Chapter 1
EmbroideryConnect Machine Networking

An EmbroideryConnect machine network allows for wireless design transfer to


embroidery machines that have a USB port. When activated in
EmbroideryStudio, you can send machine files via a standard WiFi network to a
compatible WiFi USB Stick plugged into the machine.

Most modern commercial embroidery machines like Tajima, Barudan, Happy,


ZSK, Ricoma and SWF, can read files from a standard USB memory stick. There
is no need for serial ports, different interface methods, or wiring for different
machines.

Machine network configurations


The simplest type of configuration is shown below for one PC and one machine.

 Send designs from one PC to multiple embroidery machines via separate
shared folders.
 Send designs from multiple PCs to the same embroidery machine via a shared
folder.

What you will need


To set up an EmbroideryConnect machine network, you need to have:
 A USB-capable embroidery machine which can read designs from USB
memory sticks:
 Preferably with the USB port built into the control panel by the
manufacturer.
 Add-on USB converters in old machines may not be compatible.
 An EmbroideryConnect-compatible system:
 Designing, Decorating, Editing, Lettering, or Digitizing
 The EmbroideryConnect element enabled in at least one ES e4 system
 A Wilcom-supplied WiFi USB Stick – one per embroidery machine requiring
connection.
 A compatible WiFi router.
 Windows shared folders accessible from the WiFi network and by
EmbroideryStudio users.
 Windows Administrator privileges. Access must be configured by a user who
has full administrator privileges and is part of a Windows ‘Workgroup’ or
‘Domain’ network.

WiFi router compatibility requirements


Note the following WiFi router requirements to be compatible with the
WiFi USB Stick.
 The WiFi router must use one of the standard security protocols:
 WEP, WPA/WPA2 Personal, or WPA-Enterprise.
 Caution: Security type of ’None’ or ’unsecured’ is not supported at present.
i.e. one that does not require a WiFi password.
 The WiFi router needs to support WLAN Protocol is 802.11 G compatible, in
the 2.4 Ghz band.
 Caution: The WiFi USB Stick will not connect to a WiFi router using the
5 Ghz band.
 If unsure, consult the documentation provided with your router.
 You must know the WiFi network name (SSID) and WiFi router password
(key).
 Caution: We recommend using a SSID (network name) that contains only
alphanumeric characters – letters and numbers.
 Make sure WiFi coverage is sufficient to serve the entire production area.

Usage scenarios
There are two basic ways of setting up an EmbroideryConnect machine
network using either a single PC or multiple PCs.

Single PC Multiple PCs

EmbroideryStudio with EmbroideryStudio with Machines files only


EmbroideryConnect plus design EmbroideryConnect plus
files and machine files design files

Caution Don’t turn off the PC containing your machine files, otherwise the
WiFi USB Stick will stop working.

Scenario 1: Single PC
If you are using a single PC to create, edit, and manage your designs as well as
serve machine files to your embroidery machine/s, you will need:
 EmbroideryStudio with EmbroideryConnect enabled.
 A dedicated root folder on the hard drive – e.g. C:\WiFiUSB. This will contain
all your machine files.
 Sub-folders for each embroidery machine – e.g. C:\WiFiUSB\Machine-1.

Caution Avoid shared folders from the Windows ‘Onedrive’ or ‘Desktop’ or any
folder that contains a path starting with ‘C:\Users’.

Scenario 2: Multiple PCs


If you are using one PC to create, edit, and manage your designs and a
separate PC to serve your machine files, you will need:
 EmbroideryStudio with EmbroideryConnect enabled on PC 1.
 A dedicated root folder on the hard drive of PC 2.
 Sub-folders for each embroidery machine.
Your design files are saved on PC 1 and machine files sent to PC 2.

Tip While the server PC does not require EmbroideryConnect to serve


machine files to the WiFi USB Stick, it is helpful to have a copy of
EmbroideryStudio with Design Library in order to manage your machine files.

How does an EmbroideryConnect machine network work?


The WiFi USB Stick is configured to access a specific shared folder on a Windows
network accessible via a WiFi router. The WiFi USB Stick automatically
downloads a copy of all design files placed in the shared folder. Using the
machine control panel, the operator can then read the designs from the local
memory of the WiFi USB Stick.

