1 Purpose & Scope


1.1 General

This document describes and defines the specific requirements of the Air Handling Unit
for QA to be delivered in accordance with Nestlé standards as detailed in this document. The
URS is the baseline that has to be matched by suppliers when requested to submit quotations
for projects and shall be applicable up to the final acceptance of the equipment. This URS will
be the basis for the project team to request quotations from suppliers. It consists of static design
standards with the minimum generic design requirements and project specific equipment and
line specifications.

Any additional relevant document shall be attached to this URS as an Appendix

1.3 Project Description and Introduction


Nestlé Philippines is currently planning to install a new air handling system for Quality
Assurance Department in Barrio Tablon, Cagayan de Oro City, in the province of Misamis Oriental,
Philippines. This is part of the 2017 minor projects group 4 that has been already approved

The electrical standard inside the factory is 440 VAC, 3 phase at 60Hz for all power supply
connections (> ± 10% fluctuations may occur). The control and lighting may use 220VAC, single
phase at 60 Hz while PLC and instrumentation uses 24 VDC as standard

This investment for a new air handling system will include the procurement and installation
of a new air handling system to serve as air conditioning for QA laboratory. It will also include the
construction of the technical room for the unit, installation of ducts and modifications work on the
existing electrical & control wiring and utilities piping connections to integrate the new installation
to the existing system.

The work scope for the proposal will include the manufacture & delivery of the main air
handling equipment, auxiliaries / accessories, controls, and the commissioning services necessary to
operate the unit, as listed and specified in the succeeding pages

2 General Terms and Conditions


2.1 General Provisions

a. This and all attached documents forms the obligatory basis for the supply of all
materials, equipment, services and documentation requirements of the contracted work
b. The terms and conditions set out in this URS should be considered as the minimum
requirements applicable to the supply of all materials and services to Nestlé
Philippines. In the event of conflict between the provisions of this URS and our
Purchasing Terms and Conditions, the provisions in later document will prevail
c. The supplier is responsible for ensuring that the delivered and installed equipment
performs consistently as specified throughout the entire operating parameters and that
the relevant documentation is complete and available in the required format
d. The supplier is additionally obliged to inform the project engineer should any
inaccuracies be detected in the specifications and / or drawings provided to them
e. All design documents need to have the approval of Nestlé (NPI) project engineer
f. The Nestlé Supplier’s Code establishes the non-negotiable minimum standards that
Nestlé expects its suppliers to adhere to. The Supplier’s Code can be viewed on
www.nestle.com/suppliers. By acceptance of a Nestlé Purchase Order, the Supplier
commits to the requirements stipulated in this Code. In case of non-compliance with
or rejection of a requirement, the Supplier is obliged to notify Nestlé before acceptance
of the purchase order

2.2 Quantity
Supplier shall not deviate from the quantity and scope of the supply agreed upon, unless
so agreed by NPI’s authorized representative in writing

Any requirement of Nestlé that has been provided prior to written Contract and /or
Purchase Order (PO) is only a best estimate and may change subject to Nestlé’s (NPI’s)
operational and business requirements, without liability on the part of Nestlé (NPI). Supplier
assumes all risk if production or purchase of materials is made without a written PO from NPI.

The terms of the Contract / Purchase Order, including but not limited to prices and
specifications, shall apply to any change (increase or decrease) in the quantity requirements
of NPI while this Contract / Purchase Order is in effect, unless otherwise specified by NPI

2.3 Coordination

Supplier / contractor must be available at all times for coordination with NPI’s designated
representative to ensure completion of the contracted services within the period specified in
the Contract / Purchase Order, without prejudice to Contractor’s control over his or her method
of accomplishing said Services subject to the specifications on the URS / Contract / Purchase
Order. Supplier / contractor may recommend actions related to the Services, which NPI may
adopt at its discretion

Contractor will provide timely responses to NPI’s issues / complaints, accurate and timely
submissions of documents (i.e. compliance certifications), information on production
capacity, investment plan, available human resources as well as spare manufacturing capacity,
including back-up site(s)

2.4 Materials Supplied by Nestlé

Any material which NPI may deliver to the contractor or which may come to his or her
possession shall be the exclusive property of NPI. The contractor shall exclusively use the
same to perform his or her obligations, and shall return the same to NPI upon request or upon
completion or termination of their obligations.

