Integration of Communication Mechanism into the


Computer-Aided Attendance Tracking System
as Intervention Program for the Students
At-Risk of Dropping Out
(SARDO)

ABSTRACT

“Education is for all. What the United Nations says is that no one should be left

behind in progress and in education and in health,” Education Secretary Leonor Briones

vowed to strengthen government efforts to ensure that no student is left behind.

Taligaman National High School is inspired to this drive of the DepEd and steps

forward to embattle any form of hindrances towards its goals, like school dropouts.

TNHS Senior High School had once a high dropout rate of 4.3%. in S.Y. 2016 – 2017.

These figures were puzzling since in the School Form (SF) 2 or Monthly

Attendance reports of the class advisers, they gave “exceptional”, nearly perfect

attendance records in every month throughout the school years. It is contrary to the

observation that dropouts do not happen instantly. Regardless of reason, chronic

absence is identified as an important “early warning sign” that a student is at risk for

school failure and early dropout (Baker, 2001).

The school took a move of automating the process of monitoring the students’

attendance by utilizing computer programs and applications. The main purpose was to

get reliable data of attendance in contrast to the uncertain attendance records mostly

kept by student-class monitors.

With this new attendance monitoring system, Students At-Risk of Dropping Out

(SARDO) were identified and diagnosed at an early stage; and necessary intervention

program could be done to save them and sent back into the rosters of performing

students.

The intervention program imbedded into the computer-aided attendance

monitoring program was the communication mechanism. This system was basically

used in sending immediate feedback to the parents about their children’s attendance

through text messages. They were informed whether their children came on time, late or

absent.

The intervention program offered promising results; it improved the percentage of

attendance and reduced tardiness of Senior High School students.

The average percentage of attendance of the SHS in the 2nd semester of SY

2017-2018 was increased from 82.52% to 94.67%.

The average percentage of tardiness in the 2nd semester of SY 2017-2018 was

decreased from 27.88% to 18.67%. While the average percentage of On-Time comers

was increased from 54.64% to 74.93%.

The dropout rate of SHS this SY 2017-2018 was reduced from 4.30% to 0.62%.

All these positive results were all associated to the regular feedback, in the form text

message, to parents about the daily attendance of their children.

I. CONTEXT AND RATIONALE

The Senior High School of Taligaman National High School had just started in

SY 2016-2017 and yet quite traditional and injudicious in dealing with old issue like high

dropout. Records of the Grade 11 advisers presented high attendance turnout every

month, as reflected in their SF2 submitted to Records In-charge; but startlingly they

reported 4.3% dropout rate at the end of the school year, which is equivalent to eight (8)

dropouts.

The newly hired SHS teachers were noticed to have not effectively kept records

of their students and failed to communicate classroom problems to the parents. In short,

students were not properly monitored and parents had very little involvement to school

matters.

It was the desire of the researcher to improve the monitoring system of the

students, and help the teachers along the process by introducing technology. In this

way, the school could get real-time and reliable records of attendance, and quickly

identified the SARDOs; subsequently necessary actions and interventions could be done

to save them.

A direct linkage between the parent and the school was established through the

communication mechanism which was put up by the researcher basically to inform them

about the whereabouts of their children.

The intention of this intervention is to draw support from the parents in resolving

school problems like absenteeism, tardiness, and high dropout rate.

The premise of the intention is the idea that the success of the students does not

only depend on the efforts of the teachers nor of the students themselves. The

involvement of the parents to school matters facilitates the development of the students

and crucial to solving of problems.

A survey made in 2010 by Office for Standards in Education, Children’s Services

and Skills (OFSTED) affirmed that the relationship between the teacher, their pupils and

their parents is critical to effective teaching and learning. “Just as the quality of teaching

and leadership in schools is the key determinant of educational attainment, so the

degree and quality of engagement that parents have with their child’s learning is a

crucial factor outside the school environment”.

Redding (2004) also mentioned in his research that parental involvement in

school decision-making contributes to modest but significant achievement gains.

Interventions which involve parents not just as recipients but as active partners often

provide evidence of benefits for both parents and children.

According to one of the articles of American Federation of Teachers in their

website Reading Rockets, the better way to reach out the parents is the establishment of

communication system. If the form of communication is effective it does not only build

school-family partnership but also constitute the foundation for all other forms of family

involvement in education.