Overview of how to configure and work with an EmbroideryConnect
machine network
You configure the system as follows:
 Set up a shared folder on the Windows network computer for each
WiFi USB Stick.
 Note the network location created by Windows – this includes the
computer name and folder name.
 Note that an additional sub-folder is required for Barudan machines. See
Create your shared Windows folders for details.
 Configure each WiFi USB Stick on your PC.
 Use the Connection Manager Setup command.
 Configure it to connect to your WiFi router.
 Configure it to connect to the specific shared folder for each embroidery
machine.
 Configure the desired embroidery settings such as machine file format and
options.
 Label the WiFi USB Stick with the name of the machine connection you set
up.
 Plug the WiFi USB Stick into the embroidery machine USB port.
 Leave the stick always plugged into the machine – no need to plug/unplug
it.
 The WiFi USB Stick automatically monitors and mirrors the contents of its
shared folder.
 Designs written to the shared folder by ES are automatically copied to
the WiFi USB Stick.
 Designs deleted from the shared folder are automatically deleted from
the WiFi USB Stick.
 Send designs to the desired machine using Connection Manager.
 ES converts from EMB to the selected machine file format, and writes it
into the shared folder.
 The WiFi USB Stick automatically detects this and copies the machine file
into its local memory.
 The operator selects which design to read into the embroidery machine.
 The machine operator instructs the machine to read designs from
WiFi USB Stick.
 The machine then shows a list of designs in the WiFi USB Stick local
memory.
 The operator chooses which designs to stitch.
 The embroidery machine reads it into machine memory so it is available to
stitch.
 You must remove designs from the shared folder in order to remove designs
from the WiFi USB Stick. When a production job is complete:
 Remove the design from the shared folder using either Design Library or
Windows Explorer.
 By using Design Library, the Job Status can be used to indicate which
designs can be removed.
 Do this regularly – e.g. daily – in order to:
 Make design download times quick (especially when the machine is first
powered on).

 Avoid exceeding the WiFi USB Stick memory capacity. See section below
about memory capacity and download times.

Further notes about WiFi USB sticks


The WiFi USB Stick memory is temporary. The memory contents are only
maintained while it is powered on.
 The WiFi USB Stick is intended for production use, not general storage.
 If you unplug the stick from the machine, its memory is cleared. No files are
saved.
 This keeps your production files secure. No one can copy a design from the
WiFi USB Stick.
 The WiFi USB Stick will automatically download a fresh copy of designs from
the shared network folder each time it powers on again and re-connects with
the WiFi router.
The WiFi USB Stick memory size can be configured for compatibility with
different machines.
 Each WiFi USB Stick can hold a maximum of 16MB of memory (15.5 MB
available).
 You can configure it for less memory (if needed) for compatibility with older
machines – e.g. 16, 8, 4, 2, or 1.44 MB (floppy disk size).
The WiFi USB Stick is physically larger than a normal USB memory stick.
 You need about 30 x 15 mm (1¼ x 0.6 inch) around the USB port.
 If it is too big, simply use a male-to-female USB extension cable.

WiFi USB Stick capacities and download times


The capacities and download times shown below are approximate based on
typical logo type designs in the order of 10,000 stitches.
The WiFi USB Stick memory capacity in Megabytes (Mb) is configurable. For
example:
 16 Mb stick memory holds about:
 3 to 5 million stitches, depending on the machine format.
 350 to 500 designs of 10,000 stitches.
 4 Mb stick memory holds about:
 800 thousand to 1 million stitches depending on the machine format.
 80 to 100 designs of 10,000 stitches.
The approximate time for a WiFi USB Stick to download designs from a shared
folder is the combination of:
 10 seconds to initially connect to the network.
 1 minute per megabyte of data – a few seconds per design.
The data size of designs depends on the machine file format being used:

Identifying your Windows account type
Your precise EmbroideryConnect settings will depend on your Windows
account type. There are three:
 Local account
 Microsoft account
 Domain account

To identify your account type on Windows 10


 Log onto your computer.
 Click Start and select your Account icon.

If your account is a local account, it will state ‘Local Account’:

If your account is a Domain account, it will display your network domain name

Configuring an EmbroideryConnect machine network


Follow the instructions below to correctly configure an EmbroideryConnect
machine network.

Create your shared Windows folders


Select the PC that will act as the network file server – one that will always be on
during your production hours and is accessible via the WiFi network. This
requires:
 A user login with Windows administrator privileges, and
 Access to the Windows Workgroup or network domain.

Caution Don’t turn off the PC containing your machine files, otherwise the
WiFi USB Stick will stop working.

To create shared folders using Windows Explorer


1 Create a dedicated root folder on the hard drive to hold the shared folders for
all your machines – e.g. C:\WiFiUSB.

any folder that contains a path starting with ‘C:\Users’.
2 Then create separate folders under this for each WiFi machine. For example:
C:\WiFiUSB\Machine1
C:\WiFiUSB\Machine2 …

Note If using Barudan machines, a special sub-folder is required. This can


be created later when you configure the WiFi USB Stick in Connection
Manager.
3 Make each of the machine folders a separate shared folder.
 Right-click the folder and select Share with > Specific people. By
default the current user will be the owner. Share with ‘Everyone’.

