1. COURSE LEARNING OUTCOMES

At the end of the industrial internship, student will be able to:

1.1. Analyse industry problems/improvements and opportunities related to the discipline or


area of specialization
1.2. Design and develop solutions to industry problems utilizing appropriate techniques,
models, resources and/or modern (scientific) tools
1.3. Evaluate sustainability practices and impact delivered in the industry
1.4. Demonstrate ability to engage in independent and life-long learning

2. TRAINING APPROACH

SIP should have the following features:

3. STUDENT ELIGIBILITY

Student is eligible to register Student Industrial Project upon obtained a PASS for
IDB/IEB/IFB3047.

4. STUDENT INDUSTRIAL PROJECT PROCESS

4.1. During Student Industrial Project


4.1.1. Students are to perform course registration for SIP in UCampus. CDO will
follow the official academic add & drop deadline.
4.1.2. Students that have changed to new host company shall submit Report Duty
Confirmation during the first week of SIP.
4.1.3. Students to submit progress report for Logbook in ULearn fortnightly.
4.1.4. Students to submit SIP Report in ULearn by Week TWELVE (12).
4.1.5. UTP SV shall conduct assessment with the students & HC SV between Week
TWELVE (12) and THIRTEEN (13).
4.1.6. UTP SV can obtain the SIP Report from ULearn.
4.1.7. UTP SV to collect assessment forms from HC SV immediately after completion
of evaluation. For assessment, the following methods shall be applied:
4.1.7.1. Physical visit (as per UTP Travelling Policy) OR
4.1.7.2. Virtual

4.1.8. Students are to submit A COPY of the Summary Logbook Weekly Report

5. ADDITIONAL PROCEDURE FOR STUDENT INDUSTRIAL INTERNSHIP


PROGRAMME

5.1. Leave
Entitlement of annual leave/MC (if any) is based on the host company policy. In the case
of prolonged leave (exceeding 5 days) due to hospitalization, student shall notify CDO,
coordinator and host company in writing and provides necessary documents as evidence.
Please note that the minimum duration of SIP is 14 weeks, therefore students are required
to replace any leave taken other than the annual leave given by host company (if any).

5.2. Change of Internship Placement


Students are NOT ALLOWED to change to another Host Company unless with strong
justifications. For any application to transfer, the following procedures shall be followed:
5.2.1. Students to officially request to CDO and/or Department to change Host
Company.
5.2.2. CDO and Department to investigate on the students’ request with HC SV and/or
HRM.
5.2.3. Upon investigation, if the request is justified, CDO shall forward the Form SIIP-
05: Requisition to Change Host Company (Appendix I) to students
5.2.4. Students to get endorsement from Coordinator/UTP SV and HC SV consent of
leaving from current host company.
5.2.5. Submission also shall include offer letter from new host company.
5.2.6. Students can only change Host Company after getting approval from CDO.

5.3. Insurance
Students are covered by group personal insurance throughout internship (Please refer to
Center for Student Experience, Student Support & Advocacy).

5.4. Internship Allowance


Internship allowance entitlement is based on the host company’s discretion.

6. RESPONSIBILITIES

6.1. Host Company Supervisor (HC SV)


6.1.1. Host Companies plays an important role in ensuring the success of the industrial
internship programme. They are expected to provide the following support:
6.1.2. Plan and schedule the overall internship programme to ensure that it provides
maximum opportunity for students to obtain useful experience related to their field
of study
6.1.3. Host Company Supervisor is a qualified engineering/technology staff.
6.1.4. Provide briefing on the background of the organization/company.
6.1.5. Discuss the details of the internship programme’s expected outcomes with the
students.
6.1.6. Supervise and guide students during industrial training.
6.1.7. Provides the necessary facilities, equipment and tools for students.
6.1.8. Provides necessary recommendations to improve the programme.
6.1.9. Assess logbook (Appendix II) fortnightly and checks their detailed of logbook
reports.
6.1.10. Provides weekly report scores using Summary of the Weekly Report Scores
(Logbook) Form (Appendix III).
6.1.11. Evaluates students’ oral presentation during assessment visit using Form SIP-A
(Appendix IV).

6.2. Responsibilities of UTP


6.2.1. Career Development Office (CDO)
6.2.1.1. Facilitate the internship programme so that it can complement the
learning outcomes.
6.2.1.2. Provides list of placements in UCampus to students for selection.
6.2.1.3. Assist coordinators in providing list of students with placement details.
6.2.1.4. Assist students, HC SV, UTP SV and coordinator on the industrial
internship matters.
6.2.1.5. Compile and consolidate students’ scores submitted by UTP SV.
6.2.1.6. Finalize students’ grading with department and faculty.

6.2.2. Department Internship Coordinator


6.2.2.1. Mitigate internship matters during industrial training.
6.2.2.2. Consolidate students’ scores and grading at department and faculty.
6.2.2.3. Promotes and establishes UTP-Industry relationship via internship.
6.2.2.4. Assign UTP SVs for supervision and evaluation.
6.2.2.5. Review and endorse student’s placement details including HC suitability.
6.2.2.6. Encourages contribution of industrial projects towards final year project.

