Purpose of this assignment

This assignment help students to demonstrate their employability skills required for
effective employment and to manage their own personal and professional development. The
assignment provides an opportunity to the learners to assess and develop an understanding of
their own responsibilities and performance in or when entering the workplace.

Completing this assignment you will demonstrate a range of interpersonal and transferable
communication skills to a given target audience, apply critical reasoning and thinking to a
range of problem scenarios, be able to discuss on the importance and dynamics of working
within a team and the impact of team working in different environments and most
importantly examine the need for Computing Professional Development (CDP) and its roles
within the workplace and for higher level learning.

although you will not be penalized for exceeding the total word limit.

Part 3: A written evaluation of your performance in this task and your contribution to the
team. You are required to make use of headings, paragraphs, subsections and illustrations as
appropriate, and all work must be supported with research and referenced using the APA
referencing system. The recommended word limit is 1,000 words, although you will not be
penalized for exceeding the total word limit.

Scenario

Assume that you have been working as an intern in an IT company. Your key task is to
support your training and development manager with the planning and implementation of a
professional development event to targeted audiences.

The training event is scheduled over a two-day period at a mutually agreed venue and will
include a number of activities such as workshops, pair works, presentation and discussion. The
centre requires a schedule of the types of activities proposed so that plans can be finalized.
You have also been asked to design and deliver a workshop as part of the training event based
on the dynamics of team working.

To effectively complete the tasks below you need to be able to apply a range of skills such as
effective communicative skills, interpersonal skills, and time management skills. You need to
be able to develop a specification of an identified problem, identify the tools and methods to
solve the problems, plan and implement the solutions and finally be able to evaluate the
problem.

Assignment Task

Based on the context above, complete the followings.

Part 1 (work in a small group of 3 or 4 but each has to produce individual report)

1. Produce a professional schedule for a two-day event (using project management


software) that identifies planning and resourcing prior to the event.
2. Design a training pack including a range of activities, seminars, workshops, team-
building activities and break-out sessions. It is expected that 30 employees will attend
the event. There is a large auditorium that will seat 60, and the outdoor center can
accommodate 15 at any one time for activities. In addition, there are three break-out
rooms, one with computers for up to 20 and two other seminar rooms that seat up to
30.

Part 2

1. Design a two-hour workshop session based on ‘team dynamics’. The workshop will
include a presentation which will discuss the importance of team dynamic in the
success and/or failure of a group work. You will also provide interactive links to
suitable sites and prepare an activity sheet that will require delegates (trainees/
participates) to take part in some form of team-building task.

Part 3

1. Following the event, your training and development manager has asked you to provide
some feedback. Produce a written evaluation of the effectiveness and application of
interpersonal skills during the design and delivery process. You should also include an
evaluation of your performance in this project and your contribution to the team you
worked in.
2. Produce a report discussing problem-solving and its importance in planning and
running an event. Your report should include a discussion of various problem-solving
techniques and justify the solution methodologies used during your project. You should
also include a critique of the application of critical reasoning and your experiences of
it.

Part 1

Introduction
In this part I’m going to talk about, the event that my team had conducted recently. My main
responsibility as an intern at the firm where I've been engaged for this work is to assist the
training and development manager with the organization and execution of a professional
development event for students. I have chosen grade 10 students from V.S. Niketan Higher
Secondary School which is located in Minbhawan, Kathmandu. The students of grade 10 are
willing to get new knowledge of data communication and computer network from us. I have
chosen very interesting topic for these students which is data communication and computer
networking. The training event is scheduled over a two-day period at a mutually agreed venue
and will include a number of activities such as workshops, pair works, presentation and
discussion with students. I have used a variety of talents, including effective communication,
interpersonal, and time management. I have created a Gantt chart for this entire event so that I
may generate specifications for any problems that have been detected. As I was able to solve the
problem regarding this event. At first, discuss about what is Gantt chart. A Gantt chart is a
project management tool assisting in the planning and scheduling of projects of all sizes,
although they are particularly useful for simplifying complex projects (apm, 2020). It would be
best idea to implement the whole in Gantt chart so that it will help me in future. For this event, I
have used different communication skills.

Different types of communication skill


Communication is a process of creating and sharing ideas, information, views, facts, feelings
from one place, person or group to another. Communication is a two-way process, wherein
interchange of message connects the sender and receiver. Sender is those who is know as source.
It is the person who has something to pass on, to another individual. Receiver are those whom
the message is directed. There ae two types of communication. They are:

Verbal Communication
Verbal communication is a form of oral communication in which the message is communicated
by speaking the words out loud. Here, the sender verbalizes his emotions, ideas, and viewpoints
in the form of speeches, dialogues, presentations, and conversations. During the event or
training, I used verbal communication in order to interact with students. With the help of verbal
communication, I was able to

deliver my view and message to students. I’ve use written as well as spoken communication, and
presentation which is also an part of the verbal communication.

