1. Purpose
The purpose of this document is to outline the technical requirements and scope of work
for canopy fabrication and supply inclusive of all components such as roofing, false ceiling,
gutter & down take pipes, provision in false ceiling for lighting fixtures, safety etc.

2. Scope of Work
2.1 General

2.1.1. Scope of work includes manufacturing, packing, Supply, transport, and installation of
canopy steel structure at RBML Retail Outlet.
2.1.2. Vendor’s scope of work shall cover the supply, fabrication of canopy structure for roof
& false ceiling, fixing of profiled roof sheets & false ceiling, routing of gutter and down
take pipes, inspection, packing, transportation and erection of pre-engineered / pre-
fabricated steel canopy at site. Location of site would be anywhere in India.
2.1.3. Vendor shall submit fabrication drawing for Owner’s concurrence. Vendor shall
incorporate Owner’s comments and revise design & drawings. Vendor shall fabricate the
canopy as per Owner certified drawings only.
2.1.4. Vendor shall prepare fabrication drawings and shall workout detailed MTO for each
component.
2.1.5. Vendor shall follow good engineering practices while fabrication and erection of the
canopy structure.
2.1.6. Vendor shall make adequate jigs, fixtures & templates and use appropriate tools &
tackles to facilitate mass fabrication of the canopy with consistent quality output.
2.1.7. Owner reserves the right to free issue full / part materials as per vendor drawings / MTO.
2.1.8. It is not the intent of this specification to completely specify each and every design criteria
and technical requirements for design, fabrication and erection of the structure.
2.1.9. Nevertheless, the canopy shall conform to high standards of engineering and
workmanship. Notwithstanding the limitation of this specification, vendor’s scope of
work shall include from design to erection of fully functional canopy incl. all requisite
components.
2.1.10. Vendor shall obtain in writing from the Owner any exception to this specification along
with the bid. Any change / deviation from the scope of work not duly approved by the
Owner shall be liable for rejection.

2.1.11. Canopy shall be cladded as per architectural drawings enclosed herewith. For facilitating
fitting of standard shop fabricated cladding pieces at site, structural fabrication quality
and finish is of utmost importance and any bend, twist or any other deformation is
totally unacceptable. Vendor shall fabricate entire structure as per tolerance set by
prevalent IS codes and as detailed in Annexure-1. The Fascia & column cladding work shall
be carried out by others, appointed by owner.
2.1.12. Luminary supplier / electrical contractor shall be appointed by the Owner. Canopy vendor
shall co- ordinate site work with electrical contractor prior to fixing and finishing of Canopy
Erection at Site.
2.1.13. Vendor shall prepare & submit erection method statement giving details of Manpower,
tools & tackles required for erection to Owner for review.
2.1.14. On receipt of materials at site, vendor shall take possession of all materials and commence
erection activity, subject to readiness of site.
2.1.15. Vendor shall make arrangement of lifting tools and tackles including crane if required for
erection.
2.1.16. Vendor shall provide all safety gears (Mandatory are safety shoes, safety belts, helmets) for
their workmen at site.
2.1.17. Since painting on structural members is carried out on shop, hence vendor shall ensure
flaws, scratches, defects etc (if any) occurred on painted surface to be rectified before
starting the erection of canopy.
2.1.18. Before starting the erection of canopy, vendor shall ensure the foundation casted by civil
contractor is checked & is as detailed in the drawing & a joint protocol will be made amongst
Canopy vendor, Owner engineer & Civil contractor.
2.1.19. Fabrication & erection tolerances shall be as per specification NROP4-GEN-STDCMN-SSC-
104 AND ANNEXURE -I
2.1.20. Owner shall not provide for power supply at site. Hence, vendor shall ensure that pre-
fabrication is complete and site work is4limited to assembly. No welding work shall be
permitted at site.

2.2 HSE Compliance

2.2.1. During Erection, area to be cordoned off, with prior approval from owner / site engineer in
charge.
2.2.2. Persons working should always wear Personnel Protective Equipment.

