Reaching out to teachers and school staff is a great way to get the STS Foundation name out

there and to find host families. We’ve moved away from Smore but that doesn’t mean you can’t
make meaningful connections through email. We’ll be using some of the same skills you learned
to customize your outreach so that you can have the most impact possible!

Use EmailDrop and EmailExtractor to pull a list of people you want to reach out to. Then use
Mail Merge to send personalized emails in batches to save time! We’ve recorded a tutorial on
how to use Mail Merge. Part 1 and Part 2.

Teacher - Option 1
Subject: Looking for a Host Family for [Student First Name] from [Home Country]

Dear [Mr./Ms.] [Last Name],

My name is [Name] and I work with STS Foundation, a non-profit high school exchange
program. I am looking for a family in the [town/district name] area to host [Student First
Name] from [Home Country], who will be an exchange student this fall.

[Student First Name] is [Age] and enjoys [List Hobbies]. [S/he] is a great student who’s
described by teachers as [Quote from Teacher Recommendation].

[Student First Name] says, “[Quote from Letter].”

Exchange students impact the communities that welcome them by sharing their culture
and giving the people around them the opportunity to share theirs. By welcoming an
exchange student into your heart and home, you can help build international bridges and
break down cultural barriers.