Non-Verbal Communication
The technique of communicating ideas without using spoken or written words is known as non-
verbal communication. In other words, non-verbal communication is any communication
between two or more people that involves the use of facial expressions, hand gestures, body
language, postures, and gestures. I’ve used non-verbal communication to establishing and
maintain the interpersonal relationships with students. It really helps us to deliver or express
emotion and interpersonal attitude. The type of non-verbal communication is described below:

Body Language: Body language refers to how a person positions their body in response to a
situation, their surroundings, and their feelings. For example: Someone might cross their arms if
they are feeling angry or nervous.

Movement: Different messages can be sent to bystanders depending on how you move your
arms and legs, such as whether you walk rapidly or slowly, stand, sit, or fidget. For Example:
Sitting still and paying attention in a meeting conveys respect and attention.

Posture: Your comfort level, professionalism, and general demeanor toward a person or topic
may all be conveyed by how you sit or stand. For Example: Someone might slouch their
shoulders if they feel tired, frustrated or disappointed.

Gestures: Even though gestures differ greatly throughout cultures, they are often employed to
communicate with people in both purposeful and inadvertent ways. For example: Someone
might display a “thumbs up” to communicate confirmation or that they feel positive about
something.

Facial expressions: Facial expressions are among the most prevalent nonverbal cues. It may be
quite successful to communicate feelings or information by using the brows, lips, eyes, and facial
movements. For Example: Someone might raise their eyebrows and open their eyes widely if
they feel surprised.

Time Management Skill


Planning and regulating how much time to devote to different tasks is the process of time
management. An individual may do more in less time with effective time management, which
also reduces stress and promotes job success. Time management skills include a variety of skills
that will help us manage our time well. I’ve use various time management skill while planning
this training. Some of the most important time management skills that I used in while creating
plan for the event are:

Work towards goal

It’s important to define goals well before any event, and keep them in mind throughout the
planning process. Our goal from this training was to make student know, how computer network
work and how data flow through it. So, our first goal was to make sure students know about the
how data flow through the network. So, we schedule first day for data communication and
second day for computer network.

Plan ahead & plan for the unknown

In this part, we made clear idea of what needs to be done on a day-to-day basis. What sub topics
should be covered in first day and what sub topics should be covered in second day was made.
We plan some Question-and-Answer session for student so that they don’t get bored during
training.

Don’t be afraid to delegate

Event planning is a team sport, so it’s important to make use of every member of the team. As
we were team of 3 members. So I split the work in 3 section. Assign every one each section. So
that everyone would engage in work and learn team work and our event would be easily
managed.

Minimize distractions

Whether it’s social media, bad reality TV, or Netflix, we all have our vices mine is a
combination of the three. But for an event planner with an upcoming event, distractions are
absolutely detrimental to our time management success. In order to minimize the distraction for
the upcoming event, our team had uninstalled every social media app from his/her phone so that
no notification or post would distract us from upcoming event.

Make time for yourself

It is most important part for the time management. Busy event planners tend to work from sunup
to sundown. While that may seem like a good use of time, it can actually be damaging. A pro tip
for good time management is to make sure to make some time for yourself, whether it be a
coffee break, a quick afternoon walks or a break to hit the gym. We took every 10 min break
after 3 hours work. This was the best part of the planning process. Because of that we used to
feel fresh and motivated.

Gantt Chart
A Gantt chart is a project management tool assisting in the planning and scheduling of projects
of all sizes, although they are particularly useful for simplifying complex projects (apm, 2020).
It is one of the most popular and useful ways of showing activities (tasks or events) displayed
against time. On the left of the chart is a list of the activities and along the top is a suitable time
scale. Each activity is represented by a bar; the position and length of the bar reflects the start
date, duration and end date of the activity. So, I have made Gantt chart for the whole event as
below.

Training description
We were 3 members in our team each having specific job to do in the event. We selected Sunday
and Monday as our event time because this day our company are closed or we can say that
holiday. We have planned to start the event at sharp 10AM to 12PM (June 26, Sunday) and
second day 11AM to 1PM (June 27, Monday). Every member of our team has specific topic to
present in the presentation. On Sunday, we have divided 12-time frames for respective roles. One
of my friend start event with introduction and give presentation till transmission mode. Then
there is a 20 min short break for the student so that they don’t get bored. After the break time is
finished, Next friend continue the event with the topic of introduction of computer network and
finished his task up to Network topology. Lastly, I handle the rest of the topic which start from
advantage and disadvantage to workshops. I explained them in such a way that they can easily

related topic with their daily life which make them easy to understood the such a complex topic.
Then we focus on workshop. I personally helped students to understood about skill which is very
important in IT.

Next day, we discussed about question that arise in the student mind. I personally tried to clear
all of the student’s confusion regarding computer network. At last of the event, we collect the
feedback form from the students.

