Formal Letter: Points to Remember

1.The Formal letter as its name suggests is formal in nature. It


follows a strict format and language.
2.The language of a Formal Letter is completely formal and no
use of informal words and expressions is allowed. The content
should be precise and to the point. Don’t beat about the bush.
3. First the Sender's Address is written which is followed by the
date of writing. The date should be in proper format only.
4.After writing the Date the Receiver's Address is mentioned.
The receiver can be a head of an institute, Editor, Manager,
Govt. Official etc. While writing the address make sure that you
mention a landmark and the name of the city, or if it is an
institute or company its name can also be mentioned.
5. The subject of the letter should be according to the topic and
catchy.
6. Salutation of a Formal Letter must be formal. It can be Sir,
Madam or Respected Sir.
7. Content : The main matter of the letter is written here. It
may be divided into 3 paragraphs as follows -
Introduction: Introduce the purpose of writing the letter in
brief.
Main Body/Content: Give detail of the matter.
Concluding Remarks : Conclude by mentioning your
expectations
(For example, a solution to your problem, to highlight an issue
in the newspaper, etc).
8. Subscription/ Signatory: Yours Faithfully, Name of the sender
and designation if required.

Subject: Problem of stray animals in Vasant Vihar


Sir,
Through the columns of your esteemed newspaper, I want to draw the attention of the general public and the
higher authorities towards the suffering of the residents and pedestrians of Vasant Vihar due to the nuisance
caused by the stray animals, one can easily become a prey for accidents. One can notice stray animals on the
road even during the peak hours of the day. The stray animals have become a great problem for the drivers as
well as for the young children. They cause frequent traffic jams and accidents. Sometimes rows of stray cows
block the road causing great miseries.
We have already written to the concerned authorities but of no avail. Even a delegation of residents met the
deputy commissioner on last Sunday but the outcome was not fruitful. We hope the concerned authorities will
take immediate remedial measures to deal with this nuisance.
