantial portion of
their lives in indoor environments, these environments have a profound influence on
their mental well-being, behavior, abilities, and overall performance (Dorgan, 2014).
Creating a better workplace environment is believed to lead to improved outcomes and
increased productivity. A well-designed physical office environment has the potential to
boost employees' morale and ultimately enhance their productivity. Numerous studies
focusing on various offices and office buildings have highlighted the importance of
factors such as employee dissatisfaction, cluttered workspaces, and the overall physical
environment in contributing to a decline in productivity among employees (Carnevale,
2012; Clements-Croome, 2017).

The environment in which we work can have a significant impact on our


productivity, with factors such as the time, place, and method of work all playing a role.
As we pursue career development opportunities, it is important to seek out environments
that are comfortable and promote success, while also aligning with our core values. This
means considering factors such as the physical space in which we work, the flexibility of
our schedules, and the culture of the workplace. By prioritizing a positive and supportive
work environment, we can not only enhance our own productivity but also find greater
job satisfaction and fulfillment. Ultimately, our working environment is a key element of
our career success and personal well-being, and it's up to us to make intentional choices
that promote both.

The term "working environment" refers to all the external elements that can
impact an organization or institution, including its daily operations. This encompasses a
wide range of factors, such as the economic, social, political, and institutional conditions
in which the organization operates. It also includes the climate or set of conditions that
affect the organization's business operations. In other words, the working environment is
the sum of all the external factors that can influence an organization's success or failure.
As such, it's essential for organizations to carefully consider their working environment
and take steps to manage it in a way that promotes productivity, sustainability, and

a. Physical Environment:

Physical conditions under which employees are working play a very important
role in all the senses. Few features aspects are-

 Size- The size of the working area can have a significant impact on an
individual's ability to perform their job effectively. When the size of the working
area is appropriate, it can provide everything needed to fulfill responsibilities and
accomplish tasks efficiently. This is because having enough space allows
individuals to organize their work area and access necessary tools and resources
quickly and easily. Conversely, if the working area is too small or cramped, it can
create a sense of disorganization and limit the ability to work efficiently. In
addition, a lack of space can make it difficult to store equipment and materials,
leading to clutter and potentially unsafe working conditions. Therefore, it's
important for individuals and organizations to ensure that the size of the working
area is adequate and optimized to support optimal performance and productivity.

 Layout- We are focused on Educational Institutes in our research so for that


layout would be according to students as well for teachers too so they have
separate place for doing Rectifications, Planning & Other related things.

 Furnishing- Workplace furniture such as desks, chairs, and conference tables can
have a significant impact on employee productivity and well-being. Access to
comfortable and functional furniture is essential to maintain efficiency in indoor
workplaces. This includes adequate seating and clean workspaces that are free
from clutter and distractions. Additionally, having functional desks that meet the
needs of employees can support productivity and job satisfaction. In outdoor

workplaces, comfortable furniture for break times can provide a much-needed


respite for employees, helping them recharge and maintain focus throughout the
day. By prioritizing comfortable and functional furniture in both indoor and
outdoor workplaces, organizations can support the well-being and productivity of
their employees, ultimately leading to better outcomes for both employees and the
organization as a whole.

 Equipment’s-In education institutions Projectors, Labs, Conference Rooms,


Activity Rooms & else few organizations

 Facilities- It can be Physical and Mental health as after giving every lecture
educators need some break too for better outcomes so for that interval of time is
important in between the regular.

 Location-Few role predominately perform jobs inside and some spend half of
the time outside and some have mixture of both inside and outdoor jobs.

b. Organization/Institution Culture:

The beliefs and goals of an organization or institution can play a significant role
in an individual's comfort level in the workplace. When an individual's personal values
and goals align with those of their employer, they are more likely to feel fulfilled and
satisfied with their work. Conversely, if there is a misalignment between an individual's
personal values and the values of their employer, this can lead to discomfort,

the organization's mission and values, their approach to management and leadership, and

Few significant elements-

 Code of Conduct- Many organizations and institutions provide formal codes of


conduct or guidelines to their employees, outlining the expected norms and
behaviors in the workplace. These codes of conduct typically cover a wide range
of topics, including professional conduct, workplace safety, and ethical behavior.
Those are how to perform task, Communication panels, Leaders & Mangers.

 Encouragement and development- Few of the seniors directly celebrate


employees’ success and give positive feedback but have appropriate panel on
upper level who observes everything take proper time and then give feedback on
the employees’ performance.