 Set permission level to ‘Read/Write’.

4 Once done, click Share.


5 Note down the network folder location as you will need this later when setting
up other EmbroideryStudio systems that will be sending designs to this
machine. The location is made up of \\YourComputerName\YourFolderName.
6 You should also label the WiFi USB Stick to identify the specific machine to
which it will be connected. Write the machine name or number on the
WiFi USB Stick.

Tip If you are setting up multiple folders for multiple devices, maintain a
table of device names and corresponding folder names.

Configuring the WiFi USB Stick connection

Use Standard > Send to Connection Manager to connect to supported machines


via proprietary machine software.

The initial setup must be done with the WiFi USB Stick plugged into PC and
configured using the Connection Manager Setup. Before starting to configure
the device, make sure of the correct password for the WiFi router as it will be
needed during the setup process. Also check that the WiFi router satisfies the
router requirements.

To configure WiFi USB Stick connection
1 Attach the WiFi USB Stick to the PC which has the EmbroideryConnect
element enabled in the software.

2 Run EmbroideryStudio and right-click the Connection Manager command


on the Standard toolbar.
3 Click Create. The Connection Settings dialog opens.

4 Select WiFi USB Stick from the connection type droplist. If this is not visible,
check that you have ES version e4.1G or later, and have the
EmbroideryConnect element enabled.
5 Enter a name for the connection – e.g. ‘WiFi USB Stick #1’ or ’Machine 1’ to
match your shared folder name and select an icon. This icon will appear on
the Standard toolbar.
6 Click the Setup button. The WiFi USB Setup dialog opens.

7 Click the Scan button to scan for local WiFi networks. Wait a minute or so
until the droplist prompt message clears, then open the Router droplist to
see the detected WiFi routers.

Tip If you already know the WiFi network, you can specify it manually by
selecting ‘Other’ without first having to click the Scan button. Note that the
SSID or WiFi name is case sensitive.
8 Select your WiFi router from the list, and enter the WiFi security protocol and
password.

Note Unsecured WiFi routers with no password are not compatible with the
WiFi USB Stick.
9 Click Connect. This may take a little while. Once complete, a confirmation
message will appear. Your WiFi USB Stick is now connected to the wireless
network.

Caution During setup, Windows Explorer may produce some warning


messages. Ignore these as the device will disconnect and reconnect several
times during the procedure. If asked to scan, click No.

To configure the WiFi USB Stick shared folder


1 In the USB WiFi shared folder panel, enter the login details of the user with
full read/write access to the folder. Remember, the precise settings will
depend on your Windows account type: Local, Microsoft, or Domain.

For Local or Domain, use the username and password used to log onto the
PC. If the PC uses a Microsoft account, use the account email address. See
Identifying your Windows account type for details.

2 Enter the Workgroup if different to the default. The Windows default is


’WORKGROUP’. If using Windows Professional or Enterprise with a specific
‘Domain’ network, enter the domain name instead of the workgroup name.
See Identifying your Windows account type for details.
3 Click Scan to obtain a list of shared folders. After a minute or so, click to
open the Folder Name droplist to see the detected shared folders – using
their ‘Network Path’. Recall that the network path is in the form of
\\ComputerName\FolderName.
4 From the droplist, select the shared folder network path that you created
earlier which is to be used by the attached WiFi USB Stick.

5 Click Connect to apply the settings. Once complete, you will receive a
confirmation message will appear that the device has successfully logged in
to the Windows network and connected to the shared folder.

6 Click Close to close the dialog. The shared folder is automatically entered in
the Folder location field of the Connection Settings dialog.

7 In the File type field, select the file type to be sent to the machine.
8 Click the Options button to check settings for the selected file type. For
example, with DST file type, choose whether to include TBF/DST file icons in
the output.
9 If the machine being used is not a Barudan machine, click OK now to
complete the setup. The WiFi USB Stick can now be disconnected from the PC
and connected to the machine.
If the machine used is a Barudan machine, do not click OK and configure a
sub-folder first. See below.

To configure a sub-folder for Barudan machines


If the WiFi USB Stick will be used with a Barudan machine, a special sub-folder
must be configured. Barudan machines will not read designs from the root folder
of any USB stick. First, set up a shared folder in the normal way, one for each
WiFi USB Stick being used. Then, set up a sub-folder to the machine’s shared
folder to match the type of stitch files being sent.

The sub-folder is added to the folder location in the Connection Setting dialog.
This means that designs are placed in the special sub-folder of the
WiFi USB Stick.

