ARRIVAL INSTRUCTIONS 2023

(Arriving 21st – 24th September)

For students living on campus


Arrivals 2023
We’ve put together these arrival instructions to aid your journey to campus.

The main arrival period for students living on campus is Thursday 21st - Sunday 24th
September 2023. During these dates we will be operating an Arrivals Hub allowing
you to collect the key to your campus residence, along with your University ID card
if you do not already have one.

Our Arrivals Hub will operate on the following dates and times:

Thursday 21st September 10:00am to Friday 22nd September 03:00am


Friday 22nd September 8:00am to Saturday 23rd September 03:00am
Saturday 23rd September 8:00am to Sunday 24th September 03:00am
Sunday 24th September 8:00am to Monday 25th September 03:00am

You will need to read the section relevant to your arrival method:

Please note, there are a separate set of instructions if you are planning to
arrive after 24th September 2023. Please refer to the confirmation email you
will have received after completing your accommodation induction.
Arriving by car: 21 st – 24 th September 2023.

Thousands of students will be moving onto campus during these few days so to
minimise traffic congestion and long delays on campus over the main arrivals
period we’ve put together these instructions you must adhere to.

If you are arriving by car, you should use the postcode CV4 7AL which will guide
you to the main University campus. To navigate your way to the Arrivals Hub
please then follow the yellow signage – see example below:

Approaching the University via the A45


• Exit the A45 at the roundabout onto Sir Henry Parkes Road
• Cross over the first roundabout (second exit) continuing on Sir Henry Parkes
Road
• At the next roundabout take the second exit onto Kirby Corner Road (right
hand lane)
• Continue along the road for approximately 800m then turn left to access the
rear of University House and Kirby Corner Road Car Park – this turning will be
marked with yellow temporary signage
• Yellow directional signage and staff members will assist you from this point.

If you are arriving before 18:00 you will find our Arrivals Hub on the ground
floor of the Kirby Corner multi-storey car park.
If you are arriving after 18:00 you will find our evening Arrivals Team on the
ground floor of University House (the adjacent building to Kirby Corner Car
Park).
Accessing campus

In order to access campus by car you must adhere to the following:

1. Print off your Arrivals Pass and display it in your windscreen. Alternatively,
have a copy on your mobile to show on the day.
2. Arrive within the arrival slot time you selected (you can find this printed on
your Arrivals Pass).
3. Only bring one car to assist you with the move. Please note that your pass is
only valid for one visit. If you wish to purchase food supplies, please do so
either prior to arrival, or make use of the supermarket facilities both on and
close to campus that are accessible by foot.

On arrival
At the Arrivals Hub a member of staff will provide you with your room key and
Warwick ID card, as well as guidance on how to then reach your
accommodation. You will be asked for your Warwick ID number to confirm your
details. Temporary signage will be in place to assist your journey.

You will be asked to fill in a receipt for your key. We will have pens available,
but you may wish to bring a pen if you would prefer to use your own.
We will issue you with a dashboard card, please ensure that the driver’s mobile
number is written on this, and it is displayed on your dashboard at all times
whilst you are unloading your belongings at the accommodation.

When you reach your accommodation, a member of staff will direct you to an
unload point close to your block. You will have a 20 minute slot to unload your
vehicle. Please follow all directions given to you by staff at our unload points to
help the arrivals go smoothly for everyone. Please note that there may be a
short wait for an unload point in close proximity to your block.
After you have finished unloading, please move your vehicle to ensure there is
sufficient space for other residents moving in. Limited mid-stay parking is
available, and details of your nearest car park will be provided to you by a
member of staff. Note that parking charges will apply, details will be provided
when you collect your keys.
Arriving by bus: 21 st – 24 th September

Buses will stop at the Kirby Corner Road bus stop and/or the Bus Interchange
on Central Campus.

The Kirby Corner Road bus stop is within walking distance (approximately 3
minutes) to the Arrivals Hub at Kirby Corner Car Park and University House.

If you arrive at the Central Campus Bus Interchange our team of helpers will
assist you in continuing your journey to the Arrivals Hub. Please check the bus
route and ensure that it does stop on or near campus before travelling.

If you are arriving before 18:00 you will find our Arrivals Hub on the ground
floor of the Kirby Corner multi-storey car park.
If you are arriving after 18:00 you will find our evening Arrivals Team on the
ground floor of University House (the adjacent building to Kirby Corner Car
Park).

On arrival
At the Arrivals Hub a member of staff will provide you with your room key and
Warwick ID card. You will be asked for your Warwick ID number to confirm your
details.

You will be asked to fill in a receipt for your key. We will have pens available,
but you may wish to bring a pen with you, if you would prefer to use your own.
We will then provide you with assistance in reaching your accommodation.
Please note, at busy times there may be a short wait at the Arrivals Hub.
Arriving by taxi: 21 st – 24 th September

If arriving by taxi, you should instruct the taxi driver to use the postcode CV4
7AL which will guide them to the University campus. To navigate your way to
the Arrivals Hub, please ask them to then follow the yellow temporary signage
– an example can be seen below:

You will need to ensure your taxi driver takes you to the Arrivals Hub and not
to the Central Campus Bus Interchange or Senate House.

If you are arriving before 18:00 you will find our Arrivals Hub on the ground
floor of the Kirby Corner multi-storey car park.
If you are arriving after 18:00 you will find our evening Arrivals Team on the
ground floor of University House (the adjacent building to Kirby Corner Car
Park).

On arrival
At the Arrivals Hub a member of staff will provide you with your room key and
Warwick ID card whilst you remain in your taxi. You will be asked for your
Warwick ID number to confirm your details.

You will be asked to fill in a receipt for your key. We will have pens available,
but you may wish to bring one with you if you would prefer to use your own.

A member of staff will then provide you with instructions to access your
accommodation so you can continue in the taxi to be dropped closer to your
residence.
Arriving out of hours 21 st – 24 th September

Our Arrivals Hub will operate from the ground floor of Kirby Corner multistorey
car park up until 18:00 each day of the main arrival period.

If you are arriving after 18:00, our Arrivals Hub moves inside to the ground
floor of University House (the adjacent building to Kirby Corner Car Park).

If you are planning on arriving between 03:00 and 08:00, you will need to
contact studentinformationcentre@warwick.ac.uk at least 48 hours prior to
your arrival so that alternative arrangements can be made to collect your key.

Arriving before 21 st September

We are not able to provide accommodation prior to 21st September. If you


need to arrive before 21st September and need somewhere to live until your
contract starts, there are some short term accommodation options that you
may find have booking availability.

Arriving after 24 th September

If you are arriving after 24th September, you should report to the Student
Information Centre located on the ground floor of Senate House on Central
Campus to collect your room key and Warwick ID card.

If you are planning on arriving outside of the Student Information Centre


opening hours, you will need to email
studentinformationcentre@warwick.ac.uk at least 48 hours prior to your arrival
so that alternative arrangements to collect your key can be made.

If you are unable to arrive before midnight on 21st October, it is essential that
you inform Warwick Accommodation (accommodation@warwick.ac.uk) by
email stating the date you intend to arrive.
