STANDARD OPERATING PROCEDURE

Discrepancy report

DEPARTMENT : Rooms Division


SECTION : Guest Service Agent

Basic:

 Discrepancy report should be done twice on daily basis for the room
control purpose. GSA is responsible to verify them without the
mistake.

Procedure:

 Every day the housekeeping department (Morning and


Afternoon shift) prepares the housekeeping report on the
room status from all types and submits to GSA in the morning
and afternoon time (09.00 a.m. and 8.00 p.m.)

 GSA will assign one GSA to check on the room status and
record at the front office column on the housekeeping report.

 After the room status has been record on all rooms then we
will find the discrepancy room (if is the conflict on the room
status between the front office department and housekeeping
department)

Housekeeping status = VC
Front office status = OD

 The front office will find the solution on room discrepancy; by


taking on room numbers on each types transfer them to the
discrepancy report, which prepares separately for each resort.
 The GSA on the shift is going to double check the
housekeeping report and the discrepancy report that there is
no mistake on them and sign his/her name.

 The report has been transfer to Director of Rooms to double
check one more time and the report will be signed by the
Director of Rooms.

 The original for housekeeping report and discrepancy report is


going to Accounting office and the copies are returned to
Housekeeping department.