Parts of Training
Our team's mission statement was to enable students to understand the IT sector and give
knowledge about it, including its significance, advantages, and applications to daily life. so that it
would be simpler for them to choose the appropriate vocation in the future, one that will be
crucial to the growth of our nation. To make it easier for students to grasp, we have broken our
instruction into five sections. There are five components to training:

Workshop:

Our goal was to impart a fundamental understanding of computer networking and programming.
We wanted them to comprehend the basics of computer communication. In this session, we teach
networking and programming in a hands-on manner to ensure that every participant understands
how programming is utilized in the current world to address real-life issues and how to put it into
practice.

Presentation

It is the primary portion of the training event when each member of our team gives a speech on

Discussion

After the competition of presentation, we arrange discussion session which is the very important
part of the training. This session helped student to clear their confusion and share their thought,
idea among us which help them to remove misconception about some IT theories.

We were able to find some time for a sharing session after the training was over. The participant
would benefit from knowing more knowledge and learning new things over the two-day training
program.

Tasks

Due to the two days of training. It was our responsibility to make sure the kids comprehended the
ideas we taught them over the course of two days. To demonstrate that we provide them jobs.
They will become better at solving problems, and it will also let us know how much they have
learned from us. For them to remember the training for a long time, we separated the students
into 6 groups of 3 and provided each group a distinct activity relating to our theme.

So, these 5 parts of the help us to make the training event successful. If we follow these 5 parts
of training, I’m sure that any training would be successful without any obstacles.

Rules of training
Being IT students, it is crucial for us to keep our focus and our ability to manage our time. So
that the training would be well-managed and exact, I created a few regulations for it. Some of the
regulations that were established during training for both students and us are as follows:

 Everyone should maintain good discipline


 Everyone should follow the time table effectively
 Anyone can watch and listen our training and ask question if any arise.
 Lastly, no one could leave the training in the mid time of the training without trainer
permission and if they want to go the rest room, they should ask permission with trainer.
Communication used during this training
Verbal communication
Verbal communication is a form of oral communication in which the message is communicated
by speaking the words out loud. Here, the sender verbalizes his emotions, ideas, and viewpoints
in the form of speeches, dialogues, presentations, and conversations. During the event or
training, I used verbal communication in order to interact with students. With the help of verbal
communication, I was able to deliver my view and message to students. I’ve use written as well
as spoken communication, and presentation which is also a part of the verbal communication.
Types of verbal communication skill used in training are as follow:

1. Intrapersonal communication
Intrapersonal communication is the communication you have with yourself, either spoken,
written, or thought. Intrapersonal communication can be anything from solving a complex
problem in your mind to thinking about what to wear today or what to have for breakfast. We
used this communication wherein we juggle roles between the sender and receiver who are
processing our thoughts and action.

2. Interpersonal Communication
This is the form of communication take place between two individuals. We used this
communication with our team mate to decide our role and to clear some quires arise in the
training.

3. Small group Communication


It refers to the interactions among three or more people who are connected through a common
purpose, mutual influence, and a shared identity. We used this communication to make our plan
and discussed how to execute that plan in correct manner.

4. Public Communication
Public Communication can be defined as strategic communication to convey ideas, programs,
though, presentations, data, propaganda, etc., to the masses, the public, students, or niche
audiences. We used this communication to deliver our speech to students and other audience. It
helped us to share our thought to large mass of people.

Non-verbal communication
The technique of communicating ideas without using spoken or written words is known as non-
verbal communication. In other words, non-verbal communication is any communication
between two or more people that involves the use of facial expressions, hand gestures, body
language, postures, and gestures. I have used different types of non-verbal communication
during training, in order to get attention of students. The several types of non-verbal
communication used during event are as follow:

1. Gesture
Simply gesture refers to the movement of the hand, arms and legs. I have used this part of my
body to get attention of the students so that they do not loose their concentration and it will make
event training interesting.

2. Eye contact
Eye contact is a particularly significant kind of nonverbal communication since it is the most
prevalent sense for most individuals. During event I made eye contact with student so that they
get interest, affection, hostility, or attraction. It also helped me to maintain the flow of
communication with students as well as for gauging the interest and response of students.

3. Facial Expression
The human face is incredibly expressive and can silently reflect a wide range of emotions. Facial
expressions are also ubiquitous, in contrast to several other nonverbal communication
techniques. During event I used my facial expression communication by smile so that student
will be perceived as more likable, friendly, warm and approachable.

4. Paralinguistics
Vocal communication that is distinct from spoken language is referred to as paralinguistics. This
includes elements like pitch, inflection, loudness, and voice tone. During event I used this
communication in order to gain attention of the students by changing the voice tone , loudness,
and pitch.

5. Humor
It is frequently regarded as the most significant kind of nonverbal communication. A nice
environment that promotes learning is fostered through laughing, which also serves to relieve
tension. I made the audience laugh during the event.

