JOB ANALYSIS

Job analysis is a systematic process used to gather, document, and analyze information about a job. The primary
goal of job analysis is to understand the duties, responsibilities, tasks, and qualifications associated with a
particular job. This information is valuable for various HR functions, including job design, recruitment,
performance appraisal, training, and compensation. This information includes the duties, responsibilities, skills,
knowledge, abilities, and other characteristics required for successful performance. It involves gathering data
through various methods, such as interviews, surveys, observation, and task analysis.
There are two main approaches to job analysis: job-oriented (task-oriented) and person-oriented (worker-
oriented).
Job-Oriented (Task-Oriented) Job Analysis:

1.Task Analysis: Breaks down the job into specific tasks or activities. It answers questions like "What does the
employee do?"
2.Duty Analysis: Groups related tasks into broader categories known as duties. It answers questions like "What
are the major responsibilities of the position?"
3.Responsibility Analysis: Examines the overall responsibilities of the job, often considering the level of decision-
making and accountability.
Person-Oriented (Worker-Oriented) Job Analysis:

Components:
1.Skill Analysis: Identifies the specific skills necessary for the job.
2.Knowledge Analysis: Outlines the knowledge areas required for effective job performance.
3.Abilities Analysis: Examines the physical and mental abilities essential for the job.
The 11 common uses of job analysis information outlined by Ash and Levine (1980) are-

a) Career development
b) Legal issues
c) Performance appraisal
d) Recruitment and selection of employees
e) Training
f) Setting salaries
g) Efficiency/safety
h) Job classification

j) Job design
k) Planning

Some purposes of job analysis are described below:

Developing accurate job descriptions and performance standards: This helps in drawing in qualified applicants,
evaluating performance, and promoting appropriate compensation.
Identifying training and development needs: Organizations can identify training gaps and create programs to fill
them by knowing the knowledge and skills needed for a certain position.

Performance Appraisal: By outlining precise goals and success criteria, job analysis serves as a foundation for
assessing employee performance.

Training and Development: It helps determine the knowledge and abilities workers require to do their jobs well,
directing the creation of training curricula.

Remuneration and Benefits: By assessing the value of various positions within an organization, job analysis helps
to design fair and equitable remuneration systems.

Legal Compliance: By guaranteeing that employment criteria and qualifications meet legal norms, it assists firms
in adhering to labor laws and regulations.