2.5 Purchase Order Acceptance


a. Nestlé will guarantee contractual obligations only for written orders placed. No work
should be started before receiving an approved Purchase Order from Nestlé
b. Nestlé declines all responsibility for orders placed by any third parties without its
written consent
c. If for any reason Supplier should fail to accept our Purchase Order in writing, any
conduct by Supplier which recognizes the existence of a Contract pertaining to the
subject matter shall constitute acceptance by Supplier of our purchase order and all of
its terms and conditions
d. Any terms proposed in the contractor's acceptance of Nestlé's order which adds to,
vary from, or conflict with the terms of the Purchase Order and / or this URS will be
subjected to discussion in writing between the contractor and Nestlé

2.6 Precedence of Documents

Unless otherwise stated in the Legal Contract or Purchase Order, the following shall be
the order of precedence of the documents:
a. Legal Contract
b. Nestlé Purchase Order
c. Nestlé User Requirement Specification Package
d. Supplier’s / Contractor’s Quotation

2.7 Transfer of Obligations


The Supplier will not transfer all or part of the rights or obligations without the prior
written consent of Nestlé. Any consent from Nestlé to such transfer shall in no way relieve the
Supplier of their responsibilities. The decision to select a supplier is taken because of its
standing, its know-how and reputation. Transfer of its obligations will result in depriving
Nestlé of at least part of these elements, and should be made subject to the control of Nestlé

2.8 Confidentiality
All information, written or otherwise, provided in connection with this URS shall be
treated by the supplier / contractor as confidential and shall not be divulged to other parties
without the NPI representative’s written consent.

Supplier and its employees shall also keep confidential, any information or data about NPI
or NPI’s business and affairs or Supplier’s business relationship with NPI. Confidentiality of
information shall include (but not be limited to), goods, services specifications, unit prices,
production plans and designs, delivery, quantity and quality, delivery locations, capacity,
know-how, marketing plans, and contractual terms / conditions. The confidentiality duties and
liabilities herein provided for, shall remain in effect three (3) years after the completion or
termination of the contractual relations between NPI and Supplier.

2.9 Warranty

To be valid for 12 months after the date of the Certificate of Final Acceptance upon
commissioning as signed by the relevant technical responsible in the Factory but not later than
24 months after take-over (inspection, function, tests) at manufacturer facility, provided the
delayed acceptance is not due to acts or omissions from the Supplier

2.10 Penalties
Penalty for late delivery that has been agreed upon, will be stated in the final contract as a
percentage of the contract value per day of late delivery

Penalty for the agreed non-performance achievement will also be stated as a percentage of
the contract value per percentage of performance loss

2.11 Liability

The supplier will be fully liable and will indemnify Nestlé for any and all losses, cost,
damage or liability of whatever nature incurred by Nestlé as a consequence of the supplier’s
willful misconduct, negligence or of a breach of any provision of the Purchase Order or Legal
Contract established.

NPI shall not be liable for any personal injury or property damage suffered by the
employees and / or sub-contractor of the supplier in the performance of their obligations. The
contractor shall hold NPI free and harmless from claims arising from any personal injury and
property damage suffered or alleged to be suffered by any person in the course of performing
their obligations. For this purpose, the supplier shall obtain an insurance policy to cover his or
her operations against all risks, including, but not limited to loss of life, to injury, third party
liability, health and medical expenses, for the duration of their contract / Purchase Order.

2.12 Insurance

a. In order to cover its liability the Supplier and its sub-contractors shall take out and
maintain at its expense a valid insurance with a reputable insurer against:
Loss or damage howsoever caused
General Third Party & Products Liability insurance coverage for bodily harm and
property damage

b. The limit of liability should not be less than ₱ 2,000,000 per incident. The supplier /
and its subcontractors shall maintain such insurance coverage for the entire duration
of the contract or Purchase Order and shall not make any material changes in such
insurance without the prior written consent of Nestlé. The supplier shall deliver Nestlé
a certificate or certificates of insurance evidencing satisfactory compliance.