Time management skill used in event


During the event our team work very hard and manage time in a specific time. As we have
already discussed about time management skill and implementation during the event. Actually,
time management is the process of managing time on a proper way. It really helped us to
organize our event so perfectly. We should use time management in our personal life as well. It
will increase our effectiveness and help us to do so many things in short period of time. Which is

very good for our professional life. The different time management technique I used during event
are as follow:

Scheduling
The arrangement and management of task in a proper time is scheduling. It is very important to
start the work from beginning. So, I created a proper gantt chat as per the topic and time
schedule. In above gantt chat we can see a lot of information about what topic is going to be
taught at what time which is the best way to evaluate a work of event.

Prioritizing
Prioritizing is the process of organizing tasks based on their priority. I created a to-do list for the
event using this method. Not only must we handle the topic throughout the event, but also the
projector, laptop, and other equipment. Therefore, it is essential to prioritize the work so that
nothing critical gets overlooked.

Planning
The process of making plan for specific task is planning. The training and event was planned by
our team. We had to made plan in order to make our event successful.

Conclusion
Lastly, it was great experience to be the part of this event. I gain a lot of knowledge about mass
communication and time management. I came to know how to work on a team and how to be
part of a team. I gain knowledge about different project management software like gantt chat.
I’m sure that this experience will help me in future to organize the event for an company or
organization in my professional life.

Importance of team dynamics in success of group work


The important thing in a group work is a team dynamic. Team is a group of people who perform
interdependent tasks to work toward accomplishing a common mission or specific objective.
Together, the group strives to meet their specific requirements. To succeed as a team, we must
take into account a variety of team dynamics, including:

Commitment: It becomes crucial to raise employee commitment and trust toward one another
and the company, which may be done by using team dynamics definition.

Motivation: Encouragement of teamwork instills a sense of confidence in the participants that


they are a part of a goal.

Communication: Since cooperation among the staff is necessary to get the desired outcomes.
Therefore, it becomes crucial to prevent their communication hurdles. Coordination within the
team is greatly aided by effective communication between individuals. In a team environment,
effective communication fosters a strong sense of camaraderie and allows for the free exchange
of ideas and opinions.

Productivity: It is undeniable that strong team dynamics promote productivity since colleagues
are more inclined to support one another through trying times and have improved
communication skills.

Creativity: Team members start placing the highest focus on innovation. New company
strategies are defined by effective team dynamics, which also encourages employee
experimentation.

Bonding: Strong team dynamics and successful bonding characterize greater performance.
When the organization wants the team to be productive over the long term, it becomes necessary
to discuss the significance of team dynamics.

Growth: Effective teams operate more efficiently because they support each other's professional
development, increase their willingness to learn, and assist each other achieve goals.

Examples of successful team dynamics during a training season


To start, we organized a meeting with all of the team members and discussed the work before
assigning it to each person in order to ensure the success of our training. This choice, together
with our coordination, allowed us to successfully conduct the training.

There are some factors that can cause failure in team dynamics they are
A lack of trust and opportunities to build it: Trust is one of the key components of
cohesiveness. Team members should innately trust one another to complete their tasks
competently and with the greater good in mind. However, this trust is frequently absent, which
prevents team members from giving their all. Usually, this may be attributed to the absence of
first opportunities for trust-building.

Bad management and unequipped leadership:

Given the stress they inject into the workplace, bad managers often form teams that fail to meet
goals and easily fall apart. If nothing else, this is a cautionary tale about the extreme importance
of good leaders, especially when team performance has become a priority for the organization.

A misunderstanding of what a ‘team’ is and should be: A team is a specialized gathering of


workers united under a common focused goal, whereas a work group might simply come
together to tackle a straightforward task or contribute some ideas. But managers often mistake
groups for teams and vice versa, without having a clear-eyed view of the basic differences. As a
result, teams can lack real direction. It’s essential for managers to understand the meaning of
teams, and accordingly, work to develop an overarching purpose for their teams.

Role of team members and their performance


In order to achieve the target goal, During training we had to work in a team as a group. Our
subject teacher had divided students into groups with their respective roll no. Group was made of
5 students. One day event should be conducted by 5 students. Our college as well as teacher were
very supportive during training. When our group got created, we had our first group meeting
where we discussed about training. At first we divided our topic into sub topic. We decided to
give training on a topic of importance of information technology to grade 10 students which

would help them to decide correct course in future. We got appointment to conduct training for 2
days.

After the selection of topic and places, we divided our group for suitable work and role in
training in order to achieve successful training. We had to made appropriate plane for our role.
The role divided among us were:

1. Event Planner
The Event Planner is responsible for coordinating all of the moving parts involved in ensuring
events go smoothly, including choosing venues, catering services. Rupesh Yadav had done a
great job as a event planner during the event. The took appointment with the principle of VS
Niketan Secondary high school and submit a proposal form to him.

2. Event manager
The work of event manager is to Ensuring that all aspects of event planning have strategic value
in reaching the event’s goal. Mr. Karan Yadav role was a event manager in our training. He had
done his work very well.