 Organization/Institution Mission Statement- The mission statement of an


organization or institution is a set of values and goals that guide its work and
define its purpose. Although the mission statement may not be discussed on a
daily basis, it serves as a foundation for the tasks and goals assigned to
employees. Understanding an organization's mission statement can help
employees align their work with the organization's broader goals and values. This
alignment can lead to a greater sense of purpose and fulfillment in the workplace,
as employees feel that their work is contributing to something larger than
themselves. Additionally, a clear and compelling mission statement can help

goals and values. By prioritizing a strong mission statement, organizations can

c. Working Conditions

According to the business dictionary, working conditions refer to the overall


working environment and all the circumstances that impact employees in the workplace.
This includes factors such as job hours, physical aspects of the work environment, legal
rights and responsibilities, organizational culture, and training opportunities.
Understanding and improving working conditions can have a significant impact on
employee well-being, job satisfaction, and overall productivity. By creating a safe and
supportive physical environment, providing fair and reasonable job hours, and fostering a
positive organizational culture, employers can create a workplace that supports the
success and well-being of their employees. Additionally, offering training and
development opportunities can help employees enhance their skills and stay engaged in
their work, leading to better outcomes for both the individual and the organization as a

 Work Life harmony-The hours performs in a weeks and then get appropriate time for
family & other things or organizations will provide day off or flexible time schedules
for work. Few employers will encourage overtime of working to complete the task by
the deadline in this kind of work culture it’s quite complicate to balance work &
personal life.
 Terms of Employment-In few organizations it is clearly mentioned in addition to set
hours it is applied on all types of employment whether it is Temporary, Contractual
or Permanent. To promote work-life balance, employers may offer additional benefits
and paid time off stipulations.
 Workplace Health & Safety-It is a national mandate for workplace safety regulations
to be displayed in public spaces so that all employees can understand them, and it is
important for organizations to comply with this regulation.
 Healthy Lifestyles-Organizations are also took active part in employees fitness &
health so they kept on taking stocks of proper snacks along with partnership with
some gyms or fitness centre.
d. Positive Workplace Culture
Creating a successful team requires emotional, intellectual, and physical support
from the organization, and even small efforts can have a positive impact by making
employees feel valued rather than like mere workhorses..
 Prioritize on boarding and Training-When any of the employees join organization
that first day should be the one boarding where they have time to meet & greet
everyone, learn about organizations infra, basic day to day work related areas. During
an employee's first two weeks, it is crucial to establish a positive work environment,
and Katie Burk suggests using communication tools like Slack to guide and remind
employees of why they joined the organization during their training period.
 Aid your employees in developing a comfortable work atmosphere-In March 2020,
we had to suddenly adopt the WFH (Work from Home) setup, and during that time,
allowing employees to work according to their convenience, such as from their
kitchen tables, made them feel more empowered and confident, ultimately leading to
better output. It is clearly shown that when employees feel more comfortable
environment they work at their best of level. No one can do best work in disruptive
environment.

 Hybrid Workplace-If your employees are regularly working in a physical space, it's
important to prioritize creating a comfortable and productive environment by
including ergonomic furniture and temperature regulation; features such as adjustable
standing desks and well-positioned computer screens can not only alleviate physical
discomfort but also impact emotional well-being and increase focus.

 Virtual workplaces-In it staff is working remotely which can be from home or from
anywhere. Consider offering a home office allowance and self-evaluation for remote
employees working full-time from home.

1.2 WORKING ENVIRONMENT IN EDUCATION SECTOR:

Workplace environment, that atmosphere where we permeate the organization /


institutes and we all are participating in aspect to perform our jobs. It’s not an objective
thing that everyone can judge or observe at the same level but it is the individual
employee experience. The working environment is completely depends on the
employees & the upper level management not only terms of work but in terms of all
other factors too.

Working environment is something we can’t touch but we all can feel because of
few reasons related with work culture, composed work space, interpersonal
relationships, work methodology, time. That’s why that doesn’t even matter that you are
working from home or Physical space that environment will go beyond the four walls.
Working environment represents the study of an individual employee and the activities
tale place to satisfy their realized needs. In other words when any of the employees feel
any kind of lack in working environment that directly affects their work productivity.

A positive work environment is the place which encourages employees to attain


their goals focuses on their safety and promotes growth too. This kind of environment
will promote in work productivity and will help in create an efficient workforce. The key
to achieving a positive work environment in any organization is to focus on the work
culture, foster supportive behavior among employees, and make them feel safe and
comfortable.

Positive work environment will increase work output given by employees. As if


employees are well equipped and get appropriate support and appreciation from seniors

that will enhance their work output. It is also helpful in for their growth and help in
future at the time of appraisals and promotions.

Environment of workplace is quite a stressful factor nowadays as it will decrease


work productivity as employee’s mood and affection towards environment is directly
related with the other team members. When employee has a positive view their work it
will enhance their work quality as well. In order to comprehend a good working
environment, it is important to identify its common features through comparison or
analysis of the present and future situations. Highlighted are shown below:

 Productive atmosphere –

It simply means that the lack of distractions where employees can focus on the
work and give better outputs. The statement suggests that a stress-free work environment
can enhance employees' cognitive performance and physical well-being.