2.2.3. While excavation, care to be taken that none of the underground facilities like cables,
pipelines, are damaged. In case of any damage to our properties due to the negligence on
the part of the vendor or their workmen, the vendor will be held responsible and liquidated
damages as assessed by the corporation would be recovered from them.
2.2.4. Vendor to take care of his belongings & no separate storage space shall be provided for the
purpose.
2.2.5. For safety assessment, site specific HSE drawing to be referred.
2.2.6. Vendor / contractor shall comply, all HSE requirements specified in the document “Safety
during construction at site –“CES-DOC-SC-RO-211”.
2.2.7. Vendor / contractor to submit HSE plan, prior to start of erection of Canopy structures at
site.
2.2.8. Vendor shall accept and adhere to the conditions specified in the permit to work while
performing the work at operational RO’s.
2.2.9. Workmen shall use all mandatory personal protective equipment (PPE) (Safety Helmet,
Safety Shoe& Reflective jacket) and job specific personal protective equipment (Dust Mask,
Hand gloves and etc).
2.2.10. Identify and locate the underground utilities before digging.
2.2.11. Caution tape shall be provided all around the performing area. Erection sites shall be
barricaded with caution tape all around and display the warning signs.
2.2.12. Earthing of machinery shall be ensured.
2.2.13. Conduct daily Toolbox meetings to ensure that all workmen are aware of the correct
procedures to prevent an unwanted incident and any hazards associated with the job task.
2.2.14. Any HSE violations observed at site and are subjected to penalty.

3. Material specification
3.1 Canopy Columns
The columns shall be fabricated to form closed box made out of hot rolled sections.
Vendor shall use only branded steel manufactured by SAIL, R.I.N.L, JINDAL, ESSAR, TISCO
and LLOYDS.

3.2 Connection Bolts


All connection bolt shall be of class 4.6 confirming IS 6639.

3.3 Roof Sheet (Including rear side gable end)
3.3.1. Roof sheet shall conform to minimum specification of 0.45 mm Base metal thickness B.M.T
bare galvalume with yield stress of minimum 550 MPA. Galvalume roof sheet shall conform
to AS 1397 / ASTM A 792. Galvalume sheet shall be cold roll formed to trapezoidal profile as
per IS 513.
3.3.2. Steel substrate shall have coating of Aluminium zinc alloy by hot dip process. The Aluminium
zinc alloy composition by weight shall be nominally 55 % Aluminium: 43.4 % Zinc & 1.6 %
silicon. The coating mass of minimum 150-gm/sqm conforming to AZ 150 shall be complied.
3.3.3. Roof sheet shall be guaranteed for at least 20 years. Roof sheets of approved make shall be
sized to maximum transportable lengths to minimize the lap joints.

3.4 Rear side Gable end and roof accessories

3.4.1. Material used for rear side gable end and barge capping, apron flashing, cover flashing &
gutters shall conform to the specification of roof sheet.
3.4.2. Wherever flashing is done with the trapezoidal profile, filler blocks (Polyurethane cross-
linked fire retardant) shall be provided in the gaps and sealed with silicon sealant for leak
proof performance.

3.5 Fasteners

3.5.1. Steel sheets shall be fixed with hexagonal head self-drilling screws of approved make with
EPDM seals. Fasteners shall be 45 microns thickness zinc tin alloy plated & conform to AS
3566, Class 3.
3.5.2. For self-drilling / self-tapping screws, high rpm (2000-2500 rpm) drivers with high amperage
(4-7 amps) shall be used to achieve the proper torque to secure fastening. Drill bits shall be
cleared out after the completion of drilling of4sheets.