2.13 Intellectual Property Rights


Supplier will transfer to Nestlé the full ownership of all intellectual property rights created
for the development and production of the equipment requested by this URS and guarantees
that it is not infringing intellectual property rights of other parties

If for some reason it is not possible to transfer the ownership of all intellectual property
rights created for the documentation & production of the equipment(s), then the Supplier shall
take all steps needed to grant, free of charge to Nestlé, an irrevocable, fully paid up and
perpetual license to use all such rights

2.14 Payment Terms

Unless otherwise stated in the Purchase Order or Legal Contract, the following payment
terms will apply:
For < 100kCHF:
a. No down payment
b. 80% of equipment value, at complete delivery (as per Incoterms of the purchase
order)
c. 20% of equipment value, after successful Site Acceptance Test, against acceptance
certificate signed by the relevant technical responsible in the Factory and the
Supplier. The acceptance protocol must be documented, measurable and integral
part of the purchase order
d. The final countersigned acceptance certificate should be in the hands of the buyer
to release the payment to the Supplier
e. Services will be paid separately after acceptance
f. Invoicing term: 60 days
For > 100kCHF to < 500kCHF:
a. 20% of equipment value down payment against valid bank guarantee
b. 60% of equipment value, at complete delivery (as per Incoterm of the purchase
order)

c. 20% of equipment value, after successful Site Acceptance Test, against acceptance
certificate signed by the relevant technical responsible in the Factory and the
Supplier. The acceptance protocol must be documented, measurable and integral
part of the purchase order
d. The final countersigned acceptance certificate should be in the hands of the buyer
to release the payment to the Supplier
e. Services will be paid separately after acceptance
f. Invoicing term: 60 days
For > 500kCHF:
Terms to be agreed upon negotiations with purchasing representative

2.15 Packing & Dispatching


a. Goods should not be dispatched without the shipping instruction from Nestlé
b. Items should be adequately packed for sea freight and suitable for standard container
transport where applicable
c. Neither invoice nor packing list from the Supplier must be attached to the parcel
d. Nestlé must be informed at the acceptance of the purchase order if the goods do not fit
into standard containers. Equipment is oversized if the gross dimensions are above the
following figures: length: 12.00 m; width: 2.30 m; height: 2.50 m
e. Blank parts should be wrapped into anti-rust paper or properly greased/waxed. Electrical
panels and elements requiring higher protection to be sealed into appropriate aluminum
sheets with air removed and desiccant incorporated into the package to absorb moisture
f. If packaging is partially or wholly wooden, use wood treated as per IPPC-standard /
ISPM 15 regulation. This is not applicable to cardboard boxes
g. Loading and stuffing inside truck(s) and/or container(s) to be done properly by the
Supplier in order to guarantee safe transport of the goods. Pictures of the goods inside
trucks or containers must be sent by email
h. As soon as goods are ready for pick up, Supplier should inform exact address and
contact person
i. If any item considered as Dangerous according to the International Transport Regulation
will be delivered, contact directly the buyer and send the Material Safety Data Sheet
(MSDS)
j. Please mark all packages as follows:

2.16 Packing List Details

a. As soon as the goods are packed, the packing list should be sent by email. Packing list
must be established on plain paper (no header) in English language, indicating for each
package:
 Contents (each loose part to be mentioned)
 Net and gross weight

b. In order to ship and clear the goods through customs without any problems it is
important that the packing list is very explicit.
For Machineries / Equipment:
 Details figuring on name plate (brand name of machine, model or type, serial
number etc.) should appear on the packing list
 Accessories or tools already mounted on machine and being part of it, should NOT
be listed separately (preferably: machine ... including ... parts … etc.)
For spare parts:
 Must be properly tagged and visible part numbers must be shown on the packing
list. Declaration such as: "one set" or "one lot" should be avoided and individual
parts should be mentioned
 Spare parts must always be delivered with the equipment and never separately
c. Supplier will be liable in case of wrong final packing list which cause additional costs &
delays. The amount of the penalties to apply will be the additional costs related to the
mistaken final packing list
d. If needed by Local Authorities, Supplier should provide an export declaration

