1. Overview

Colombian Beam Coffee Bar is a coffee store specializing in Colombian


Coffee Varieties that has been in the market for 20 years. We offer the best
and most delicious coffee strains for all our clients as well as bakery
products and hot drinks.
This project is focused on developing the Workp Health and Safety (WHS)
Management Plan for the Colombian Beam Coffee Bar. The design of this
plan aims to provide the necessary tools to promote the integral wellbeing,
minimise hazards, improve working conditions and the working environment
of all members of the organisation and therefore increase the productivity
of the business and ensure the wellbeing of all employees.

order to carry out this project, information is collected through an analysis
of the different activities carried out in the organisation in order to analyse
it and identify the necessary safety measures corresponding to these needs
and thus develop the integral policy and everything related to it.
2. Work Health and Safety Policy
2.1 Health and Safety Policy
Colombian Beam Coffee Bar is committed to ensuring that all activities
developed in the organization are in a safe working environment
protecting the physical, mental, and social integrity of each of the
workers, through the design and implementation of the management
plan of health and safety at work in compliance with current legislation
(Australian Pacific College, 2022), Colombian Beam Coffee Bar is
committed to:
 Provide safe spaces for its workers.
 Periodically identify hazards, evaluate and assess risks, and
establish prevention and control measures.
 Carry out all the actions proposed for risk management, with the
necessary human, physical and financial resources for
implementation and continuous improvement.
 Comply with the national regulations in force regarding Health
and Safety at Work that apply to the company.
 To develop activities with the aim of protecting the physical,
mental, and social wellbeing of the workers.
2.2 Compliance with Relevant legislation
In order to ensure the health and safety of all our workers and not put the health
and safety of other people at risk Colombian Beam Coffee Bar is committed to
putting health and safety practices in place as soon as you start the operation.
Those practices are based on and accomplish the following regulation that applies
to our business (Australian Pacific College, 2022) (Australian Goverment, 2023):
 Act – Work Health and Safety Act 2012 (SA)
 Regulation – Work Health and Safety Regulations 2012 (SA)
 Codes – SA Codes of Practice (Goverment of South Australia, s.f.):
 First aid in the workplace
 Hazardous manual tasks
 How to manage work health and safety risks
 Managing the risk of falls at workplaces
 Managing the work environment and facilities
 Work health and safety consultation, co-operation and co-ordination

2.3 Management Responsibilities

procedures and behaviours at work.
Promote healthy living and working habits, becoming a role model for self-
care in health.

2.4 Duties of Worker’s and other persons at the workplace


Workers

Provide clear, truthful and complete information on their state of health.
Collaborate and ensure compliance with the obligations undertaken by
employers.
Comply with the occupational health and safety standards established by law
and by the company.
Properly use and maintain the devices for hazard control and personal
protection equipment and keep workplaces tidy and clean.
Collaborate and participate in the implementation and maintenance of health
and safety measures adopted in the workplace.
2.5 Continuous Improvement in Health and Safety
As part of the continuous improvement of occupational health and safety,
use is made of the PDCA cycle. The Planning phase guides the
establishment of the organization's policy, occupational profiles and the
risk factors present. The Do phase proposes the implementation of the
proposed work plan or processes to be carried out, the Check phase
focuses on the monitoring and measurement of processes in relation to
the results achieved and the Act phase proposes the implementation of
improvements to the processes carried out, highlighting positive and
negative points to be reinforced in the work proposal (Australian Pacific
College, 2022).
The PDCA cycle is made up of four stages. Thus, in the verification stage,
which will be carried out by means of planned or surprise workshops, the
critical points that need to be improved will be identified. When the final
stage is reached, the cycle returns to the first stage and the cycle is
carried out again, which allows periodic evaluations to be carried out and
improvements to be made as often as necessary.
The PDCA cycle is support for Colombian Beam Coffee Bar, because it
allows making measurable short-term improvements, and obtaining the
solution to problems within the organisation. The PDCA cycle is
considered to be a never-ending wheel, which is why it is referred to as
continuous improvement.
3. Training and Supervision
3.1 Objective
The objective of the training and supervision of the staff of Colombian Beam
Coffe Bar is to teach them the correct and safe way to develop their activities,
with which tools and protective implements in order to the operation of the
company avoiding as much as possible the mishaps.
3.2 Health and Safety induction Programme for New Worker
When an employee joins Colombian Beam Coffe Bar, he/she must undergo an
induction phase in order to introduce the new employee to the organisation
and his/her job, including the following basic occupational health and safety
topics (Australian Pacific College, 2022):
 General occupational health and safety rules
 Occupational health and safety management system
 Incident reporting procedure
 Emergency plan
 Induction manual on specific risks specific to the work of a barista in
the coffee.
 The worker will be trained for one month and will learn how to use the
computer system, the cash register, the bakery ovens and the coffee
machine.