3.6 Rainwater Gutter & Down Take Pipe

3.6.1. Valley Gutter shall be made out of minimum 0.9 mm Aluminium sheet material with end
caps, straps assembled with joint pieces, riveted & sealed with silicon sealant. Gutter shall
be connected with down take pipes by PVC sleeves.
3.6.2. Gutter shall be also supported with G.I. straps 40 wide x 5 mm thick fixed to rafter or purlin
with GI fasteners, EPDM seals. Gutter shall be supported at centres not exceeding 600 mm.
The gutter, when fixed shall be true to line and slope and shall be watertight. Leaf guard
shall be provided at rainwater pipe mouth at roof gutter.

3.6.3. The gutter shall slope in such a way that the water collected from the roof is directed to
down take pipe smoothly without stagnation of water at any point of the gutter.
3.6.4. Vendor shall use heavy-duty UPVC pipes for draining rainwater which will be fixed with
gutter down take spout at one end & other end will be inserted in the PVC sleeve provided
in the foundation & shall be joined using approved solvent cement or any other proper
sealant. The pipes shall be fixed with the gutter using clamps & other fixing accessories to
have leak proof arrangement. Pipe shall run down through steel column and column base
plate.
3.6.5. Site contractor appointed by the Owner shall do routing of down take pipe further to its exit
from canopy.

3.7 False Ceiling


False ceiling shall be made from coil coated G.I. sheets. False ceiling shall be of rigid type
fixed from the super structure. Panels shall be finished on exposed side with coil coated high
durable polyester coating. Panels shall be 150F type with interlocking tongue and groove
arrangement. Panels shall be supplied in maximum transportable length. Edge closure
flashing shall be of the same material & thickness as false ceiling.

3.8 Painting of Structural Steel

All painting activities shall be carried out at shop.

3.8.1. Surface preparation on column


Surface preparation shall be carried out to desired surface finish as per Swedish standard of
SA2.
3.8.2. Painting on column
Two coats of red oxide primer in 30 microns DFT each & two finish coats of synthetic enamel
paint in 30 microns DFT per coat of black colour shall be applied on column. Inside of column
shall not be painted. The base plate shall have two coats of red oxide primer of 30 microns
each coat.
3.8.3. Surface preparation on Roof supporting Structure
Surface preparation shall be carried out to desired surface finish as per Swedish standard of
SA2.
3.8.4. Painting on Roof supporting structure
Two coats of red oxide primer of 30-micron DFT each.

4. Packing, forwarding, and unpacking & handling at site
4.1 Packing and Forwarding
4.1.1. Vendor shall ensure that all the materials shall be packed properly and dispatched to avoid
any damage to the materials during transportation.
4.1.2. All components / assembly of canopy shall be suitably prepared and packed for
transportation on road and open yard storage condition at site. The packing should protect
the components against
4.1.3. corrosion, dampness, breakage, or vibration injury during transportation & storage until
installation.
4.1.4. All major items & loose parts, accessories to be packed in one case. All loose material to be
identified with a main item code & part list also to be provided with codes for easy
identification.
4.1.5. Each part to be packed in appropriate packing material.
4.1.6. Each consignment shall be identified with the contents, purchase order number and item
number.
4.1.7. When components have been split for transportation, proper match marking and
correlation should be provided for easy identification at site.
4.1.8. Each consignment shall mention the weight of the components. Wherever required “Handle
with Care” instruction shall be mentioned on the consignment with topside arrow markings.
4.1.9. Lifting lugs shall be provided & lifting location shall be marked clearly on each consignment
for safe & easy handling during transportation & storage. All the consignment shall be
properly sized for ease of transportation.

4.2 Unpacking & Handling at Site

4.2.1. Vendor shall ensure that their site supervisor reaches site before arrival of
consignment at site. Vendor site supervisor shall receive the consignment at site.
Vendor shall unpack the received consignment at site. Vendor shall report any
shortage/damage to site engineer & their office for necessary replacement. Vendor
shall act for replacement & report to the Owner. Vendor shall arrange necessary
security to avoid theft of material.
4.2.2. Make necessary stay arrangement of his workmen nearby. Arrange for labour license
& workmen insurance policy. Arrange for gadgets (e.g. hand gloves, safety shoes etc.)
for their workmen.