3. Trainer
Mr. Sprisha Shrestha and Keshav Kumar Yadav was selected as trainer during our event. It is our
duty to control the flow of time and the workload during events. We must satisfy all
requirements related to our topic, "Importance of Information Technology," in the modern world
as well as the development of technology in human beings and other living things. We must also
provide an explanation of the training event. Additionally, how technology affects the world and
how it advances humankind.

4. Technical head
In technical head, Mr. Dipesh Kumar Sah (me) handle the technical part of the event. My job
was to make sure there is no technical error during event.

Team role
According to the Dr. Raymond Meredith Belbin there are nine possible teams’ roles, which he
categorized into three groups:

1. Action /task-oriented Roles:


Action oriented roles focus on improving team’s performance, putting ideas into action, and
meeting deadlines. The three action-oriented roles are:

Shaper: Shapers are people who challenge the team to improve.

Implementer: Implementers are the people who get things done.

Completer-Finisher: Completer-Finishers are the people who see that projects are completed
thoroughly.

For example, I want relate this with Mr. Spersha and Kehsav Kumar Yadav who were trainer
during event. At that point, they are very worried about our team's situation, whether a problem
is there or not. We are always there to help them with their problems if they have any. We are
prepared and have complete faith in the program.

People-Oriented Roles
People oriented roles bring people and ideas together. The three people-oriented roles are:

Coordinator: Coordinators are the ones who take on the traditional team-leader role and have
also been referred to as "chairperson."

Team Worker: Team Workers are the people who provide support and make sure that members
of their team are working together effectively.

Resource Investigator: Resource Investigators are innovative and curious. They explore
available options, develop contacts, and negotiate for resources on behalf of the team.

For Example: During our event planner Rupesh Yadav play important role in the team. He guide
the us to what they perceive are the objectives. He was very good listener. He also developed
good relationship and coordinate with school team.

Thought-Oriented Roles

Thought oriented roles analyze options and provide technical expertise. The three cerebral roles
are:

Plant: The Plant is the creative innovator who comes up with new ideas and approaches.

Monitor-Evaluator: Monitor-Evaluators are best at analyzing and evaluating ideas that other
people (often Plants) come up with.

Specialist: Specialists are people who have specialized knowledge that's needed to get the job
done.

For Example: During event Mr. Karan Yadav being event manager had to lead the team and
handle the role in a correct way in training event. His managed the event successfully. He came
up with new idea and implemented it in the training which make our training more interesting
and successful. Similarly, Mr. Dipesh Kumar Sah (Me) lead the technical part of the training. I
check every technical aspect of the training.

My Role in a team
As our group was made by our teacher Garima Giri. She separates group according to our roll
no. She also informs us to select one topic for our group and we selected the topic importance of
IT and its scope in career development.

I served as the team's technical leader for the event. It was my duty to oversee the training's
technical component. In case of a power outage, I was in charge of the inverter for the training. I
made a backup of every document and PowerPoint that was required for the training since it
would be a serious issue if someone accidentally deleted the files from the laptop.

I had forwarded several ideas for the event to the event manager. We worked together in that
idea and our event was successful. So overall I tried my best to perform good in a team member
to run the program smoothly.

Area of improvement in my role


As our role was separated in group, it was very easy to perform our own part of the task. We
focus on our own task and also cooperated with each other in our team which help in the success
of the training. I was the technical head of the training. I would have been in the problem if there
was an power cut. But thankfully there wasn’t any power cut during event. I’ve leant many
things from this event which would help me to organize the similar training in the future.

Conclusion
Overall, everyone in our group cooperated with one another, worked well as a team, and
successfully finished our training. By planning this event, we have come to the realization that
working in groups is more effective and crucial to achieving a goal. Working as a team member
in a team was a fantastic experience. By planning this training, I get a lot of knowledge. I learned
the actual meaning of organizations working toward a common objective. Depending on how
well team members interact with one another, either success or failure will result. As a result,
team dynamics are crucial to a team's ability to succeed or fail in achieving a common objective.

As per the demand of the training, we provided feedback form to the students. From this
feedback form, we got student point of view regarding our training and their feedback was
positive which encourage us to organization such training in the future. Here, I am going to
evaluate about the effectiveness and application of interpersonal skills during the design and
delivery of a training event.

Interpersonal skill
We employ interpersonal skills on a daily basis to engage and communicate with others, both
individually and in groups. They cover a wide spectrum of abilities, but are especially strong in
communication abilities like active listening and persuasive speaking. The capacity to regulate
and manage our emotions is also among them. It is mostly used in team. Every team member
should have this interpersonal skill. We used this skill to interact with students during event.

Interpersonal skill used during event


Because of the interpersonal skill, our event was successful. The various kind of interpersonal
skill used during event are as follow:

Body Language
Body structure is a part of the communication. People often tend to overlook nonverbal
communication, but we must not. It is very important make student focus in our training. So, we
used this language to interact with students such as facial expression, gesture, using of hands and
eye contact.

