Formal Letters and Business Letters

Letters written to firms, newspapers, Principals of educational


institutions, professional men and women, officials and to people
not personally known are formal letters. As these letters are
impersonal, the laguage used is courteous, simple and clear. They
should be dignified, short and to the point.

Letter to the Editor

Writing letters to the editor is a great way to engage with a topic


you’re passionate about and to influence public opinion in a focused
professional and original way.

Keep the following points in mind while writing formal letters:

● Always make sure that the language used in the formal letters is polite,
simple and clear.

● Point out relevant details and if possible even minute details so that
your concern is highlighted through your letter.

● Always specify the solution/action (to be taken) you are looking


forward to. Never leave it as an open ended letter. Clearly state what
you want as resolution.

● Make sure you proofread your letter before closing it.


● Don’t become repetitive while writing the issue/problem being faced.
● Usage of simple language is best, as it will eliminate any chances of
miscommunication to the reader.

● Avoid using big words or jargon to create impact or impress your


reader.

A formal letter has the following parts.

● Sender’s address * Addressee’s address * Date


● Salutation * Subject * Closing ●
Body of the letter (preferably in three or four paragraphs)

Subject: Noise Pollution in the City

Dear Sir

I would like to draw the attention of the authorities concerned


towards the increasing problem of noise pollution. It is causing
great damage to health as it leads to loss of sleep and peace.
Frequent loud noise affects the working efficiency of people and
persistent noise pollution causes a loss of sense of hearing.

Increasing number of vehicles on the roads, rising growth of


factories, construction work, loudspeakers used on various
occasions, rock and pop music, etc. are various factors responsible
for causing noise pollution. Noise control laws are being openly
violated.

It is the time that the authorities should wake up against the


dangers of noise pollution. They should strictly enforce the noise
control laws. The use of loudspeakers should be stopped after a
specific time. Above all, the public needs to be aware of the dangers
of noise pollution because without public cooperation much
difference cannot be expected.

It is earnestly hoped that the authorities concerned will take


immediate and necessary action to relieve the people of the harmful
effects of noise pollution.
