1. Navigation Panel Pin. The entire navigation panel can be minimized or pinned open with the double chevron icon. It will minimize automatically on tablet
and mobile devices.
2. House icon. Clicking the House icon takes you to the Home page (or to your default dashboard if you have the Home page option turned off).
3. Dashboard. To the right of the house icon, a dashboard lets you know where you are within the system at any given time.
4. Filter Navigation. Find menu items quickly using the Filter Navigation box.
5. Navigation Groups. The navigation is organized by Navigation Groups, which you can expand to show the Processes underneath.
5 6. Add. Add a dashboard.
7. Edit. Edit the currently selected dashboard.
8. Delete. Delete the currently selected dashboard.
9. Actions. This icon opens the Actions right side panel. The red number indicator will let you know how many actions you have assigned to you.
10. Help. This icon opens a list of help options such as online help, document library, and so on.
11. User. This icon opens the user settings in the right-side panel.
12. Add a Gadget. Clicking the circular plus icon on the bottom right of the screen allows you to add gadgets to your dashboard.

Using the Document Control
Application

• Document:
• Adding a New Document.
• Approving a Document.
• Reviewing a Document.
• Starting a New Version of a Document.
• Obsoleting a Document.
Adding a New Document.

Steps:
1. In the filter navigation type any word related with “Documents” until you see what you are looking for in the navigation groups.
2. Click on the Documents displayed in Navigation Groups.

Note: If you have the Document module in “My Favorites” just Click on it.

Steps:
1. In selected Documents from the left navigation panel click the Add New button in the toolbar.
Steps:
Enter the required information for
1 5 this new document in General Tab:
1. Control Number.
a 2. Document Title.
3. Document Type.
4. Starting Version.
5. Include the Document File:
a) Add New File
b) Select File To Upload
c) Search The File

Steps:
Enter the required information for this new document in Version Specific Tab:
1. Change Description. (Specific changes that were made to the document).
2. Effective Date. (The date that this document version become effective).

Steps:
Enter the required information for this new document in Document Review Tab:
1. Review Frequency. (The frequency at which this document should be reviewed).
2. Save.
3. Awaiting Approval.
4. After you click in the Awaiting Approval the person that needs to approved this 4
document will be notify via email.
Steps:
Last step please review the document
information in General Tab:
1. Approve/Reject

4. Once all members of the approval process have finished, the document
becomes official and ready for use.

Steps:
To see the Document in PDF:
1. Click “View File”

Starting a New Version of a Document.

Steps:
1. In the filter navigation type any word related with “Documents” until you see what you are looking for in the navigation groups.
2. Click on the Documents displayed in Navigation Groups.

Note: If you have the Document module in “My Favorites” just Click on it.
Note

Steps:
1. Search for the document that we want to create a NEW VERSION.
2. Double click in the file with the latest version.

Note: You can go thru your site location and find you documents as well.

Steps:
1. Click in the icon ACTIONS.
2. Select Start New Version.

Steps:
1. Go to Version Specific Tab.
2. Enter the Change Description.
3. Enter the Effective Date.
4. Click Save 3
5. Select Draft.

Steps:
1. Go to General Tab.
2. Check Out.

4. Modify the File.
5. Check In.
6. Select File Updated to Upload.

8. File uploaded Successfully.
9. Save and select Awaiting For Approval.

Steps:
1. The personal responsible to approve this
change will receive an email.

3. Approve/Reject.
4. Enter a comments if need it and approve.

Steps:
Last step please review the document information

1. Once all members of the approval process
have finished, the document becomes official
and ready for use.
2. After Approving the owner will be notify via
email.

Steps:
To see the Document in PDF:
1. Click “View File”

Obsoleting a Document.

Steps:
1. In the filter navigation type any word related with “Documents” until you see what you are looking for in the navigation groups.
2. Click on the Documents displayed in Navigation Groups.

Note: If you have the Document module in “My Favorites” just Click on it.
Steps:
1. Search for the Document you
want to obsolete.
1 2. Double Click on it.
3. In the Owner Tab, include the
Reason for Obsoleting.
2 4. Select the "Obsolete Document"
check box.
5. Save “Now the status is Awaiting
Obsoletion Approval”

Steps:
1. The same approvers that made
the document official are used to
make it obsolete, click save.
2. Add any comments if need it.
3. After each approver has
approved, the document's state is
set to Obsolete, rendering the
document invisible to typical
document users.
