ACKNOWLEDGEMENTS
Internship period is one of the most important events of senior year
students and the most difficult challenge of senior year students. We are students
who lack not only experience but also knowledge and skill. Therefore, this
graduate internship report cannot finish without the help from everybody.
Firstly, we would like to express thanks to the Managing Board of Viet
Tri University of Industry and the Faculty of Foreign Languages for your help
and transfer of precious experience, which will prepare us for knowledge to
have ability of facing to difficulty in the future life.
Secondly, I would like to say thank you to Accounting Department in
Hoang Viet Human Resources Investment Consulting Management Joint Stock
Company (Hoang Viet MIC JSC), especially to Mr. Pham Thanh Tung - Deputy
General Manager of the company for their dedicated guidance and training,
which contributed a lot to my working experience and learning progress.
Thirdly, I would like to send my greatest thankfulness for teacher Le Thi
Thu Hien, our supervisor who was abundantly helpful and offered invaluable
assistance, support and guidance. By taking her advice, we can improve my
English skills in our job.

ABSTRACT
This report is aimed to describe the 12-week internship time that we spent
at Hoang Viet MIC SJC. In this report, we will mention some information about
the company as well as the internship process at Hoang Viet MIC SJC, the
achievement we reached through the period including what we have done,
important skills we acquired as well as the difficulties we have challenged as an
intern will be discovered.
This report is divided into 3 chapters: Introduction, Practical Experiences,
and Conclusion. The Introduction presents briefly about the overview of the
organization where we have undergone our internship. In the Practical
experiences section, the achievement we reached through the period including
what we have done, important skills we acquired as well as the difficulties we
have challenged as an intern will be discovered. We also briefly offer some
recommendations for the future interns. In the Conclusion, we are going to
reiterate some highlights of our internship.
Being exposed to a professional business environment like this company
gave us the opportunity to challenge ourselves and improve our English
proficiency. Every day we communicated with foreign partners, colleagues,
translated documents, contracts ...
We really felt that using English becomes familiar and necessary every
day. During the internship, we were assigned the task of preparing for the
company's labor export delegations so we decided to choose my internship
topic: “Supporting for labor export activities in Hoang Viet MIC SJC”.

CHAPTER 1: INTRODUCTION OF INTERNSHIP UNIT

Hoang Viet MIC SJC was established based on the idea of the founding
members to provide domestic and foreign labor resources, perform services,
cooperate and support enterprises related to human resource training, contract
cooperation with Japanese enterprises investing in Vietnam.
The company is chaired by Ms. Luyen Thi Thu Nga as the Chairman of
the Board of Directors and Director General of the company with more than 100
employees operating in many fields.

1.2. Company's capacity


The company has a board of directors converging members with strategic
vision along with a team of employees who are dedicated to the profession. The
company has extensive relationships in many fields with domestic and foreign
enterprises, especially China (Taiwan), Japan ... The company is a very active
company in the labor export market, is a reliable partner of many international
enterprises such as Nagahama factory, Omura company (Japan), Garmin
company (Taiwan) ... The company always strives to achieve the set goals,
specifically:

CHAPTER 2: INTERNSHIP REPORT


2.1. Description of the main duties
During our internship at Hoang Viet MIC SJC, We are often tasked with
supporting the company's labor export activities. Our responsibilities were as
follows:
- Receiving applications for labor export from candidates and select
qualified people
-
Translating documents (especially legal ones) and contracts from English
to Vietnamese and vice versa.

Editing and preparing documents for the director before meetings using
computer programs (Microsoft Office).

Receiving and replying to messages on social media (Skype, Facebook,
Zalo and Gmail) from customers and partners
-
Answering foreign customers’ phone calls and arranging meetings
between them and the director.

Playing the role of an translator in meetings between the directors and
foreign customers/partners.
-
Organizing training for candidates before sending the delegation to work
abroad
- Preparing necessary procedures for the delegation to export labor
When receiving the request to do an internship at the company, Mr. Pham
Thanh Tung - Deputy General Manager of the company interviewed some of our
skills before deciding to accept us as an intern. The company requires us to meet
the following 03 requirements: Using English fluently, especially speaking
skills; Good communicated skill; Using computer proficiently.
After the interview, we were accepted to internship at the company. Our
job is supporting the company's labor export activities. In my jobs, we think that
translation practice is not simple, but also not too difficult as we thought.
Knowing foreign languages well does not mean being able to become a good
translator. You can fully understand the meaning of the document, but how to
convey that meaning the reader most accurately. A good translator needs to
know how to exploit the translated documents in a rich and diverse manner
Especially there were translators who were experienced and professionally
trained. They were all very sociable and enthusiastic to help us at work.

Working in a professional office environment, we felt we have grown a lot


more. With the enthusiastic help of everyone we completed the assigned task as
a language intern.
2.2. Work as a supporting translator at the Internship unit
We spent 12 weeks on training in Hoang Viet MIC SJC. And our working
time table is dependent on the working time table of the company.
From Monday to Friday
Office time : - In the morning : from 8:00 a.m to 11:30 a.m
- In the afternoon : from 13:30 p.m to 17:00 p.m
The activities we had during the internship are described as follow:
2.2.1: The first 3 weeks from December 15th 2021 to January9th 2022
The first day: On Wednesday, December 15th 2021.
We had an opportunity to meet with the Deputy General Manager of the
company and discuss some of our work and internships at the company. We
went with an advisor to visit around the company and interact with everyone in
the company and learn about the company's rules. Then we got to know some of
the company's documents such as contracts, product evaluation documents and
some supporting documents during the translation process. We thought that our
internship here would definitely help me to improve our English
communication skills and translation skills.