6.2.3. UTP Supervisors
6.2.3.1. Establish and maintain communication with students and Host Company
Supervisor throughout the duration of the internship period.
6.2.3.2. Develop and maintain good rapport with the Host Companies.
6.2.3.3. Review and endorse the project for SIP course.
6.2.3.4. Evaluate the students’ oral presentation at the Host Company using Form
SIP-A-UTP (Appendix IV)
6.2.3.5. Evaluate Industrial Training Report using Form SIP-B-UTP. (Appendix
V)
6.2.3.6. Complete and collect all the assessment forms from Host Company SV
at the end of the assessment.
6.2.3.7. Upload the student’s marks for both Host Company and UTP SV as
provided by CDO.
6.2.3.8. Inform CDO on any issues/suggestion based on HC SV feedback.

6.2.4. Student’s Responsibilities


6.2.4.1. Adhere to UTP and Host Company’s rules and regulation.
6.2.4.2. Adhere to the company’s working hours and breaks. To notify your HC
SV if you are late or absent.
6.2.4.3. Regularly check UTP email, to respond email and/or phone
communication from UTP and company on a timely manner.
6.2.4.4. Discuss with supervisor on the training schedule (if necessary)
6.2.4.5. Update logbook regularly and present it to the Host Company Supervisor
for weekly review and endorsement.
6.2.4.6. Follow the Host Company’s safety procedures.
6.2.4.7. Maintain good discipline and personal conduct.
6.2.4.8. Listen to and follow supervisor’s instruction.
6.2.4.9. Meet work schedules on time.
6.2.4.10. Be responsible and committed in acquiring as much knowledge and skills
as possible during the internship
6.2.4.11. Complete all assessments as per SIP requirements
6.2.4.12. Notify CDO on any issues faced during SIP.

7. OFFENCES & PENALTIES DURING STUDENT INDUSTRIAL PROJECT

Students undergoing Industrial Internship Programme must adhere to the rules and regulations,
as specified by the respective host company/industry and also comply with the Students’
Disciplinary Rules & Regulations of Universiti Teknologi PETRONAS and Academic
Policies and Procedures.
Internship students committing inappropriate conduct during the course of soliciting internship
placement and during the period of undergoing industrial internship programme will be
subjected to the following penalties as per Table 1.

8. ASSESSMENT OF STUDENT INDUSTRIAL PROJECT

The students will be evaluated on following aspects:

area of specialization
8.2. Design and develop solutions to industry problems utilizing appropriate techniques,
models, resources and/or modern (scientific) tools
8.3. Evaluate sustainability practices and impact delivered in the industry
8.4. Demonstrate ability to engage in independent and life-long learning

9. LOGBOOK

The logbook contains daily or weekly reports/progress prepared by the students and endorsed
by the Host Company Supervisor. The students should describe the tasks that they are
undertaking, how these tasks contribute towards achieving the Host Company's objectives, the
problems and challenges they face, the lessons learnt from the experience, and provide any
comments or recommendations they wish to make. The logbook should also record any points
discussed with the Host Company Supervisor in relation to the industrial training. The Logbook
is to be evaluated by HC SV fortnightly. The Logbook Weekly Evaluation by Host Company
and Summary of Weekly Scores Form from week one (1) to week fourteen (14) are to be filled,
signed, and stamped by HC SV. Non submission of logbook will result in F grade.

10. STUDENT INDUSTRIAL PROJECT (SIP) PRESENTATION


Students are required to present an oral presentation describing the gist of their industrial
training, experience gained during the training and significant contribution that they have
given to the host company. The UTP and Host Company Supervisor will jointly evaluate the
oral presentation. The evaluation will be based on the following criteria:

11. STUDENT INDUSTRIAL PROJECT REPORT
The purpose of the report is to record all the relevant activities that contribute towards
developing the students' cognitive and practical skills. Students will have the opportunity to
exercise their writing skills and to clearly communicate their ideas and experience. It is
compulsory for students to prepare and submit the Industrial Project Report. It must be
submitted in softcopy format to UTP SV in Week TWELVE (12) for assessment process via
Ulearn.

Students are required to submit SIT Report through plagiarism software to check on the
similarity percentage (maximum 25%).

12. GENERAL WRITING FORMAT


12.1. Language
The Industrial project report must be written in acceptable and formal English.
12.2. Font and Spacing
All text should be 1.5 lines spacing between paragraphs (Times New Roman regular
font-style, size 12) written on white A4 paper on one side of each sheet.
12.3. Length
The minimum length of the report, excluding appendices is 40 pages.
12.4. Pagination
All pages must be numbered in proper sequences from Introduction to the end of the
report including pages on figures, tables and appendices. All front materials are
numbered in small Roman Numerals (e.g. i, ii, iii). Page numbers appear by
themselves and are not to be enclosed in parenthesis, hyphens or other decorative
symbols. Page number must be positioned at the bottom and centered.
12.5. Mathematical Equations
Mathematical equations must be spaced out; superscript and subscript must be clearly
shown and numbered.
12.6. Documenting Sources

Students are required to cite the sources from which ideas they are using. Please refer
the documentation system to be used is American Psychological Association (APA).
12.7. Margin
The top, bottom and right margin are 25 mm except the left margin which is 40 mm.
All paragraphs should start from the left margin.

13. STUDENTS’ FINAL GRADING


CDO and respective department Internship Coordinators will verify and certify the status of
the SIP undertaken by the students prior deliberating at department and/or Faculty level. The
final grades will be given as per Table 4 below:
