3 Service Process

3.3.1 Detailed Description and Flow Chart of the Admission Processes

Registration

Students must complete the application form providing their personal data and academic

information. The students may initially access the form from the academic websites

before submitting it to the university. Additional required documents must be submitted

upon request of the university.

Entrance Exam

This is the standardized test to assess the readiness of the student. Qualifications are up

to the concerning heads. The date and location of the entrance exam must be

announced at sufficient days prior to the exact date of the exam.

Interview

It is important for both the student and the university to get to know each other. This is

when the interviewer determines if the student is qualified in terms of motivation and

character

Enrollment

Students must complete all the requirements and choose their desired course. Tuition

fees and other payments need to be paid during the enrollment process.

Orientation

It includes welcoming the students and introducing the school’s rules and policies.

Informing the students about different academic programs is the main purpose of

orientation.
3.3.2 Detailed Description of the Educational Procedure

Lectures

Instructors presents information to the students. Lectures are important tool for materials

and manufacturing engineers as they provide the foundational theoretical knowledge


needed for practical work. They help engineers understand essential concepts and stay

updated with industry’s advancements.

Written Exams

Periodic exams are provided to evaluate students’ knowledge and understanding of the

concepts. Written exams assess problem-solving skills, critical thinking, and the ability to

make informed decisions, which are crucial in dealing with complex manufacturing

processes and material selection.

Workshops

The field of Manufacturing and Materials Engineering focus more on dealing with

equipments and materials. Workshops improve skills in manufacturing efficiency, cost

reduction, quality control, and materials testing results analysis.

OJT

Students must be exposed to the actual environment of their chosen field to have more

in-depth understanding in their endeavor and be more prepared in their career.

Screening

Faculty members conduct a deliberation meeting to evaluate a student's eligibility for

graduation.
3.4 Quality Management Process

3.4.1 Quality Control Requirements

The renovated part of the structure would be constructed on the roof floor. Quality control during

and after the construction must involve a systematic process of inspecting and assessing the

renovation. This is to ensure that it meets the specified quality standards, safety regulations,

and design requirements.

MAN

Employee / Staff requirements

Employees or staff members should undergo regular evaluations by students and

colleagues to ensure ongoing accountability and performance improvement. This

feedback mechanism promotes transparency and enables the institution to address any

concerns promptly. Instructors must follow a systematic and competent curriculum that

aligns with the mission and vision of the university in terms of serving high-quality

education. Continuous assessment and adaptation of teaching methods are essential to

meet the evolving needs of students.


Student Requirements

Students can significantly contribute to the quality of education at a university by

providing constructive feedback on courses and instructors. They could also help

maintain the education quality of the university by simply being responsible of using the

resources provided by the school. The university should also encourage students to

participate programs that involves improvement of the school.

MACHINES

Machine Requirements

All material testing equipment, metal machinery, fabrication tools, safety equipment, and

other laboratory machines must comply with the required specifications standards to

provide reliable results. Machines and equipment must be consistently checked and

inspected by a technician to avoid disruptions during workshops and to maintain safety

while training. Consistent maintenance and upkeep of these machines are essential to

extend their lifespan and maximize their efficiency in materials and manufacturing

engineering work. Safety equipment, encompassing personal protective gear and fume

hoods, must be well-maintained and compliant with safety regulations to safeguard

students and instructors during work.

Hardware Requirements

For the Computer Laboratory, the following minimum specifications of hardware must be

provided:

- Processor: Intel Core i5 or its equivalent

- Operating System: Microsoft Windows 10 Professional x64

- Memory: 8 GB RAM

- Storage: 512 HDD/SSD

Software Requirements

Functional Stability

Program license must be installed in all units and Installation of drawing and

engineering analysis programs should be carried out accurately to ensure their

functional stability. Regular updates should be applied to maintain security and

performance of each computer unit. Consistent monitoring and validation of the

licenses and software versions are essential to safeguard against any potential

issues or discrepancies.
Performance Efficiency & Reliability

Each computer units must perform efficiently. The softwares of the units and the

programs should be constantly checked by a software expert. The software

expert's role includes updates, troubleshooting, and ensuring that all licensed

programs are used in accordance with university regulations. Regular

maintenance and oversight contribute to a reliable and productive computing

environment within the academic institution.

