CORE QUESTIONS

Good Afternoon Everyone,

Introduction:

Sir first of all I am very thankful that you gave me a chance to appear here and express myself. My Name is
Waqas Ahmed. I joined PARCO as Trainee Engineer in 2009 and currently I am officiating as Group Head in

Give Some Examples of Cost Saving?

I along with my team have achieved significant cost saving for the company by performing major maintenance
or project activities in house. Like we in-house performed calibration of Interface Card of Gutor Battery
Charger at PS-3 for which OEM declared that it cannot be performed at site by PARCO Team and only their
qualified Engineer can do the job. However, we took initiative and successfully calibrated that interface card
and saved around Rs. 1.0 Million for Company.

I proposed idea and initiated replacement of conventional lights with LED Lights and we have phase wise
replaced lights at various PARCO & PAPCO Stations. Till date we have saved Rs. 31 Million in PARCO & Rs. 9.7
Million in PAPCO in terms of electricity bill.

I also proposed idea of installation of Dual Technology Occupancy Sensors in MPT & Non-MPT Hostel Rooms
and we have completed installation at PS-3 Station. We are saving approximately Rs. 2.0 Million every year.
Now it is being implemented in phases at other Stations as well.

In projects we have saved millions of rupees for company through in-house designing of projects and
preparing complete tender documents even for large scale projects. Like I can give you an example. We
initiated project of 132 kV Grid Station Extension at PS-2 & PS-4. We got quotation of Rs. 8.0 million from
ENAR for consultancy and designing complete Tender Document. However, we designed complete Tender
Document for that project and saved Rs. 8.0 million for Company.

I initiated idea for health assessment of Power & Distribution Transformer. Instead of simply going for
replacement based on age or number of years, we will decide repairing or replacement depending on existing
health of Transformer according to test results. This will save millions of rupees for Company.

I have many such other examples where I along with my team worked hard for saving for company.

MANAGEMENT RELATED QUESTIONS

What are your Strengths & Weaknesses? / SWOT Analysis

Strengths

I have been told that I am honest, talented, quick learner, decision maker and possess good analytical and
problem solving and communication skills. If only one word it will be talented.

Weaknesses

Occasionally I have been told for my repeated follow-up especially when I delegate some job to my team. But
this is only because I want to make sure that job is completed on time without any hurdle.

Sometimes I go too deep in technical issues and push my people too hard which sometimes is not really
needed. Actually I work with a sense of urgency and sometimes people are not at same pace.

Opportunities

1. Opportunities for Professional growth

2. Improvement in Management & Interpersonal Skills
3. Window for Educational Improvement (PhD)
4. Improve Self Organization

Threats

1. Motivational issues in pursuing PhD Degree

2. Professional Challenges
3. Time constraint

Conflict Management

When people work together, conflicts usually happen due to difference of opinion, difference in work goals
and personal styles. But our priority should be to resolve it in an effective manner. Many unnecessarily
conflicts can be avoided with clear and accurate use of verbal communication. Actually key for effective
conflict management is that you should understand or feel what other person is feeling. Calmness and
Patience is required for effective conflict Management. In my opinion, whenever there is conflict, it helps to
fully understand other’s perspective and then you should work for a collaborative solution. The guidelines for
handling conflicts in work place are:

1- Talk with other person.

2- Focus on behavior and events.
3- Listen and understand carefully and identify points of agreement and disagreement.
4- Prioritize areas of conflict and work on those to resolve them.

Example

I can quote you an example about conflict between my two Technologists. One was senior and other was
Junior. I came to know about heated argument between them so I decided to act as mediator between the
two. I talked to both of them separately to find out the root cause of the conflict. The reason was complete
lack of mutual cooperation between the two. The Senior Technologist, whenever he was assigned some task
he used to delegate it to Junior Technologist. Junior Technologist used to respect his senior until one day
when he came to know that all credit of his jobs is being taken by Senior Technologist. In response he
disobeyed his Senior and he made his complaint due to which conflict occurred.

I counselled both Technologists. I told Junior Technologist that I am very well aware of his efforts and had
work. Besides I asked Senior Technologist to perform his job by himself without delegating all his assignments
to Junior and developed an environment of cooperation between them. To avoid such conflict in future, I used
to assign tasks independently to each Technologist depending on their ability. Till this day, no conflict has
occurred between them.