2.17 Storage and Land Transport


Land transport for materials being delivered to site shall be in clean, dry vehicles. If open
deck transports are used, coverings and tarpaulins must be fixed over load prior to the vehicle’s
departure from loading point and remain in place until discharged

Storage shall be in a dry, clean place, away from direct sunlight and must be bird, insect
and rodent proof. Suitable precautions for conservation and corrosion protection are to be
taken, (e.g. weather proof storage, closed pipe ends, conservation, corrosion protection)

One responsible for the stored material has to be defined, who has the exclusive access
and the responsibility for the goods

2.18 Visits
Nestlé Philippines (NPI) and its representatives shall have the right to carry out visits of
the supplier’s premises where the items for installation are being fabricated, packed and / or
stored, including checking their accounts and records, to verify the supplier’s compliance with
the terms of the Purchase Order or Contract, including compliance with the Nestlé Supplier
Code. The supplier shall implement any reasonable recommendations made by Nestlé or its
authorized representative regarding quality assurance and material safety. The supplier will
bear the cost that they incur internally in relation to such visits

The carrying out of visits shall not release the supplier from nor diminish its legal
obligations

2.19 Compliance to Proper Business Principles and Legal Requirements

The supplier must agree to follow the Nestlé Corporate Business Principles with respect
to business ethics, hygiene and environmental safety. These Principles are available on
www.nestle.com/Investors/CorporateGovernance/BusinessPrinciples/

The supplier shall comply with any and all laws and regulations applicable in the countries
where it operates, including without limitation, local and national laws and regulations as well
as applicable international treaties. The supplier shall pursue an environmentally sound
business practice and observe all laws and regulations on environmental protection. The
supplier agrees to allow NPI to conduct an audit of its operation with respect to its production
capacity, quality monitoring and environmental compliance as deemed necessary by NPI. The
supplier shall further agree to provide NPI with access to documents, records and information
pertaining to transactions with NPI. An advance notice of five (5) calendar days prior to the
exercise of such access shall be made in writing by NPI to the supplier

The supplier warrants full settlement of any and all taxes, whether national or local,
appurtenant to the Goods or Services covered by this Contract/Purchase Order

3 Quotation Requirements
3.1 General Requirements

a. Quotations must comply with the requirements of this URS.


b. All offers must be in English
c. Any offer must be structured as outlined, transparent and easy to understand
d. Available in electronic form
e. Include listing of past experiences in Nestlé projects

4 Technical Drawings & Documentation Requirements


4.1 Documentation Required upon Submission of Quotation

components to be supplied
Diagrams for the system including indication of battery limits in the supply
Project Schedule and Gantt Chart schedule of the manufacturing & transport
detailing milestone dates and the deliverables on specific timelines
Specific requirements from the supplier on the project work (if any) to be provided
before placing order

4.2 Documentation Required upon Project Completion


The technical documentation as listed below shall be in English and shall be in printed (as
required) and / or in electronic form, prior to final billing and acceptance of the project work.
a. Updated technical drawings and documents (as built)
b. Electronic copies of PLC program and HMI (English)
c. Updated operating & maintenance manuals
d. Maintenance checklist that contains 3 types of tasks:
Cleaning - All items that need to be regularly cleaned with their corresponding
procedures and tools
Inspection - Frequency and points to check for proper machine operation
Lubrication - All points to be oiled or greased on a regular basis and their
frequency. The design should facilitate this task by operators as much as possible
and also include a lubrication map
e. The equipment is delivered with a comprehensive spare parts catalog organized by
machine modules and classified in alphabetical order
f. OEM brand and part numbers for the parts not manufactured by the Supplier
g. Certification documents
h. Commissioning / Testing report
i. Training Materials and Reports