Effective communication system benefits the parents, students, and teachers.

Positive parent-school communications benefit parents. The manner in which

schools communicate and interact with parents affects the extent and quality of parents’

home involvement with their children’s learning.

Substantial evidence also exists showing that parent involvement benefits

students, including raising their academic achievement. There are other advantages for

children when parents become involved — namely, increased motivation for learning,

improved behavior, more regular attendance, and a more positive attitude about

homework and school in general.

Research shows that parental involvement can free teachers to focus more on

the task of teaching children. Also, by having more contact with parents, teachers learn

more about students’ needs and home environment, which is information they can apply

toward better meeting those needs. Parents who are involved tend to have a more

positive view of teachers, which results in improved teacher morale.

It is on these grounds that this research is anchored. The study would create a

linkage between parents and school through the communication system that is put up in

bundle with the attendance tracking system programmed by the researcher.

II. ACTION RESEARCH QUESTIONS

The major concern of this study is to determine the effect of integrating the

communication mechanism into the attendance monitoring system developed by the

researcher as intervention program for the SARDOs.

More specifically, this study attempts to answer the following questions:

1. How can the communication mechanism into the computer-aided attendance

tracking system be designed?

2. How effective is the use of communication mechanism into the computer-aided

attendance tracking system in:

a. Increasing students’ daily attendance

b. reducing tardiness

c. reducing dropout

III. INNOVATION, INTERVENTION, AND STRATEGY

Discrepancy in recording often occurs in School Form 2 (SF2) or the School

Register wherein the classroom adviser records his/her list of students and monitor their

daily attendance.

In many cases, the process of recording was modified; either the teacher created

a separate recording for daily attendance and finalized the records once transferred to

the SF2 at the end of the month or delegated the task to student-class monitor.

What was noticeable was that the actual number of students in the classroom did

not match to the recordings. In other words, the data in the SF2 was not reliable;

students’ attendance was not properly monitored. SARDOs were plausibly convertible to

dropouts.

The first aim of this study was to get the reliable data of attendance of all

students. This was done by utilizing computer-aided attendance tracking system. A

program was developed by the researcher which would capture the student’s identity

once he/she entered into the school premise. In this way, all records of attendance of the

whole school were accounted for. It was also designed to quickly identify those students

who committed multiple absences and tardiness in a week and month. Class advisers

were given printed copies of attendance with highlights of potential SARDOs as their

reference in counterchecking their records of SF2.

However, these were just preliminary steps in getting reliable data. The actual

intervention to address the attendance-related problems was the involvement of parents.

Another computer-aided program was developed and integrated into the

attendance tracking system to facilitate the communication to parents about their

children’s attendance status. The researcher believed that texting the parents about their

children’s attendance was helpful in monitoring process. In this way, the parents become

the partner of the school in addressing problem of absenteeism, tardiness, and high

dropouts.

IV. ACTION RESEARCH METHOD

A. The Participants

The respondents of the study were all the 317 students from the 10 sections of

Grade 11 and Grade 12 of Senior High School for the second semester of SY 2017-

2018.

B. Data Gathering Method

The researcher utilized the data gathered from the computer-aided attendance

tracking system developed by the researcher. The progress of the data from the time the

intervention program started was monitored and analyzed until the end of the second

semester.

The consolidated attendance records from the intervention program were used to

determine whether constant and regular feedback to parents affected, improved, or not,

whether the percentage of the attendance of the school reduced or increased tardiness,

and whether the dropout rate of Senior High School reduced or increased at the end of

the school year.

The dropout rate of the Senior High School for this school year was compared to

the dropout rate last SY 2016-2017 which was only comprising Grade 11.

C. Data Analysis Utilized

The research study is descriptive in nature, specifically descriptive correlational.

It is descriptive correlational since it seeks to determine whether constant and

regular feedback to parents would significantly influence the percentage of the

attendance of the students in school, reduce tardiness, encourage to come to school

early, and reduce dropout rate of the school at the end of the school year.

V. DISCUSSION OF RESULTS AND REFLECTION

The researcher was inspired to the efficient product inventory system of the

commercial department stores using barcode scanner as input device. When a costumer

buy something, the cashier would just swipe the product into the scanner and an

inventory list of products is viewed into the computer monitor with corresponding price

tags. A quick total amount to be paid is also shown. This soft copy of transaction then is

printed as receipt.