What is problem solving? Give some Example.

Problem-solving is the process of understanding a challenge and working toward finding an effective solution
to it. I always study the problem, conduct brainstorming session with team mates, discuss with your seniors
and find out the root cause of the problem and then accordingly propose the solution.

Example:

As an Electrical engineer, my duty aims at restoring Electrical Power as quicker as possible after its breakdown
or failure. This is because smooth and uninterrupted power supply is main ingredient for entire operation of
Pipeline and ultimately the MCR. Its unavailability not only hampers refining / pipeline operations but also
results in financial losses to the company.

As an example, I would like to quote a specific technical problem of multiple power failures at PS-1 Korangi
due to repeated trippings of newly installed 5 MVA Power Transformer which serves critical Load of our
pumping operation. We checked complete system but we could not find any issue in Transformer and
associated components. Then we called Transformer Manufacturer for resolution of the problem. They
performed all necessary tests to determine the health of the Transformer and everything was up to mark and
they were unable to locate the fault.

After we were firm that there is no problem in Transformer, we took that as a challenge and again checked
complete power and control circuit of associated switchgear of Transformer. By working hard and adopting a
different strategy of checking control circuit, we were able to locate the fault in its control circuit.

Judgement & Decision Making

Decision-making is actually the essence of Management. It can be defined as the process of selecting a right
and effective course of action from two or more alternatives for the purpose of achieving a desired result.

Example

So far, my decision-making skill is concerned, I would like to share an instance that had also drawn
Management focus because of prolonged power breakdown due to 11 kV main incoming Cable fault at PS-1
Korangi Station. The reason for Management focus was due to the fact that the fault took place on the night
of the very day when MCR was scheduled to operate on increased capacity of 120% next morning for the first
time. In the evening when we returned home, I received a call from office that power breakdown has occurred
due to unknown reasons and Mainline Pumping has stopped. Afterwards I received subsequent calls from my
Manager for the same problem there was urgency of power restoration due to MCR commissioning on
increased capacity. That was a fraught moment for me. I immediately rushed to the site along with my Team.
After reaching the site we immediately started fault identification in coordination with K-Electric Teams. We
were surprised to find that main 11 kV Cable Power Cable connecting K-Electric & PARCO Substations was
damaged and its rectification would take 12-14 hours. This further developed pressure on me as a Lead since
we were already very short of time.

Meanwhile, I started looking out for various alternatives available for earliest restoration of Power and finally
after discussion with my team mates and through critical analysis, we decided to go for laying and termination
of new cable instead of repairing that damaged cable. That decision of new cable worked well and supply was
restored within 4-5 hours and normal pumping operation was resumed in minimum possible time.

Delegation of Tasks and Responsibility

Delegation of work is very important for team members to stretch their limits and develop confidence and
skills. I believe on effective delegation and always use tools of the delegation like give the job to well suited
person and gives them right degree of freedom to perform in the most efficient and productive way. To
ensure timely completion of jobs, I guide them, do follow-up and give feedback.

Example

Many jobs I delegated like I assigned job of replacement of Distribution Transformer at PS-4 Fazilpur to my
team and they completed the job successfully with guidance.

Staff Motivation

"Give me an example of when you successfully motivated your staff using incentives or rewards."

I motivate staff through training and coaching for their proper career growth and enhancement of their skills
and professional satisfaction. Employees are also rewarded during PMP as per their achievements, talent,
hardwork, initiatives and recommend rewards in terms of promotion.

Staff Development

"Describe a time you had to provide training or coaching to different staff members on the same tasks."

I am always actively involved in coaching and mentoring of the Staff including Engineers, Technologists,
Trainees, Technicians and Internees. After resolution of complex technical problems, we conduct sessions for
everyone’s understating and detailed discussion for root cause analysis and to avoid recurrence. I also give
feedback to employees identifying weak areas which need improvement. I am also involved in their grooming.
I encourage staff to ask questions and improve theoretical concepts. I am also working as Deputy
Management Representative for Quality Management System so I have delivered Trainings & Awareness
Sessions at all PARCO & PAPCO Stations.