 Open and honest communication channels-

It is important to have a clear communication with each and every member of the
organization. By giving feedback on their performance either it’s satisfactory or need to
work on some factors etc. It will make them feel valued.

 Positive reinforcement-

It’s a way by employer praise or appreciates your good performance or particular task
that will motivate employees to keep up the good work. Employer has few ways to
encourage employees in a way:

Encouraging employees to step outside of their comfort zone and providing

quality or quantity of work. This facet of environment is important because it will how

 Good work –life balance-

A positive environment should have this key factor that is balance between work
life balances where employees will able to manage their personal & professional life
with equal balance. This will also ensure that employee will find the job satisfaction in
the same field without getting stressed at work and affecting productivity of work

Ways to enhance employee motivation and contentment:

 Creating a friendly atmosphere at work is crucial for promoting positivity in the


workplace.

 Employees are putting appreciable efforts on day to day basis but it is not possible
that they direct get feedback every time so it is important to convey honest feedback
and appreciate them so they get motivate and feel happy in putting more efforts.

 Encouraging feedback from team members is a method to create an inclusive


workplace and identify areas for growth in strategies and tactics, while having
everyone in the same room during strategy execution can make the process easier and
more efficient.

 Training is the key requirement for any new employee for knowing the work in
manner as it was done previously in the framework and also put in consideration of
time to time feedback from their seniors and if required change some training
patterns.

 Schedule weekly and monthly catch ups for knowing the growth and working of the
employee. The performance reviews can serve as a platform for employees to provide
written feedback and share their thoughts on their current position.

 Employee’s morale is the indication of their emotions, attitude, behavior and feelings
of the employees towards work place and Employee’s Job satisfaction directly is the
indication of their behavior, attitude and sense of responsibility towards work.
These are the key responsibilities of employer as well to take care of their employees
as much as they are concerned about the productivity from them.

1.3 HISTORY OF WORKING ENVIRONMENT IN EDUCATION SECTOR:

Keeping interest of the employees in mind researchers always try to present the
clear picture of work scenarios in front of the societies. Herzberg et al. (1959) developed
a motivation model that identifies two types of factors related to job satisfaction:
Hygiene Factors and Motivation Factors. Herzberg's Two-Factor Theory of Motivation
distinguishes between hygiene factors and motivational factors. Hygiene factors, such as
working conditions, job security, and salary, can cause dissatisfaction if they are not met,
but their presence does not necessarily lead to satisfaction. On the other hand,
motivational factors, such as opportunities for growth and recognition, lead to long-term
satisfaction and motivation.

Bakotic & Babic (2013) found that working conditions are an important factor for job
satisfaction, especially for workers who face difficult working conditions. Poor working
conditions can lead to employee dissatisfaction, which can have a negative impact on
their productivity. Therefore, it is the responsibility of management to take preventive
measures to improve working conditions for employees facing such difficulties, which
can increase their comfort level and lead to greater job satisfaction and productivity.

Enacted in 1977 and widely referred to by its acronym AML, this law is a
framework law to protect against workplace illness and accidents and to actively
promote the continuous improvement of working conditions. It superseded the Health
and Safety at Work Act 1949, which replaced the 1912 Act. Sweden's first general law
was the Protection against Occupational Hazards in Private Industry Act of 1889.
Occupational Health and Safety Law should be viewed in conjunction with other labor

laws and should be supplemented by detailed regulation of other legal forms (see
Occupational Health and Safety Law). This represents a special act within the meaning
of the Codetermination Act 1976. H. The Occupational Safety and Health Act is a
starting point for evaluating the physical and mental health of employees. This act is
used to ensure the safety and well-being of employees in the workplace. It is important
for employers to take preventative measures to ensure that the working conditions are
safe and healthy for employees to improve job satisfaction and productivity. In this
sense, it colors and shapes all individual employer-employee relationships and collective
employer-employee relationships. For example, remuneration systems are usually
primarily economic, profitability and equal treatment issues, and in these respects fall
under Code determination Act and Special Act on Equal Treatment and Protection from
Pay Discrimination. However, the Working Environment Law stipulates that the wage
system is one of the factors that shape the working environment. Forms of remuneration
such as piecework or commission payments may be inappropriate as they can increase
the risk of accidents, especially for work that is inherently risky such as in road transport.
It can also increase the risk of stress and have harmful psychological effects. Against this
background, the introduction of such a payment system may be prohibited if it is judged
to be clearly inappropriate in terms of security, even if it is an economic aspect.