The Design

He thought of using the same concept in capturing students’ attendance by

issuing them barcoded IDs which they would swipe upon entering the school premise

into the computer-aided attendance monitoring system installed near the campus main

gate.

Through this, their attendances were automatically recorded and sorted by

section reflecting their time of entry to school. It had the features of consolidating the

accumulated attendance, and highlighting the figures of absences and tardiness if they

exceeded to the maximum in a week and month. Three (3) absences and five (5)

tardiness in a week were considered excessive and regarded as tell-tail sign that the

student is going to be a SARDO.

The data taken from the attendance monitoring system project were used in

extracting the contact number of the SARDOs’ parents. Another programmed MS Excel

file was used to create customized Cebuano text messages to corresponding contacts

specially for those who had come to school on time or late. Customized messages for

the absent students were also computer generated. Cebuano was the chosen medium

of communication since the target of these messages were the parents living in the

locality dominantly Visayan speakers.

The communication system was the actual intervention program in this study. It

was also a Microsoft Excel-based computer program wherein its primary function was to

send bulk of text messages to target clients; in this case, the parents of the Senior High

School Students using USB stick GSM modem as sender. In few clicks, all the sorted

computer generated and customized Cebuano text messages were sent to the clients

with two seconds interval, as an average.

Text messages were in Cebuano since it was requested by parents during the

focus group discussion together with the researcher since some of them have not even

graduated in the elementary and claimed not good at English.

Sending of messages pertaining to attendance was done twice a day, one in the

morning and one in the afternoon. All parents received text messages depending on

whether their children arrived on time, late, or absent. Samples of text messages are

given:

“Si Juan Dela Cruz niabot sa eskwelahan ganinang 7:29 sa buntag.”

(Juan Dela Cruz arrived at school at 7:29 AM)

“Si Juan Dela Cruz niabot sa eskwelahan ganinang 7:31 sa buntag. Late siya

niabot.” (Juan Dela Cruz arrived at school at 7:31 AM. He’s late)

“Si Juan Dela Cruz absent/wala naka-swipe karong buntaga. Palihog paki-follow-

up.” (Juan Dela Cruz is absent/did not swipe for attendance this morning. Please follow-

up)

The embedded Communication System also generated customized Cebuano

text messages and sent bulk of text messages to the parents of the presumed SARDOs

on weekly basis, advising them to meet the adviser with their kids for counseling. They

received text messages like these:

“Si Juan Dela Cruz adunay 3 ka absences karong semanaha. Pakigkita sa iyang

adviser sa Lunes.” (Juan Dela Cruz committed 3 absences this week.

Please meet his adviser on Monday)

“Si Juan Dela Cruz adunay 6 ka tardiness karong semanaha. Pakigkita sa iyang

adviser sa Lunes.” (Juan Dela Cruz committed 6 tardiness this week.

Please meet his adviser on Monday)

Class advisers were also given printouts of attendance of their respective

sections in weekly and monthly bases so they would be informed about the data and

whose kids had exceeded their absences and tardiness to the minimum. The guidance

teacher and principal were always updated about the development of the program and

gave reinforcement in the implementation.

The researcher facilitated the schedule of meeting of parents to the advisers, but

the class advisers were the ones who conducted the actual counselling with the

students.

In this study, it was insured the parents were well-informed about the attendance

of their children and alarmed them if their children were becoming at-risk of dropping out.

On Students’ Daily Attendance

The succeeding presentations were based on the data gathered from the five

months (November to March) of attendance monitoring of the five sections of Grade 11

and five sections of the Grade 12 Senior High School of Taligaman National High School

during the second semester of S.Y. 2017-2018 utilizing the systematic and computer

aided attendance monitoring system, integrated with communication system.

A detailed graphical presentation of the daily average attendance of the SHS is

presented on the next page which visualizes a fluctuating data from the first day of

implementation of the intervention project on November 6, 2017 to last day of monitoring

on March 28, 2018.

Days with no classes like holidays and suspension of classes due to bad weather

conditions were intentionally removed as they affect the records and analyses of the

study.

It is notable that on Mondays (Nov. 6, 13, 20, 27, Dec. 4, 11,18…) and Fridays

(Nov. 10, 17, 24, Dec 8, 15, 12…) there were curving pattern of the attendance of the

students compare the middle days of the weeks which have better percentage of

attendance. According to the class advisers, some of their students were from distant

places and stayed in boarding houses; many of them were still travelling on Mondays on

the way to their respective boarding houses, and the same kids who were likely to go

home early on Fridays resulting to rhythmic pattern of absences or lower turnout of

attendance.

