PREAMBLE:
Majondeyma Farmers and Savings Organization (FASO) was officially established on the October
20th 2023 by vibrant Community Development thinkers to address the various challenges faced
among the Community people. FASO focuses on key areas such as Agriculture, and Savings.
Majondemaya Farmers and Savings Organization (FASO) is a non-political, non-sectarian,
voluntary self-help organization and hereby establishes this constitution/byelaws in order to fully
realize the developmental aspiration of our communities and villages in Falaba District.

ARTICLE I:

NAME AND ACROMN:

- The name of the organization shall be Majondemaya Farmers and Savings


Organization(FASO).

ARTICLE II:

LOGO:-

- The Logo, the logo shall be togetherness amongst our members.

ARTICLE III:

- MISSION:
To promote and seek for the well-being of community people in the areas of
Agriculture, and Savings amongst the community people, and to raise awareness,
provide support, and create opportunities for the community people in these areas, and
ensuring that, their families, businesses are well protected and well taking good care of
and their voices are heard from their various communities.

ARTICLE IV:

- VISION:
To empower and uplift the community people by providing them with opportunities for

Agricultural skills development, and training on various communities business ideas
and create a supportive inclusive environment for all.

ARTICLE V:

- OBJECTIVES:
The objectives for which the Organization is established are:
1. To promote sustainable agricultural practices among the community people in
Falaba District.
2. To raise awareness about different Community Development Businesses and
advocate for the support of community members.
3. To improve the well-being of the community people in Falaba District by providing
access to loans support to their healthcare services, promoting healthy lifestyles, and raising
awareness about
common community issues
4. To support community members to get quality education, scholarships for their
children in schools, and supporting initiatives on different community events.

It shall be opened to all within the ages from 18 and above for both male and female
inclusive of all ethnics, religious affiliations etc the Falaba District Youths Network shall
terminate the membership of any member whose attitude or behaviour goes against
the character and image of the organization.

ARTICLE VIII:

- EXECUTIVE COMMITTEE/OFFICERS
The executive committee is the top organ of the organization, and executes
official function of the organization and shall regulate the day-to-day affairs of the
organization

RESPONSIBILITIES:

EXECUTIVE DIRECTOR/PROGRAM CORDINATOR

- The Executive Director/Program Coordinator is the supreme head of the organization


- Principal signatory to the organization’s bank account
- The Program Coordinator is responsible for coordinating and overseeing all program
activities.
- Develop and implement program plans and strategies, monitor and evaluate program
outcomes.
- Collaborates with stakeholders and partners to ensure effective program delivery.
- Manage program budgets and resources and additionally, provides leadership and
guidance to program staff and volunteers.
- Represents the organization at meetings/events and maintain accurate program
records and reports.
- Stay updated on relevant policies and regulations to ensure program compliance.

THE PROGRAM OFFICER:

- The Program Officer is responsible for implementing various programs and activities.
- Work closely with the Executive Director and other staff members to develop program
strategies and goals.
- Signatory to the organization’s bank account
- The Program Officer also conducts research and analysis to identify community needs
and develop appropriate interventions.
- Responsible for writing project proposals and securing funding for programs.
- Collaborate with partner organizations and stakeholders to ensure effective program
implementation.
- Plays a key role in building relationships with community members and promoting the
organization's mission and values.

THE PROGRAM FINANCE

- Managing financial transactions, maintaining accurate financial records, preparing
financial reports, monitoring budgets, and ensuring compliance with financial
regulations.
- Signatory to the organization’s bank account
- Responsible for analyzing financial data, providing financial advice and support to
program managers, and assisting in the development of program budgets.
- Involve in fundraising activities and grant management.

THE PROJECT MANAGER:

- Planning and overseeing projects from start to finish.


- Developing project objectives, goals, and timelines.
- Creating and managing project budgets.
- Identifying and allocating project resources.
- Coordinating and communicating with project stakeholders.
- Monitoring project progress and ensuring adherence to timelines.
- Managing project risks and implementing mitigation strategies.
- Evaluating project outcomes and reporting on results.
- Leading and supervising project team members.
- Ensuring compliance with organizational policies and procedures.

THE PROGRAM MONITORING AND EVALUATION:

- Collecting and analyzing data to assess the effectiveness of programs.


- Developing and implementing monitoring and evaluation frameworks.
- Conducting regular field visits to monitor program activities.
- Identifying areas for improvement and making recommendations.
- Ensuring that program activities align with organizational goals and objectives.
- Collaborating with program staff to develop monitoring and evaluation plans.
- Providing training and support to staff on data collection and analysis.
- Reporting on program outcomes and impact to stakeholders.
- Ensuring compliance with monitoring and evaluation standards and guidelines.
- Contributing to the overall strategic planning and decision-making processes of the
organization.