If necessary, the documentation shall be updated after the conclusion of commissioning


and start-up. The documentation shall be concluded within 2 months from start-up

5.3 General Equipment Design


The air unit design should have the following characteristics:
1) Hygienic standard quality in conformity with ASHRAE 62 or VDI 6022
2) Material for outer casing can be powder coated galvanized steel with metal
thickness over 1mm and coating thickness > 0.06mm
3) Material for inner skin is 2mm thick stainless steel 304L with 2B surface
smoothness. Surface quality roughness Rmax < 0.3mm
4) Preformed inner and outer pre-molded metal skins injected with polyurethane foam
5) Closed cell foam insulation (does not absorb water and fills out hollow spaces) on
the panels
6) Minimum thermal bridging factor is TB1 with Kb >= 0.8
7) Coils, filters, fan installed on up-stands.
8) Edges of casing rounded to r > 5mm
9) Corners of casing rounded to r > 10mm
10) All instrument transmitters and damper motors are to be fixed on the outside
11) Any penetration downstream of filters up to the fan unit should be airtight

5.4 Drainage System

The drainage system will be guided by the following principles:

Drain pipe size shall 2” diameter


Pipe material to be used for the recovered condensate will be stainless steel
The siphon leg will be dimensioned (for drain on the negative pressure side of the
AHU) as per below drawing

X2 = 100 mm

The operational drain (cooling coil condensate) is normally connected to the main
drainage pipeline (collector pipe) via a stainless steel union from the siphon and
floating ball
During maintenance cleaning, the siphon is disconnected from the main drainage
line and discharges into a funnel or floor drain that is connected from sewage
system. The funnel is covered during normal operation
All other drains which are only used during cleaning / maintenance works are
capped. During cleaning, a hose is connected and the waste water drained to a
bucket or to the drain for the sewage system

5.5 Electrical & Automation

a. General Requirements
1) The electrical distribution scheme shall be TN-S (5-wires, separated neutral and earth)
2) Electrical cabinet shall be provided with a keyed lock for the door to restrict access
3) The main switch handle shall have two stable positions with a position indicator and shall
be suitable for locking in the OFF position
4) The main switch position must be easily accessible and shall be located at a height
between 600 and 1900 mm (typically 1700 mm)
5) All electrical terminals (main power supply) and main switch terminals shall be finger
safe and labeled with electrical hazard sign. All panels’ components shall be protected
against direct contact to live part (finger safe design)
6) No device shall be installed on the doors except for the control, indication, measurement
or cooling system
7) All control enclosure to have “Control Power” indicator installed on the panel door
8) The door opening angle shall be >90°
9) Only electrical equipment shall be installed in the cabinet
10) The electrical installation shall be designed to facilitate cleanliness and sanitation
11) Enclosure shall not be used for mounting or supporting external devices, conduit or piping
12) Electrical installation shall maintain a dust tight minimum IP55 rating for Dry Area and
IP65 for Wet Area

18) In case of transformer use, the terminals shall be protected by plastic covers to prevent
accidental contact (electrical arc)
19) The components and terminal blocks shall be located between 0.4 and 2 m above the floor
20) A junction box for connection of field instruments should be provided on the outside of
the unit
21) Distance between terminal rows and cabinet must be at least 200 mm in order to facilitate

4) Each wire shall be labeled at each termination


5) All external sockets and associated connectors must be clearly identified to prevent

c. Grounding
1) Grounding terminals must be marked with the appropriate sign

2) Every metallic part of panels shall be made electrically continuous and shall be earthed
through a copper wire
3) The terminal (common) of the 24 VDC supply shall be earthed
4) The structural parts of the machine shall not be used as protective bonding conductors
5) Irrespective of whether electrical equipment is mounted on lids, doors or cover plates, a
protective conductor shall always be used to ensure continuity between all elements
6) The grounding conductor shall be readily distinguishable by shape, location, marking and
color. Green / yellow insulation shall be used throughout the length of the conductor. This
color is strictly reserved for the grounding conductor. The grounding wire shall be copper
7) The grounding conductors’ size must be compliant with the local (IEEE) regulations
8) All metallic parts shall be grounded: all paint and other surface coating shall be removed
down to bare metal surface prior to connecting to the ground system
9) There shall be only one grounding conductor per terminal
10) The protective bonding circuit shall be star-diagram connected. Series connection (daisy