Based on record, December 22, 2017 had the lowest turnout of attendance,

since this was the last day of class before Christmas break; only few students brought

their barcoded ID cards or swiped their ID into the attendance monitoring system

resulting poor record of attendance; a record which did not actually represent the actual

number of students who reported to school.

Despite these fluctuating figures, it can be noticed that there is an increase of

average attendance on monthly bases as it is summed up in graph 2.

During the start of the implementation of the intervention program, the average

percentage of attendance for the month of November 2017 is 82.52%. Then, it steadily

increased in the succeeding months up to 94.67% in February 2018. There was a slight

downfall of figure in March 2018 which is only 93.81% as classes became informal.

These were the days after the final exams where students just come to school to

practice for their graduation ceremonies and submission of requirements.

An exact opposite match of the graph shown in Graph 3 pictured out the steady

downfall of figure of the monthly average absences committed by the SHS students

during the implementation of the intervention program.

In November 2017, the average percentage of absences is 17.48%; it has gone

down to 5.33% in February 2018. It is slightly up to 6.19% in March 2018.

The researcher associates the improvement of the attendance and the decrease

of absenteeism to the constant feedback to parents about their children’s attendance

through text messages. The students began to feel the necessity to report to school

because their parents would know if they didn’t come to school.

The project did not only lower down the absenteeism, but also upturn the data of

the students who were coming early to school as what are shown in graph 4 and graph

5.

Although it also shows fluctuating figures, but there is a steady rising pattern of

students who were coming to school early, which is more evident if the average

percentage is taken on monthly basis.

Through the intervention program, the students started to develop time

consciousness, which was manifested by their responses. In March 2018, as an

average, 74.93% of the SHS students, who were present in attendance, arrived early at

school in contrast to the early implementation of the program which is only 54.64%.

Since all parents were texted about their time of entry to school, and/or informed if they

didn’t arrive at school, students had no choice but to come to school early, or else they

would give explanation to their parents.

Even if the problem of tardiness was not totally eradicated, it was lowered to

about 18% of the present students through the intervention program. Some of the

students who were once used to come to school late, had changed their minds. The

intervention program is believed to have something to do with this.

On Dropouts

Last S.Y. 2016-2017, with only Grade 11 in SHS, the dropout of the school

reached to 8 individuals, that is equivalent to 4.30%. During the implementation of the

intervention program to SHS with both Grades 11 & 12 this school year, the dropout rate

was reduced to 2 individuals or equivalent to 0.62%.

This significant reduction of dropout rate is associated by the researcher to the

integration of communication system into the attendance monitoring system.

Reflection

The overarching observation that the researcher had noted in this study was the

importance of involving the parents to school matters by establishing communication

with them. When the form of communication is effectively utilized, it builds stronger

school-family partnership.

With the communication system imbedded in the computer-aided attendance

monitoring system, the parents had become more vigilant to the whereabouts and

progress of their children. They began to embody and accept the bigger sense of

responsibility in encouraging, if not forcing, their children to come to school on time. The

project prompted them that it was not OK for their children to be late or absent.

Receiving text messages twice a day alerted them to push their children to go to school

early and not be absent. They regarded the text messages from school as personalized

way of reaching them out. It connotes that the school is really concerned about the

welfare of their children.

Parents had also become more reactive to the feedbacks they received from the

school and recognize the benefits of linkage established through the communication

system that was installed. Based on testimonies of some of the students, their parents

reprimanded them as they arrived at home because of the text message their parents

received notifying them that they were marked late on text messages in coming to

school even just for a minute.

Some parents who responded to the invitation of meeting the class adviser were

very thankful about the intervention program. They testified that their worries were gone

every time they received text messages that their children had safely arrived at school. If

the text message informed them that they were absent or did not swipe the barcoded ID

into the system, their children would need a lengthy explanation to them as soon as they

reached home. They welcomed and trusted the system.

This study has determined that the constant and regular feedback to parents

significantly influenced the percentage of the attendance of the students in school,

reduce tardiness, encourage to come to school early, and reduce dropout rate of the

school at the end of the school year.