Time Management
Time management is the process of organizing and planning how to divide time between
different activities. Good time management helps us complete our task before deadline. We also
used time management during our event. As our training was for 2 days, we had to do many
tasks in short time period. So, we used time management. We split our task into each group
member with specific task time. With the proper time management, we were able to complete
our training successfully. Time management was the important part of our training event. We can
also due to time management we can get success.

Self Confidence
Good interpersonal skills start with the person. That’s right, no one is going to believe you're
good at your job if you don’t believe it yourself. Self confidence is the only key that make us do
thing. It will improve the way audience perceive us. It develops positive vibes toward the
audience. If we have good self-confidence, no gets bored while we have self-confidence.

Good personality
People with strong personalities have a great sense of style and intelligence. They are more
comfortable speaking in front of large crowds. Individual personalities are crucial during the
training process. In order for a team to work well together, each member needs have a positive
personality.

Negotiation and Positive attitude


People with positive attitude have high confidence. Because of high confidence, we give
successfully our training to students. We arrange meeting before our training, so that we can talk
on different idea forwarded by team members. We negotiate with each other and implemented
best idea forwarded by members. We coordinate with each other plan and idea to express thought
which create strong relationship among the member and we negotiated good ideas to our event
positively.

Team work
Teamwork is crucial when it comes to interpersonal skills. Even though the profession
necessitates independence, they nevertheless have to work well with others. Effective teamwork
depends on clear communication, active listening, peer motivation, and cooperative conflict
resolution. Team work helps us to complete task in short period of time. During our event we
assign each task to each member of group which helped to complete event successfully. We
coordinate with each other if there is any problem on task.

Effectiveness and Application of interpersonal skill


In this section, the composed assessment of viability and utilization of relational abilities during
the plan and conveying of a preparation occasion are examined. There was a cooperation among
us and the understudies during the occasion. While understudies were focusing on us during the
occasion there was correspondence among us and the understudies. We were imparting both

Time management paly great role during our workshop. Time management is the process of
planning and controlling how much time to spend on specific activities. Good time management

to career success. The ability to manage your time effectively is important. Good time
management leads to improved efficiency and productivity, less stress, and more success in life.
Your career can advance if you are good at time management. The ability to plan your day gives
you the freedom to be innovative and proactive in your responsibilities, finish work on time, and
stay focused during key meetings. Ultimately, having effective time management abilities will
help you achieve important goals and advance in your position. Time management abilities are
very important for arranging and prioritizing our work during the training event. We first created
a time schedule that aided us throughout the event. I've included a few of the efficient time
management techniques we employed while organizing the event:

1. Goal Setting
Setting goals is the first step to becoming a good time manager. Goal-setting allows you to
clearly understand your end goal and what exactly you need to prioritize to accomplish it. During
the event, we were clear about our goal and we prioritize the task according to importance.
During the initial phase of the event, all of the group members shared their idea and created a

common goal of the group. In order to accomplish it, we only focus on our time to achieve that
specific goal. Our first goal was to convince the school management for the training. I have
recorded my goal in gantt chat.

2. Prioritization
As we were organizing event, prioritization play important role in event. We had to do lots of
work and it confused us with from which work shall we get started. Prioritization shouldn't start
with getting more done, but rather with avoiding or eliminating the things you shouldn't be
doing. We should only focus on the most valuable work once the prioritized tasks are done.

In gantt chat, we discussed all the tasks that should be avoided. Therefore, we ignored the less
significant tasks and prioritized the most crucial ones, thus achieving so many things in a short
period of time. When we prioritize our work, we are able to manage our time and work more
effectively.

3. Focus
Focusing in multiple tasks lead us to distraction, so we should focus on single task. A lack of
focus may cause a task to be delayed. Focus and direction should be maintained throughout the
task in order to achieve the main objective. During preparation of the event, several tasks needed
to be completed in a short period of time. However, we all managed to focus on one task at a
time and blocked out all distractions.

4. Decision Making
In order to make a decision, we need clear criteria. Throughout the task, it is the most important
skill we should possess. We are distracted from our main objective when we are unable to make
a proper decision. There may be a loss of time as a result. Our decisions have a direct impact on
everything around us if we are unable to make good ones. Each member of my team contributes
to decision-making, which helps us to accomplish our task effectively. As a result, decision
making is also regarded as one of the most essential time management skills as it allows for a
good use of time to accomplish specific objectives.

5. Planning
Managing work and time efficiently leads to our tasks being completed smoothly and efficiently.
The ability to plan is a key component of effective time management, since it allows us to

envision all the tasks needed to complete a project and how they will fit together. Planning well
will save us a lot of time. Taking the right approach to planning is simple and quick, but if we
approach it the wrong way, it becomes tedious and inefficient. Our work was planned and timed
accordingly, allowing us to achieve our specific goal according to our plan. Therefore, proper
planning is the most productive time management skill.

