1.1 Intranet

• All the people related to the Main available services


University of Oviedo have a • Office 365:

1.2 Office 365

Office:
• From the previous screen, we can directly
access to the most used Office tools to be used in the browser
• All the University users can download the desktop version of these tools
to be installed on their computers
o Up to 5 PCs (Windows or Mac) and 5 tablets or smartphones
o For this purpose, choose configuration , then Office configuration, and
finally Software. Choose Install and follow instructions.

• There is another resource to download software named DreamSpark. It is


especially useful to get developer tools and operating systems. The URL is:

1.3 E-mail, calendar and contacts

• The username (uoXXX) and the e-mail address (uoXXX@uniovi.es) will be active during
your whole stay at the University of Oviedo
• This address MUST be always used to keep all the academic stuff (you must keep separated
the private from the academic use). It allows us to store up to 50 GB of e-mails.
• It can be accessed from other devices (Tablet, Smartphone, PC)
o You must choose EAS (Exchange ActiveSync) connection if requested (see example in
the following slides)
o When connecting using EAS, both the calendar and the contacts are also connecting (in
tablets, smartphones and outlook)
o If EAS is not available, use IMAP o POP (in this order)
• When sending messages, always write a subject which clearly describes the purpose of the
communication.
• Options: see configuration (gear icon , next to the username)

Configuration example on a Samsung Galaxy S3 mini, Android 4.1.2

Open the mail app


(not Gmail). Choose Enter email address, Choose Microsoft Complete username
settings and add password and select Exchange Active and Exchange
account (+) manual config. Sync server.

1.4 Shared workspace (OneDrive)


From the main Office 365 screen, click on the tab to access the document
manager of your workspace (OneDrive for Business). Direct access with the URL:
http://unioviedo.onedrive.com/

We can create a new file (Word, Excel, PowerPoint or OneNote) from any
device with the Office provided by the online platform.
To do so we have to go to and choose the type of document we want
to create, or with New document from the FILES tab.

Each user has 1TB of storage space.
Other users can see my files only when I share them.

In order to upload an existing file to our personal area, we have different


options: drag and drop it on the window or, alternatively choose the option
or, in the FILES tab, choose Upload document.

In order to modify a file, double click on the name or choose the button … at the right
of the name, and then click on Edit in the browser.
NOTE: Be careful when working with old versions (.doc, .xls, .ppt). Every time you edit old documents with
the on-line tools, they will be converted to the Office 2013 or 2016 versions.

One of the things you can do with your files and folders is to share them
with other people. There is a folder in your personal area dedicated to the
“Shared with all users” documents, where you can share information with
other university users.

When sharing a file, we can do it in two different ways:
1. Inviting a group of people by providing their e-mail address (or choose them
form the contact list) and specifying the access privileges. The invitation will
be sent by a customizable email.
2. Using a link, which can be distributed in order to give access to the document
to people not authenticated on OneDrive.

• Word, PowerPoint, Excel web editing (Office Online): Many users can
edit simultaneously a document and see the changes introduced by
others. It is not necessary to save the documents when using this feature.
o NOTE: When you open one file from the website, it is initially on read-only
mode. In order to change the mode, you need to select the corresponding
option in the top menu.
• When Word or PowerPoint (2013 version) are installed on the
computer, other users can edit a document at the same time, but it needs
to be saved in order to make the changes visible to the rest. Excel is an
exception as it does not allow simultaneous editing (only from the website).
• Office Mobile: On smartphones and tablets running Android, Apple and
Windows there are also Office applications, but normally with a reduced
feature set.

• The OneDrive we have been discussing is known as OneDrive for


Business (https://unioviedo.onedrive.com/), which is a corporate service
we can access using the e-mail address provided by the University.
• Do not confuse it with OneDrive (http://onedrive.com/), which is a reduced
version available to anybody with an outlook.com account.
• These products were formerly known as SkyDrive
• SharePoint is the platform used by OneDrive for Business.
o It is composed of sites and libraries.
o Each user has a personal site and can create subsites and libraries.
o OneDrive for Business is the default library every user has in its personal site.

1.6 Exercises

1. Check your own e-mail address by sending a message to


another classmate
2. Set up your e-mail address on your smartphone and send
another message to check the configuration
3. Create your own personal space on OneDrive (not on the
PC), plus a PowerPoint document containing a single slide
with your personal data (name and e-mail address). Give
access to your classmate to edit the document and wait until
he/she shares with you his/her presentation. Modify the
PowerPoint document you have been given access to and
add a new slide with your data.
4. Complete the first task available on the Virtual Campus.
5. Additionally, solve the proposed test.