d. Air Handling Unit Control System

1) When motor is not running, the outside air damper motor M1 closes the air flow from the
outside. When unit is operating normally (based on time delay after the turning on of the
fan blower motor M2), the outside air damper motor M1 opens the air flow coming from
the outside to maintain the room air pressure
2) The compressor / Refrigerant is controlled by the reading of the temperature sensor, TI.
When temperature reading, TI is below the target dew point temperature, the valve is
modulated to reduce the chilled water flow. When the temperature reading exceeds the
target temperature, the valve is opened further to increase the heat transfer.
3) The steam / condensate flow is controlled by the temperature sensor reading TR. When
the temperature reading TR is already above the target room temperature, the steam

below the target room temperature, the valve is opened further to increase the heat transfer
and reduce the relative humidity

6 Safety Health & Environment


As a minimum, Nestlé requires that the equipment and its components must comply with
pertinent local standards, codes and regulations in the Philippines and specific requirement of
this URS. In the event of conflicting requirements, the most stringent one is to be used.

The supplier is responsible for identifying and utilizing all relevant directives, standards
and legal requirements. A document must be provided with a list of standards used and
certifying conformance by the supplier

6.1 General Requirements


The supplier must perform a comprehensive risk assessment in accordance with relevant
standards. This assessment must identify and consider all relevant hazards associated with
operation and maintenance of the equipment, including mechanical hazards, electrical
hazards, noise, ergonomics, hot and cold surfaces, pressurised systems, and explosive
atmospheres

6.2 Hazard Identification and Risk Assessment


Risk reduction must be done in four steps:

a. Elimination of Hazards - Where feasible, sources of hazards must be eliminated by the


redesign of the equipment during the early design phase of the project
b. Limiting Exposure to Hazards - Risks arising from hazards that can’t be eliminated
must be reduced by limiting the need for interventions, for example:
Increased reliability of equipment
Use of automation in loading and unloading
Placement of maintenance points outside of hazardous zones
c. Safe-guarding & Other Protective Measures - must be provided to protect persons
whenever inherently safe design does not sufficiently reduce risks. Other protective
measures (e.g., emergency stop equipment, energy isolation) may also be necessary

d. Information for Use - remaining residual risk must be addressed through the provision
of other protective measures, e.g. warning signs (pictograms plus text in local
language), audio and visual signals, personal protective equipment (PPE), training, and
safe operating procedures

6.3 Safeguards

Guarding must meet the Nestlé “Zero Access” principle, i.e. it must make it physically
impossible to access energized parts with the potential to cause injury, without using a tool,
key, or password to remove or disable safeguards

In addition, safeguards must provide protection from falling objects, ejected / ruptured
parts and materials

Guards and protective devices must provide the minimum possible interference with
activities during operation, maintenance and other phases of equipment life. In addition, they
must:

Be of robust construction and compatible with the working environment


Not give rise to any additional hazard
Not be easy to by-pass or render non-operational
Be located or designed to prevent anyone from being able to reach the danger zone
before the equipment comes to a complete stop
Cause minimum obstruction to thex view of equipment operation (e.g. using
transparent materials of construction)

6.4 Isolation (Lock-Out / Tag-Out)


Equipment must be provided with isolation devices capable of:

Securely isolating the equipment from all external sources of hazardous energy
(e.g. electrical, pneumatic, thermal, hydraulic, steam, etc.)
Safely releasing any internal stored hazardous energy (e.g. pneumatic or hydraulic
pressure, loaded springs, gravitational energy, etc.)
Blocking and visually identifying any residual hazardous energy that cannot be
released

Equipment must be designed to enable fast and easy restart after Lock-Out/Tag-Out
(LOTO) is removed (ready to start in less than 1 minute)

6.5 Ergonomics and Accessibility

The equipment must be designed to enable individuals to carry out their work safely and
comfortably. Equipment dimensions must be selected with reference to anthropometric tables.
The supplier must carry out an ergonomic assessment of each work-station and activity and
provide this assessment to Nestlé if requested

In the event of a power failure, the equipment must return to a safe condition, which must
be manually reset by the operator. Restoration of power and / or other utilities must not
automatically restart any operation without the operator’s initiation of a start button