My contribution and performance in the team


As I was the technical head of the team, I had to play significant role to achieve goal. My groups
and I are always developing new ideas. Hence, I was the technical head, I focus on technical part
of the training. I list out all the technical problem that may arise during the training. To enable
the trainer of our team to give example based on a real-world scenario, I presented all the topics
and slides through a projector. Both myself and my team members contributed greatly to the
promotion of the training events. During the training, each team member works equally and
actively to fulfill the needs. Due to the different roles we each had to play during training, we all
contributed greatly to the team's success.

Conclusion
As a result, our training was successful. Interpersonal skills were used during the event. This
helps us to handle events and coordinate with students and team members. We were able to
achieve our training objectives thanks to interpersonal skills. I contributed to the team by
investigating and collecting the resources needed to successfully conduct that event. My team
and I had established contact, maintained good relationships, explored options, and negotiated.

Introduction
In the event organized by our team, we discussed various topic in which student had confusion. I
briefly discuss the importance of planning and running events as an IT intern. As part of my
project, I also discuss different problem-solving techniques and explain how they can be
used. The event also requires the use of critical thinking and reasoning techniques, in addition to
problem solving techniques. During the event, some irritating and disturbing moments occurred.
The method I used helped me overcome this situation while presenting to audiences. In the
following, I will discuss the importance and how to use it while facing a problem as well as
problem-solving techniques.

Problem solving technique


After evaluating the source cause in a systematic manner, the problem solving
technique identifies the solution. A problem-solving technique can be divided into six
categories. While presenting among audiences, our team uses three different

Six thinking hats method


"Six Thinking Hats" is a way of investigating an issue from a variety of perspectives, but in a
clear, conflict-free way. It can be used by individuals or groups to move outside habitual ways of
thinking, try out different approaches, and then think constructively about how to move forward
(tool, 2020). The Six Thinking Hats technique gets you to look at a problem in six different
ways. It takes you and your team beyond any instinctive positions, so that you explore a range of
perspectives. They are White, Black, Red, Yellow, Green and Blue. Consequently, White hats
evaluate and analyze the problem, Black hats identify the consequences of the problem, Red hats
worry about the problem, Yellow hats help think logically about the problem, and Blue hats
motivate or encourage the solution. The six hats method helped us solve our problem while
presenting ourselves to audiences.

SWOT Analysis
A SWOT analysis is a compilation of your company’s strengths, weaknesses, opportunities and
threats. The primary objective of a SWOT analysis is to help organizations develop a full
awareness of all the factors involved in making a business decision (Daily, 2022). It helps
companies identify the factors influencing a strategy, action, or initiative by examining the four
elements of the acronym. Companies can communicate what parts of a plan need to be
recognized more effectively if they are aware of these positive and negative elements.

Five Why Method


In this method, we ask five question to audience what they learnt after listing to us. I used the 5-
whys technique to solve the problems that arose during the design and delivery of an event. This
is a very useful tool for solving problems. Although it is generally simple, it is powerful and
takes us to the root cause of any problem we have. Due to the fact that I had used it, I was able to
identify the underlying causes of the problems I was experiencing with their symptoms as well.
As I was thinking about the problem, I asked myself why it had arisen. My problem became
clear after I asked myself why the problem had arisen, which was preventing us from planning
the event.

Five why example

The 5 why: “monthly report was late”

Why? Because printer didn’t work.


Why? Because the paper gets jammed.
Why? Because someone used wrong paper.
Why? Because no one knows the right paper to use.
Why? Because there was no written procedure or
training.

Here, this is the best technique to know about the problem deeply. And by this technique we can
origin of the problem from where it arises.

Critical reasoning while problem solving:


During training different problem arises, in order to solve that problem I and my team try our
best to use problem solving technique. At first we had use critical reasoning and thinking rule

while solving problem. We critically think about what the problem is and situation is and find the
solution. At first we use critical reasoning in our problem then we use critical thinking in it.

Critical thinking is self-guided, self-disciplined thinking which attempts to reason at the highest
level of quality in a fair-minded way. People who think critically consistently attempt to live
rationally, reasonably, empathically. They are keenly aware of the inherently flawed nature of
human thinking when left unchecked (Elder, 2007).

After solving first problem, second problem arise Infront of us. The problem was controlling the
class. The class was so noisy and unmanageable. So, we decided to select two students as
monitor and assign them the task to control the remaining students. The main problem that was
very important was the electricity cut which may cause serious effect on our training as projector
won’t be able to run without electricity. We critically think about the problem and start thinking
how to solve this problem. We all have five laptop and one is separated for us and other four are
provided to group of students. And they also help us by managing the laptops and helping in
solving of a problem. Hence, critical reasoning and thinking help us to solve the problems.

Research topic
We research on “use of problem-solving technique while in design and delivery of a
program”.

At first, we identify the problem and find the solution in an appropriate way.