3.3 Annual Health and Safety Training Update


Colombian Beam Coffe Bar establishes the re-induction of the Human
Resource in order to update the policies, procedures, new services and in
general all the information that any employee must know perfectly for the
optimal performance of their work, under adequate conditions of safety
and health at work. (Australian Pacific College, 2022)
Always that one accident occurs in the workplace, the issue will be
addressed and reported, and with this the collaborator will receive a
feedback regarding what happened
3.4 Health and Safety Documented Control System
The control of the Health and Safety documentation will be handled by the
manager of the store. The documentation includes (Australian Pacific
College, 2022):
- Manual of Work Health Safety
- Procedures (SOP)
- In-print and digital forms
- Instructions
- Renders
- Annexes (flow charts, presentations)
- Policies
The manager has the duty to be in constant review of the standards in
order to make the necessary changes in the company's documentation
according to the updates of the legislation.
Employees are responsible for reporting incidents and accidents using the
Colombian Beam Coffee Bar incident and accident report form, the
manager is responsible for mitigating the root cause of the incident or
accident in question and updating the applicable documentation on the
measures to be taken.
Whenever the manager makes an update in the documentation system, it
is the obligation of the human resources manager to disseminate the
information do the necessary training, and leave evidence that such
dissemination is carried out.
4. Procedures
4.1 Hazard Identification and Reporting
Whenever a modification is going to be made in any area of the store,
the PHVA cycle is implemented from the beginning, so from the moment
of planning, it must be considered that these changes are made in
compliance with the safety conditions for workers according to
Colombian Beam Coffee BAR policies and current legislation.

The store manager will make inspections every 4 months in the store
facilities to verify that no new sources of danger have arisen for the
employees and to verify that they are carrying out their work in a safe
manner, if an unsafe condition is found during such inspection it must be
reported through the unsafe conditions report form in order to take
actions to correct them. In the event that employees are not performing
their duties safely, the human resources manager will be asked to
retrain them.

Any employee who detects an unsafe condition on the job must report it
using the above mentioned form in order to take action. Besides we

4.2 Induction
The purpose of the induction program is to provide knowledge to internal
and external workers about Occupational Health and Safety in order to
avoid incidents, accidents and occupational diseases.
Each time a new employee, whether internal or external, enters the
company, he/she must comply with the corporate induction that includes
information related to his/her activities and occupational health and safety,
for which it is essential to evaluate the induction as the case may be, and to
have an attendance record as support.
4.3 Seeking Expert WHS Expertise
Under the circumstances of encountering a new hazard that workers
never dealt with before and a personal injury, the organisation will
seek advice from Subject Matter Experts (SMEs) (Australian Pacific
College, 2022) by the Advisory service of the SafeWorkSA
organization (Government of South Australia, s.f.).

5. Administering WHS

To have a good implementation of the WHS the holders must to


accomplish their duties and responsibilities and define WHS responsibilities
in the work area according to WHS laws, policies, procedures, and
programs

responsible for providing a safe working environment and the necessary
resources to keep it that way, as well as accessible and adequate facilities.

5.2 WHS Officer Role and Responsibilities


Is the person responsible for making decisions that have a significant impact
on the operations and finances of the organization with WHS activities.
He/She is also responsible for compliance with the current legal regulations,

5.3 Financial Commitment to Maintaining a Safe Workplace
Colombina Bean Coffee Bar is committed to the availability of financial
resources to carry out everything that contributes to a safe workplace for its
workers, including:
 Training of external agents
 Health campaigns and active breaks at work
 Availability of recreational spaces inside and outside work
 Normal examinations of the physical and emotional health of workers
 Control audits to verify that the workspace is safe
 prompt management before the solution of any unsafe condition
6. Consultation and Communication Arrangements

The various stakeholders that must be consulted when any WHS management
plan review is carried out are all the company's staff, since they are the ones
in direct contact with the company's activities; In addition, the WHS manager
should be consulted, who guides said review. At the same time, whenever the
changes are of a critical level, an expert advisor should be consulted to
endorse it.
The necessary changes will be made in the permanent documentation and
new training will be given to all personnel according to the changes
implemented.