4.2.3. Vendor shall be responsible for handling of the canopy & its accessories at site.
4.2.4. Vendor shall clear all packing material and debris generated at site during unpacking
and installation.

5. Site installation, inspection, and certification


5.1 General

5.1.1. Canopy installation shall include erection of canopy structure on the foundation
provided by Owner, align and fasten site bolt joints and tightening of foundation
bolts. Water level & plum level shall be ensured while canopy installation at site.
5.1.2. Vendor shall co-ordinate with site in-charge for allocation of proper space for
preserving his tools and tackles.
5.1.3. Vendor shall adhere to the procedures laid down by site in-charge regarding material
receipt, issue, material return and its possession at site.
5.1.4. Vendor shall discuss and agree with site in-charge the erection sequence and
milestones that site in- charge would like to witness.
5.1.5. Vendor shall keep records of all inspection reports at site and take approva l and
signature of site in charge from time to time. During the installation of canopy,
owner’s representative shall carry out random inspection.
5.1.6. After erection of canopy steel structure, roofing and false ceiling at site, the assembly
shall be tested at site in presence of owner / site engineer in charge to ascertain its
water tightness. After completion of water test the results and rectification measures
(if any) to be followed shall be documented and executed prior to final completion
of job by vendor.
5.1.7. After satisfactory completion of the job at site, vendor shall obtain completion
certificate from the Owner.
5.1.8. Owner’s civil contractor under canopy vendor’s supervision shall do grouting after
the structure is installed and levels checked jointly with Owner.
5.1.9. Vendor shall have work compensation insurance policy for its workmen working at
site.

6. Documentation
6.1 General

6.1.1. Vendor shall submit following documentation as per the schedule indicated.
6.1.2. Documentation shall be in English Language. Metric system of units shall be followed
in all drawings and documents.
6.1.3. All drawings and documents shall be transmitted to the Owner electronically. Hard
copies, four sets of interim documents and seven sets of final documentation, shall
be submitted to the Owner. 2 CDs containing final documentation shall be submitted
to the Owner.

6.2 Interim Documents

6.2.1. Vendor shall prepare & submit general arrangement drawings for Owner’s review &
approval. The drawings shall give full details including following
• Roofing and false ceiling supplier’s details.
• Quality plan
• Inspection and NDT procedures
• Fabrication procedures
• Loading & Un-loading scheme for the transportation
• Installation procedures
6.2.2. Comments offered by Owner shall be incorporated and revised documents shall be
submitted for final approval within 2 weeks of receiving Owner’s comments.

6.3 Final documents

6.3.1. Vendor shall furnish 3 set per type size of Canopy for following final documents.
6.3.2. Final certified drawings pdf file and Auto CAD file of version 2018 & below.
• Quality plan
• Inspection and NDT procedures with actual inspection/test reports
• Fabrication procedure and Welder qualifications
• Material Tests Certificates for all material used (structural steel, false ceiling,
roofing, connection bolts)
• TPI if applicable.
• Installation Procedure

• Completion certificate
• Fabrication drawings along with Stability Certificate
6.3.3. One set of draft final documentation shall be compiled and submitted before dispatch
of the material. Final documentation along with completion certificates shall be
submitted after completion of site work. Above documentation shall be bound
properly with plastic cover sheets and submitted to the Owner. Completion
certificate shall be submitted for each site.
6.3.4. Submission schedule

Final documents along with final bill : Within 1 week of canopy installation at site

7. Owner’s scope of work:


Owner shall provide civil foundation at site. Foundation bolts shall be supplied by the
civil contractor.

8. Scope of work of other agencies:


Following work shall be carried out by other agencies appointed by the Owner.

11. Annexure-1: Erection tolerances
Tolerances allowed in the fabrication & erection of structural steel canopy shall be as follows