PROJECT HUMAN RESOURCES:

- Developing and implementing HR policies and procedures.


- Recruiting and selecting qualified candidates for project positions.
- Conducting orientation and training programs for new hires.
- Managing employee performance and providing feedback.
- Ensuring compliance with labor laws and regulations.
- Handling employee relations and resolving conflicts.

- Managing employee benefits and compensation.
- Maintaining employee records and HR databases.
- Providing guidance and support to project staff.
- Collaborating with other departments to meet project goals.
- Keeping up-to-date with HR trends and best practices to enhance the project's HR
functions.

THE PROJECT ZONE FIELD SUPERVISORS:

- Overseeing and managing all project activities within the assigned zone.
- Providing guidance and support to project staff and volunteers.
- Monitoring and evaluating project progress and ensuring adherence to timelines.
- Collaborating with community leaders and stakeholders to ensure project objectives
are met.
- Conducting regular field visits to assess project implementation and identify any
challenges.
- Facilitating training and capacity-building sessions for project staff and beneficiaries.
- Maintaining accurate records and documentation of project activities.
- Reporting on project outcomes and achievements to the Program Manager.
- Ensuring compliance with organizational policies and procedures.
- Representing FaDiYAN at meetings, workshops, and other relevant events.

THE PROJECT INFORMATION TECHNOLOGY ( IT ):

- Managing and maintaining the organization's computer systems and networks.


- Installing and configuring hardware and software.
- Troubleshooting technical issues and providing support to staff.
- Ensuring data security and backup procedures are in place.
- Conducting regular system audits and implementing necessary updates.
- Collaborating with other departments to identify and address technology needs.
- Training staff on the use of technology and software applications.
- Researching and recommending new technology solutions to improve efficiency.
- Keeping up-to-date with industry trends and advancements in IT.
- Assisting in the development and implementation of IT policies and procedures.

AUDITORS:

- The Board may fill any casual vacancy in the office of the Auditor, but while any such
vacancy continues, the surviving or continuing Auditor or Auditors, if any, may act.
- Every Auditors of the Organization shall have a right to see all relevant vouchers and
shall be entitled to access at all times to the books and accounts he requires from the
executives.

- The Auditors shall make a report to the members of the accounts examined by them
and on every balance sheet laid before the Organization at its Annual General Meeting

ARTICLE IX:

Meetings:

Annual general meeting

- There shall be an annual general meeting held every year. The quorum for an annual
general meeting shall be two third majorities of members or staff.

General meetings

- There shall be a general meeting of the organization once every month

Executive meetings

- This shall be held at the request of the Programme Lead once every three months
- Emergency meetings
- Shall be summoned when emergency issue arise within the confines of the
organization

ARTICLE X:

FINANCES:-
- The FaDYAN shall derive its finances from fundraising activities, monthly subscription
or contributions, funding from donor agencies, government line ministries and grant
from philanthropists or well-wishers
- The organization fund shall be deposited in a reputable commercial bank in Sierra
Leone
- To every bank account three members shall be appointed as signatories to the
account, the Executive Director/Program Coordinator, Program Officer and Program
Finance shall be signatories to the organization’s bank account and the principal
signatory shall be the Program Coordinator/Executive Director, the Program
Coordinator can sign with any one of the two to withdraw any cash on behalf of the
organization.

ARTICLE XI:

AMENDMENTS:
- The constitution or a clause or clauses thereof shall be amended with the agreement of
the two-third majorities of all members at general meeting.

ARTICLE XII:

DISCIPLINES OR CODE OF CONDUCT:


- Any member whose activity(ies) or character(s) goes against the organization shall be
dismissed after two warnings in writing
- The executive shall have the power to dismiss any official of the organization for loss of
misappropriate his or her duties as laid down in the constitution. This removal shall be
ratified at general meeting if necessary
- Any member guilty of misappropriating funds of the organization shall in addition to
refund the misappropriated amount immediately refunded and shall be banned from
holding any future position. If the misappropriate fund is not refunded, the organization
shall have the power to take legal action against the culprit without any hesitation or
fear
- The organization also reserves the right to legal action against any member for
misappropriating properties and fund of the organization

ARTICLE XIII:

REPRESENTATIONS:
- The Program Coordinator in concert with the executive members can appoint any
reliable member to represent the organization at any meeting from amongst them.
- The constitution/byelaws hereafter, regarded as legal document of this organization
and have been approved by majority of members of this noble organization on the
1st September, 2023.