2.3. Advantages and disadvantages at work.


Due to the impact of the Covid -19 epidemic, the company was also
affected by the work completion schedule. With the care and encouragement of
the director, every member of the company tried hard to complete the assigned
work. However, the short period of full time job we had with Hoang Viet MIC
SJC was a little bit strange for us. Although prepared well for the internship
period we had both advantages and disadvantages in the internship period
especially during the early days at work.
2.3.1. The advantages
As soon as we entered the company, we were warmly welcomed. Mr.
Pham Thanh Tung have created the best conditions and helped us. We are
assigned simple tasks such as: checking email, answering customer calls, editing
documents with simple content related to work. When we got used to the job, we
were assigned to work harder. As for matters related to labor export procedures,
contact companies wishing to recruit foreign workers. Negotiating cooperation
contracts with foreign partners
During the placement, we received many constructive and helpful
comments on my shortcomings from the supervisor, including any incorrect
terminology used when translating legal documents. we also learnt a lot from
her wealth of working experience. Thanks to the help of our supervisor, we
successfully finished our internship at the company.
2.3.2. The disadvantages
During the internship at Hoang Viet MIC SJC. The difficulties we
encountered mainly came from legal issues. Since this is the first time we
negotiate contracts directly with foreign partners, we do not have practical
experience. In addition, in the period when the Covid-19 epidemic is spreading,

it is difficult to carry out procedures to support labor export to foreign countries.


Because each country has its own procedure for disease management.

CHAPTER 3: PERSONAL EXPERIENCE ACQUIRED


THROUGH THE INTERNSHIP
When we were sent by the school to do group internships, we hope that
this will be a meaningful time. We hope that by practical experience, our writing
and translation skills will improve significantly. Moreover, we also hope that
our working process and time arrangement will provide us with the necessary
and appropriate knowledge for our future career.
After completing the internship, we found that our expectations were
somewhat fulfilled. Our listening, comprehension and computer skills have

improved dramatically. We also had our first experience in interpreting, which


was a sequential, interconnected process of interpreting which was very
interesting. In addition, we learned how to communicate and behave with
colleagues at work, with customers in the process of working, which is very
useful for the upcoming work after we graduate. Furthermore, we have the
opportunity to collide, using specialized terminology in the fields of law,
insurance and credit. When we practiced at Hoang Viet MIC SJC, we made a
good impression with our serious working attitude, always working hard on
time, showing a high sense of responsibility. However, while performing some
of our duties at work, we also noticed our own weaknesses such as the ability to
hear and understand the accents of some foreign clients; thus hindered our
communication in meetings. As a result, we sometimes use body language to
convey a message or clarify a vague issue. In the case of customers coming from
Taiwan, Japan or China, we even had to enlist the help of our supervisor who
learned a second language such as Chinese, Japanese ... Fortunately, we only
had difficulty at the beginning when we started our internship. After a few days,
we got used to the work and our translation improved significantly. We believe
that we have the advantage of good communication (both Vietnamese and
English). We show flexibility in working and adapting to new environments. On
the one hand, we have achieved great success working independently; on the
other hand get along well with colleagues to complete the task. Besides these
advantages, we also have some disadvantages and disadvantages. Specifically,
due to the impact of the epidemic, the government has applied many measures to
distance and limit contact, thus reducing the opportunity to interact and work
directly with our customers. Not to mention, there are cases where the contract
deadline was reached, but because the customer was infected with Covid 19, it
was interrupted, slower than the original route. Due to the epidemic, we have to
work on computers with a dense frequency, which affects our health, especially
the loss of vision. Although it was very difficult to fix this problem, we have
solutions and are almost under control. We follow a nutritious diet combined
with regular exercise to strengthen the body's resistance. We also apply some
eye exercises to improve vision and rest for fifteen seconds while working to
prevent dizziness.
At VUI, we have knowledge of English language such as translation,
interpretation, business English, listening, speaking, reading and writing skills...
We are guided by teachers to develop skills through practice in class. We hope
that what we learn in school is enough for us to make an impression at the
internship unit as well as at the institution we will work in later. However, there
is a big difference between what we are taught in school and what we find on the

job. During the internship, we learned more than we imagined, including: how
to solve problems and situations, how to behave with colleagues and
customers... Therefore, we I find the practice time very valuable, it helps us
consolidate the knowledge we have learned and apply that knowledge in
practice.

CHAPTER 4: CONCLUSION
The internship gave us many useful lessons for our future work plans.
Before our internship at Hoang Viet MIC SJC, we still didn't know which career
path we should follow. After this one month internship, we made a decision
about our future career, which is to pursue translation-related jobs. The things
we learned from our internships varied in many different directions. Firstly, the
intern's manager promised to contact us whenever she received a job opening
related to translation. Second, we have also built some new social relationships,
which are extremely helpful. Some colleagues at the internship hope we teach
them English to communicate so that they can have more promotion
opportunities at work.

In short, we appreciate the valuable experience from the internship period.


This is a great opportunity for students to put their "book knowledge" into
practice, to achieve their goals and step up their future career. Due to the limited
fact-finding process and our limited qualifications, our report inevitably contains
errors. We look forward to the comments of teachers and staff at the internship
company to make our internship report more complete. We ended the internship
successfully with the help and guidance of teacher Le Thi Thu Hien and
everyone at Hoang Viet MIC SJC. Once again, thank you very much Mr. Pham
Thanh Tung for guiding us and Hoang Viet MIC SJC as well as the staffs who
supported and facilitated us to successfully complete the stage. your practice
