Middle & High School Activity Participation Policy

YIS encourages students to achieve a sense of balance through activity inside and outside
the classroom, including sports, fine arts and “responsible global citizens” programs. While we
believe that an active and involved student is a healthy student, it is important for you and
your family to make informed decisions about the level of that involvement and understand
the responsibilities that come with participating in a school activity.
Therefore, when selecting activities, you need to plan your time commitments carefully.
Communication with coaches, activity supervisors and classroom teachers is important – if
you are having difficulties, please make sure you raise this with the relevant people.
Our policy is that students undertake up to four activities per session. If you wish to do more
than this, then it needs to be discussed with your parents, tutor and your subject teachers to
ensure that the increased load is manageable.

Student Behavior
All members of a school activity are expected to act in accordance with YIS policies and to
conduct themselves at all times as ambassadors of YIS. Involvement in the program is a
privilege that must be earned and maintained. Our expectations and participation agreements
are based upon our school values:

● We are responsible in our actions.
● We are supportive of each other.

Participation Expectations
You are expected to participate fully in all scheduled events for the activities you join. If you
are not able to participate for any reason, you must directly notify the coach/supervisor as far
in advance as possible. In the case of absence due to illness or family situation, the same
requirements (i.e., parent's and/or doctor's note) apply as for absence from classes. If you are
participating in more than one activity at a time, please also check to ensure there are no
conflicts between tournaments and other events. To maximize the collective potential of the
group, we must be able to count on one another to be present and supportive of each other.

School Attendance Before and Following Activity Events


If you participate in multi-day tournaments or other events and return over a weekend, you
are expected to be at school on the day of your departure and return to school at the
regularly scheduled time on Monday morning. Failure to arrive at school on time for classes
may preclude you from participating in future weekend activities. This expectation also
applies to activities that take place on a weeknight. It should be understood that regardless of
when an event takes place, you must show you are responsible in your actions by completing
your assigned work.

Medical and Emergency Contact


All activity participants must make sure that up-to-date medical and emergency contact
information is on record with the school. If you have a medical condition, it is essential that
your parents provide all relevant information regarding the condition, treatment and any
medications prior to active participation, including tryouts. Parents of students participating in
athletic activities are required to complete a permission form as part of the online
(re)enrollment process prior to the beginning of the school year.

Travel Documents
If you are participating in AISA or other events with overseas travel, you must provide a color
copy of the identification page of your passport along with those pages that indicate any
applicable visa status. Please also make sure that your passport information is entered into
the Veracross system via the parent portal.

Permission for Independent Travel


Students wishing to travel on their own to/from YIS events held off campus must have
parental permission in advance of the events. This travel permission only needs to be
submitted once a year as part of the online (re)enrollment process, and may be
revoked/altered as required.

Team Uniforms/Apparel
If you are participating in a sport, uniforms will be made available once team rosters are
decided upon by coaches. Please take good care of these uniforms and return them at the
end of the season laundered and in good shape. A ¥5,000 deposit will be collected at the
beginning of each season and will be returned to the students once the assigned uniform is
returned at the close of the season. Students will be notified about uniform return dates at
the end of the season by the Athletic Director. If your uniform is lost, please report this to the
coach and you will be issued a new one for the remainder of the season. However, your
deposit will not be returned at the conclusion of the season. High school sports teams may
also require a YIS warm-up suit, polo shirt and practice jerseys if applicable. Other high school
activity participants may also be asked to purchase a YIS polo shirt for travel to and
participation in events, and all activity participants must adhere to relevant dress codes. All
team and activity apparel may be purchased at the school store.

Homestay Commitment for AISA Event Participants


All families with students participating in sporting tournaments and/or fine arts events for the
Association of International Schools in Asia (AISA) are respectfully asked to provide homestay

accommodation for a visiting student or students as part of our reciprocal agreement with the
other member schools. The homestay experience is one of the key aspects of AISA events,
and it is invariably both a fun and rewarding one. Not only does it help keep costs down for
families with students traveling, more importantly, it fosters cross-cultural exchange and
friendship. Should you have difficulty providing homestay for any given event, we ask that you
find a replacement family from within the YIS community to house our visitors on your behalf.

Students with Outstanding Accounts


Please note that students with delinquent accounts will not be allowed to participate in trips
that require travel surcharges until all outstanding fees have been settled.