Over pressure protection (i.e. pressure relief valve) - must be provided on the discharge
side of each source of pressure, and permanently set at a pressure rating below the lowest
pressure-rated component in the circuit. Over pressure must be vented to a safe location

Supplementary lighting must be provided where necessary to maintain illumination levels


in all task locations between 300 and 500 lux. Lighting must be designed to minimize glare,
reflections and shadows

Noise levels at 1m distance, all around the equipment, must be less than 80 dB(A) during
operation

There must be no sharp points or edges anywhere on the equipment

7 Hygienic Design Requirements


7.1 General Hygienic Design Rules
It should be noted that the equipment will be installed in a food manufacturing
environment and must be designed appropriately. The fundamental principle involved is to
eliminate or minimize all hollow cavities, cracks, crevices, ledges and other places which are
difficult or impossible to clean.

Care in the design of the equipment should include the following:

a. Identification and elimination any source of contamination, being direct or indirect. If


not possible, a means to control them should be developed
b. Avoidance of dust or powder residues to be trapped in any part of the equipment
c. Provision for easy cleaning and inspection of all equipment surfaces
d. Avoidance of outer surface points with condensation
e. No hollow body should be used for supports or structural parts having direct food
contact
f. No wood should be used in any part and / or component of the equipment
g. Avoidance of any horizontal flat surfaces, as it will accumulate dust. All surfaces to
be with an angle
h. Have only smooth surfaces
i. Have no crevices or ledges
j. In general, sharp corners and edges must be avoided if possible. If they cannot be
avoided, they should be rounded
k. All welding works should comply with the following:
Material should be lead free
Welded joint should be without cracks or porosities
Scorch marks must be removed from unpainted metal surfaces

All welding slag and splatter must be removed from the weld
Continuous welding is preferred and should be smooth, continuous and polished
Stainless steel welding to be of hygienic designs (e.g. using TIG or Tungsten Inert
Gas welding)
l. Paints will be non-toxic, heavy-metal free, color as specified
m. Support legs should provide a ground clearance of 500mm +/- 50mm, to ensure that
adequate cleaning and inspection can be carried out effectively
n. Flexible connections with corrugations must be avoided

7.2 Machine and Equipment Frames


a. Design of the equipment should consider the following:
Open frames are preferred as they give better visibility, clean-ability and sanitation
No extra holes should be drilled if not needed as they make cleaning difficult if not
impossible
Preference must be given to solid sections to avoid creation of hollow bodies
Avoid cross bracing wherever possible by designing heavier structural members
with solid gussets
Shaped channels should be installed upside-down to avoid dust collection

7.3 Clean-ability
a. Manufacturer should ensure:
Safe and easy cleaning of all areas in / on the equipment (easy inspection and easy
accessibility)
Avoid “hard to reach” places
Areas underneath and around equipment and piping must be accessible for cleaning
and maintenance
No dust accumulation corners or hollow bodies
Places that are located inside the machine and that can become dirty because of
residues or lubricants should be made visible for easy inspection
Ensure proper lighting of all parts that need inspection and cleaning
b. Electrical panels supplied as part of equipment should be mounted to stand at least
25mm from the mounting surface. The distance will depend on the electrical panel
size, to ensure proper clean-ability between the surface and the electrical panel

8 TPM requirements
For TPM requirement, it must consider on the following:
1. No hard to reach places during the operating and maintenance.
2. All parameters must have a range to center line.
3. >80% AI in 100days

9 Acceptance Testing
The qualification protocols and process to validate the work according to Nestlé standards
must be agreed and signed off by both parties

The Factory Acceptance Test (FAT), Site Acceptance Test (SAT) and Final Acceptance
(FA) are normally the basis for determining if the equipment has been manufactured and
delivered in accordance with the Nestlé User Requirement Specifications agreed upon with
the supplier. A Nestlé representative shall be present to witness and document conformance,
as well as, capture points of non-conformance. The Nestlé representative and / or the Nestlé
Project Manager will provide an action list of non-conforming items to the supplier with