Research Method
Both primary and secondary method was used during our research. We create different problem-
solving solutions from primary research and gather more ideas from secondary sources to face
and solve problems. Also, we interviewed Mrs. Anu Maya Tamang, a well-known event
organizer. In addition to sharing her opinion, she helped us learn more about our research.

The way she managed to solve the problem was explained to us. Whenever she is planning an
event, she always thinks about possible problems that may arise. The main problems are as
follows:

 Technical problem of electricity


 Lack of time management

She explained us how idea solve the problems. After that, we start to study about problem and
we thought solution critically and find the best solution for the problem. She said,’ at first think

Critical reasoning
The main aim of critical reasoning is to identify, judge, and evaluate situations in order to
understand, analyze, and resolve the problem, as well as implement the best solution. By
practicing it properly, you can sharpen this basic skill that all humans possess. It is easier to
make good decisions when we can think critically.

Process of critical reasoning during the event


During the training we faced many problem related to organizing event. But I used critical
reasoning and thinking and start searching the solution of problem in books and internet. As a
technical head, I had some responsibility to do. So many problems arise at first in the team but
we apply solve by this technique. It helps to find the root cause of that problem and help in the
solution of that problem.

Conclusion
At last, from this training, I have learnt many thing which would help in future in my
professional life. I have explained about problems we faced during training and how we over
come or solve that problem by using critical reasoning and thinking and different problem-
solving technique. I have explained 3 ways of problem solving out of seven.

function is to help you record, review and reflect on what you learn.

As per the scenario, I had been selected as intern in IT company where I had to develop plan that
will show specific responsibility, performance objective. As well as, My job requirement also
requires me to clarify the skill set.

development, and objectives a staff member will need to accomplish in order to support

the manager working closely with the staff member to identify the necessary skills and resources

While I was working as the intern of the company, in order to meet the development of the IT
company, development plan was very effective. It helps to observe the goal, required skill and
competency development for the development and to meet the future needs. Furthermore, it
involves identifying my skills and adding certain education, training, courses, and classes to
enhance my abilities. As I was the intern of the IT company, software development, web page
development course, networking and so on was needed for technical development plan.

Maslow’s Need Hierarchy Theory


Probably the most well-known theory of motivation is Maslow's need hierarchy theory. Maslow's
theory is based on human needs. From the lowest to the highest order, he classified all human
needs according to his clinical experience. The most basic of Maslow’s needs are physiological
needs. Physiological needs refer to the need for food, water, and other biological needs. These
needs are basic because when they are lacking, the search for them may overpower all other
urges. Once physiological needs are satisfied, people tend to become concerned about safety
needs. Are they free from the threat of danger, pain, or an uncertain future? On the next level
up, social needs refer to the need to bond with other human beings, be loved, and form lasting
attachments with others.

Herzberg’s Two-factor theory, also known as Motivator-Hygiene, emanated from a study
conducted among accounts and engineers to determine what makes an individual feel good or

bad about their job (Badubi, 2017). Herzberg conducted a widely reported motivational study on
200 accountants and engineers employed by firms in and around Western Pennsylvania.

According to Herzberg, the opposite of satisfaction is not dissatisfaction. The underlying reason,
he says, is that removal of dissatisfying characteristics from a job does not necessarily make the
job satisfying. He believes in the existence of a dual continuum. The opposite of ‘satisfaction’ is
‘no satisfaction’ and the opposite of ‘dissatisfaction’ is ‘no dissatisatisfaction’.

Impact on workshop
 There is a direct correlation between hygiene factors and employee status, security, and a
better working relationship with co-workers and managers.
 Employee motivation means achieving goals, being recognized, growing, and learning at
work.

McClelland’s Need Theory


As an alternative to the hierarchy of needs of satisfaction-dissatisfaction, McClelland and his
associates' theory is another well-known need-based theory of motivation. Henry Murray's
extensive list of motives and evident demands, which he employed in his early studies of
personality, served as the foundation for McClelland's thesis. Because McClelland held that
needs are taught or acquired by the kinds of events people experience in their environment and
culture, his need-theory is strongly related to learning theory.

Impact on workplace
 Using this theory, employees are motivated to assume responsibility for performing tasks
and finding solutions.
 Taking calculated risks and setting difficult goals is characteristic of the employee.
 It is important for employees to maintain good relations between leaders and followers.
 Employees will value the feelings and thoughts of their colleagues.

Continuing professional development (CPD) is the intentional maintenance and development of
the knowledge and skills needed to perform in a professional context. This could mean honing
current skills, it could mean developing them to a new level, or it could mean learning new ones
that will allow an employee’s job role to expand or prepare them for potential promotion.

Criteria for effective CPD


The following criteria should be considered when making and implementing a CPD:

 Coherence
Upon completion of our developmental plan, we will list the plans that have some connection
with what we do on a daily basis. As an example, when we list communication styles but don't
apply them in a real scenario or life for practice, then the CPD isn't effective. In order to achieve
better results, we should apply the listed items in real-time.
