Dear Participant,

As we get nearer to the opening of Mirbad Ramadan 2023 edition, it is our pleasure to welcome
you to the event. Taking this opportunity to share some important steps below that will
ensure a safe setup & smooth experience for all attendees.

Setup date & time

All Vendors assigned to Mirbad Booths (3x3, 2.5x2.5 & 5x5 booths ONLY)

F&B Vendors

• Please ensure to have enough manpower and trollies to move your items from the
drop off point to the setup area.
• Group 1 Location for High End Jewelery & BYOB Vendors – MAS Atrium – indoor
area after MAS Reception
• Group 2 Location for all Mirbad Vendor Booths 3x3, 2.5x2.5 & 5x5 – Gallery S –
Ladies only section
• Group 3 Location for F&B Vendors – MAS Plaza – outdoor area right in front of the
Main Entrance.
• Free Parking is available in the Venue Parking and in the Loading Area only for
Cars & Trucks making deliveries.

Opening day is 24th March 2023 and venue access will be granted from 6:00 pm onwards. All
Booths must be fully setup and operational by 8:30PM.

From 25th – 27th March, venue access will be granted from 7:30pm onwards and doors close at
2:00AM.

For any vendors that need to restock their booths please ensure your team only arrive during the
timings provided above as Security will not allow access before or after.

Permits

As per the latest rules and regulations by Abu Dhabi Governing Authorities all Vendors are
required to apply for a Temporary Kiosk Permit from the Economic Department through the
unified TAMM portal.

This permit is applicable to all Vendors including F&B.

Permit under Department of Economic Development DED.
All required documents will be shared with you in a separate memo one week prior to the event.

During the application process you will be requested to add a kiosk number and kiosk location.
Please add Kiosk No. 001 and Kiosk Location as Gallery S.

Booth Dismantle & Clearance

Access to Vendors for dismantle & clear out of all materials immediately after the event on 28th April
after 2:00am. Jewelry Vendor, Food Trucks and BYOB stands have until 9:00pm on 28th March.

IT IS IMPORTANT TO NOTE THAT MIRBAD WILL NOT BE RESPONSIBLE FOR ANY


MERCHANDISE THAT IS LEFT IN THE STANDS/BOOTHS AFTER THE EVENT IS
COMPLETED. ALL VENDORS MUST CLEAR THEIR MERCHANDISE & VALUEABLES BY
2:00 am ON 28th March 2023.

Venue Access Requirements – VERY IMPORANT

• All staff arriving for setup of the stands will be required to check in at the Security
Gate with a proof of Emirates ID.

Event Security
• 24 hours security available on setup and event days.

Event Days

Event Dates: 24th – 27th March 2023 (Friday to Monday)


Timings: 9:00pm – 2:00am daily
Location: Manarat Al Saadiyat, Abu Dhabi

• Each Participant will be provided with Participant Passes and will not be
allowed to work in the booth without a Pass. Passes can be collected from
the 1st day of the event from our Info Desk.
• Please note that unless you have a Participant Pass any friends or family will
need to purchase a ticket during event opening hours.
• Passes will be allocated as follows:
• 3x3 booths & smaller – 2 x passes each
• 5x5 booths & Jewelry stands – 4 x passes each
• Please ensure only Female Staff operate your stand on Event days as this
area is for Ladies only.
• Badges will be distributed from the Ticket Office or Mirbad Office (located at
the entrance) on 24th March from 7pm onwards.

Power, Wifi & Payments

• Please ensure to have a Data connection if you are providing your own
Credit Card machines.
• The venue only provides general WIFI for individual use.
• There are no ATM Machines available at the venue so please ensure to
bring enough change for cash paying customers.
• Each booth is already equipped with a 3 pin double power socket. Please
provide your own extension cables etc if needed.

F&B Vendors - Cleaning & Disposables

• Bins are provided around the F&B area for visitors to use however any food
waste, dirty water and other trash from your cooking area must be
disposed off site and removed by your own staff.
• Please provide your own water for cooking and cleaning as we do not have
those facilities.
• Please ensure sufficient Fire Extinguishers are made available around your
setup as per Health & Safety requirements from Civil Defense. If you fail to
provide your own Fire Extinguisher & maintain health & safety standards
during event operations a fine may be applicable by the respective
authorities.

Stand Design & Setup Guidelines

In order to keep the general Mirbad theme unified please note the following:

- All merchandise & displays must be within the stand area only.
- Those vendors that have rented Mirbad booths are provided with a generic branding on
top of the stand with your shop name.
- No Rollups or Banners are allowed outside the stand.
- Installation of Wallpaper, Décor or Graphics is subject to approval by the Organizers
and must be applied onto your own fascia’s which can be built inside the provided booth.
- Designs must be sent for approval 7 days before installation.
- Banners or 3D mounted logos must not exceed 2kgs in weight and all wiring must be
properly concealed.
- F&B are required due to Health and Safety regulations, to build their own set up entirely,
which includes washing station, waste disposal & civil defense approved Fire
Extinguishers along with the ADAFCA temporary food permit.
- We, the Organizer, will provide electrical outlets but do send us your requirements upon
confirming participation. All exhibitors building their own set up are required to send us
their final plans no later than 17th March 2023
- Each Mirbad booth comes with one chair and one counter desk for payments plus
sufficient overhead lights attached to the booth on 3 sides.
- The Mirbad booths are already equipped with hanging rails as shown in the participant
pack. You are welcome to bring your own furniture instead but please do let us know
via email if you will be doing so.

On arrival our Operations team will be present at the entrance to direct you to your
designated booth/area for setup.

For any vendors using sub-contractors and other suppliers to set up your stand –
please ensure to submit all required documents to MAS Security for approval
atleast 5 working days prior to setup. See attached:

1. Completely filled PTW (form attached)

2. Power supply request. (form attached/if any)

3. Method of statement and Risk assessment.

4. Valid Trade license.

5. All Risk/ Third Party Liability Insurance.

6. List of the worker who will be working inside with Emirates IDs