Staff Communication

To be a Manager is to be good communicator. I try to communicate clearly with staff. Explain them clearly
objectives/assignments in detail. To ensure understanding ask staff open ended questions and sometimes ask
them to repeat the instructions. I always encourage staff to ask questions for clarification.

Work and Task Management

I manage the work as per their importance and set priority accordingly. Through time management and
effective delegation, I take more control over the time and manage more in available time. For major jobs, first
we do planning of the work. Identify the task. Determine the sequence of tasks and set priorities. Allocate
resources. Start implementation and control.

Give Examples

"Talk me through a short term plan you developed and implemented for your department."

"What methods have you used to prioritize work assignments?"

I will quote an example of failure of Battery Chargers at PS-3 Shikarpur. These Battery Chargers feed our
critical control system of plant and pumping cannot be operated without it. I rushed from Karachi to PS-3 for
fault rectification. Immediately after reaching the site, I started fault finding but obviously it was taking time as
fault finding in such equipment is always very complex as lot of electronic cards are involved. I was getting
repeated calls from my Supervisor for early restoration of system as WOP pumping operation was stopped. I
tried to explain him the situation.

Then I decided to go for an alternate. We decided to lay cable from KMK to WOP to feed the critical plant
equipment from KMK Battery Chargers for meanwhile till restoration of Battery Chargers. It was month of July
and you can imagine weather of Shikarpur. Job was very difficult as we had to lay very heavy armoured cable
and the distance between KMK and WOP was also quite long.
Team was reluctant to work in such scorching heat as it was time of around 2 pm in noon and weather was
very hard. However, I motivated my team including Engineers, technicians, contractual staff and labour to
work in such environment and explained them criticality of situation and pressure from Management. We got
some logistic support from Station Management. I was also involved with them on ground and we were able
to resume pumping operation within 3 hours.

After normalizing pumping operation, we worked on faulty Battery Chargers and rectified them in 2 days. It
was a memorable team work for me.

Working in Team Work

I enjoy being part of team. Success is always based on team work and collective effort. For assigned tasks, I
believe on brain storming sessions and discussions with team and listening their perspective and approach
towards assigned task and find solution accordingly. For major assignments, I form a team and involve
members from different Stations as well for their grooming also.

Give Examples.

Working under Stress

I have the skills and ability to work under stress. Being a Maintenance personal, most of the time you are
working under stress especially during trouble shooting or corrective maintenance as you have to normalize
the system as soon as possible to resume operation, you have to minimize the downtime, you have to
complete the job in assigned shutdown time etc. Through good time management and effective delegation, I
try to minimize the pressure and stress.

How Creative you are?

I always take Initiatives. I always try to work on implementing latest technology developments in PARCO. I
always strive to continuously improve processes, procedures and quality of work. Like I initiated idea of
replacement of conventional lights with LED lights. We implemented that in phases at PARCO & PAPCO
Stations and till date we have achieved Rs. 31 Million savings in PARCO and Rs. 9.7 Millions savings in PAPCO.

I initiated idea of installation of Dual technology Human Occupancy Sensors in Hostel Rooms and we have
complete installation at PS-3. Every year Rs. 2.0 Million are being saved. It is now being implemented at other
Stations as well.

We were having problem to arrange resistive load for capacity testing of battery banks of UPS and battery
Chargers. We got quotation of Rs. 1.5 Million from foreign suppliers. We in-house fabricated DC Load Bank of
12 KW using old scrap material in just Rs. 50000.

There are many other examples as well. I try to find effective and cost saving solution of problems and focus
on latest technology development.

How do you get best from people?

To get best from people, I always use management skills like good communication, teamwork, recognizing
each person as an individual and recognize their efforts and then during PMP, reward them as per their talent,
hard work, efforts and achievements.

What is the difference between working with Engineers and working with Technologist?

 Engineers are involved in a wide spectrum of designing, development and formulation and operation of
engineering systems. They have theoretical learning style and are more focused in developing new
technology thru research projects.
 Technologist have applied learning style. They emphasis on applying and implementing current practices
to solve specific technical problems. They work with equipment, devices and systems designed by
engineers. Usually they work under supervision of an engineer.