 If already created, select the sub-folder:


 Click Browse.
 Select the sub-folder and click OK.
 If not created in an earlier step, create a new sub-folder now under the
shared folder for this machine:
 Click Browse.
 Select the machine folder.
 Click Make New Folder.
 Enter the folder name.
 Click OK.

Configuring WiFi USB Stick memory size


The default capacity of the WiFi USB Stick is 16MB and most machines accept
this size of USB memory stick. Some older machines require smaller sizes such
as 4MB or Floppy disk size (1.44 Mb).

To configure the WiFi USB Stick memory size
1 If the memory size of the WiFi USB Stick must be reconfigured to be
compatible with specific embroidery machines, now is the time to do it. Click
the Memory Size button to access settings.

2 Select the memory size required for the machine.


3 Click OK to close and save the setup. It can take up to 30 seconds for changes
to be made.
4 Confirm the change to the WiFi USB Stick Memory size while the device is still
connected to the PC.

Tip Label your WiFi USB Stick with the connection name you used Step 4
above – e.g. ‘WiFi USB Stick #1’.

Connecting to WiFi USB Stick from another ES computer


Once the WiFi USB Stick and shared folder are properly configured, connection
can be made from any PC running EmbroideryStudio. Additional systems only
need the folder location and shared folder permissions. There is no need to

reconfigure the setup unless something has changed with the WiFi router or
shared folder.

To connect to WiFi USB Stick from another ES computer


1 Click (or right-click, if a machine setup already exists) the Connection
Manager icon on the Standard toolbar. The Connection Settings dialog is
displayed.

2 Select ‘Machine Folder’ from the droplist.


3 Enter the name used to identify the connection when the WiFi USB Stick was
initially configured.
4 Select an icon for the connection.
5 Select the file type you want to send to machine. This must be the same as
the file type selected during the initial setup.
6 Click Options to check settings for the selected file type.
7 Key in the folder location if you know it. Or click Browse to search the
network location of the shared folder that was configured for this
WiFi USB Stick. This was noted down during the initial setup.

Managing designs for production


Each WiFi USB Stick in the EmbroideryConnect machine network is only
intended for production, not general storage. Once the EmbroideryConnect
machine network is set up, the production process must be managed. For
instance:
 Prior to each shift, add production files to each of the shared machine folders.
 Optionally, set the job status for each EMB file to be produced to ‘8 - In
Production’.
 At the end of each shift, reconcile the jobs completed and delete those files
from the shared machine folder.
 Optionally, find the original EMB file and set the job status to ‘9 - Job Done’.

Sending designs to machine

Use Manage Designs > Send to Connection Manager to stitch out the design
selected in Embroidery Library.

In order to send designs to machines and manage the files on the WiFi USB
Stick, it is recommended to use Design Library. Once configured, use the
Send to Connection Manager command to send individual designs to shared
folders.

Sending multiple designs

Use Manage Designs > Convert Selected Designs to convert the design selected
in the embroidery library into different machine file types.

In order to send multiple designs to enable a full day’s production on a specific


machine, use the Convert Selected Designs command to send selected

designs to the shared folder as shown. Use the Browse function to locate the
shared folder on the network.

Manage designs in shared folders

Use Manage Designs > Manage Embroidery Library Locations to add or remove
existing folders from the Embroidery Library, enabling fast searching and filtering.

The best way to manage the contents of shared folders and, by extension, the
designs that can be seen on each machine, is to add them to Design Library.

files and they will in turn be removed from the WiFi USB Stick on the machine.

Troubleshooting the WiFi USB Stick


If experiencing problems using the WiFi USB Stick, double check that it connects
to the WiFi and the shared folder correctly.
 The two LED lights on the stick will be both ON and SOLID if connected.
 If the two lights flash on briefly and then slowly fade out, it is NOT connected.
If a mistake was made in the configuration settings, simply start again and
re-configure it, double-checking the settings.
A radical step would be to try resetting it by inserting a hairpin into the ‘Reset’
aperture on the side of the device. The device must be connected to the PC
during this operation. This restores the device to its original factory settings. The
WiFi USB Stick must then be reconfigured using Connection Manager.

If this doesn’t solve the problem, go to Wilcom Support site and check for
updates. If available, download the latest WiFi USB Stick ‘patch’. To patch the
device follow these simple steps:

 Connect the WiFi USB Stick to the PC.
 Copy the patch file into the USBWIFI folder on the actual device.
After a few seconds the device will disappear from the PC and then return. It is
now patched.

Caution If the WiFi USB Stick is subsequently reset, any modifications to


settings are lost and any patches will need to be reapplied.