3.4.2 Quality Procedures

METHODS

Methods for choosing the right employees / staffs

The recruitment and selection of university administrative staff should be competent and

structured to ensure that the most qualified candidates are chosen to fill key positions. The initial

stage in the hiring process entails job posting and approval. The posted job description must

outline the responsibilities, qualifications, and expectations associated with the position.

Furthermore, the acquisition of necessary approvals from university authorities or relevant

departments is a critical prerequisite for commencing the recruitment process. The screening of

staffs must satisfy the standard qualifications that are required.

Methods for machines, hardwares, and softwares

The equipment and machines to be stored in the two departments should be from reliable and

trusted stores. They should be tested for finalization and quality reports must be presented.
Before finalizing the hardwares and softwares to be used, it must be tested first according to

their functionality, performance, and security. These tests help identify any vulnerabilities,

performance issues, or compatibility problems that need to be addressed before

implementation. By conducting comprehensive assessments, the university can ensure that the

chosen hardware and software components will seamlessly integrate into the existing

environment and contribute to the overall efficiency and security of the departments.

3.5 Plant Size and Production Schedule

3.5.1 Schedule

The proposed programs, MfgE and MatE, will be open for enrollment by Academic Year

2024-2025. It is operational from 7:30 AM to 9:00 PM for classes and 8:00 AM to 5:00

PM for administrative offices from Monday to Friday. For Saturdays, it is operational from

8:00 AM to 4:00 PM for classes and 8:00 AM to 12:00 PM for administrative offices. This

will run for 100 days for the first and second semester, and 29 days for the summer

term.

3.5.2 Service Capacity Plan

Lecture Rooms

Lecture rooms are 4.5m by 7m in floor area. This size capacity can carry a 2m x 3.5m

instructor’s lecture area, 45 total numbers of armchairs, and 800mm rear and side aisles.

Three lecture rooms are assigned for the MATE Department while the other three lecture

rooms are for the MFGE Department.

Laboratory Workshop Rooms

In laboratory rooms, spaces for equipment, lectures, and hands-on exercises are

provided. Each has a floor area of 4.5m by 7m that makes a total of 13.5m by 7m

Computer Laboratory Room

The Computer Laboratory is designed for 46 computer units. It occupies a floor area of

9m x 7m. Both students from materials engineering department and manufacturing

engineering department from first to final years could be catered according to the

schedule analysis.

Faculty Rooms

There are two faculty rooms for every department (2 for materials engineering

department and 2 for manufacturing engineering department). The 7m by 4.5m faculty

rooms have the capacity to contain 9 faculty members.


Comfort Rooms

Each comfort room has 4 lavatory fixtures and 2 toilet cubicles. The 4.5m x 7m floor area

is divided into 2, the female and the male comfort rooms. The four comfort rooms are

located in the corners of every building for convenience purposes.

3.6 Manpower Requirement

Proper organization structure must be established in order to define the necessary

human resources the organization needs in order to operate. This includes determining

the exact number of employees needed, and providing the job description and job

specification that each employee must be qualified for the position they would assume.

3.6.1 Organizational Chart

To be able to perform its operation and provide the best service, the employees know

how to work with each other within the organization, specifically knowing who has the

higher authority. The organization chart below displays how the Department of

Manufacturing and Materials Engineering would operate.

Dean of School of Engineering

The dean is in-charge of managing the operations of the School of Engineering. These

include overseeing the students’ affairs, managing the faculty, making decisions

regarding the budget and resources, and providing a unified goal for the whole school.

Chairperson of the Department of Manufacturing and Materials Engineering

The chairperson is in-charge of managing the operations within the Department of


Manufacturing and Materials Engineering. These include curriculum development,

faculty management, handling the budget and resources of the department, and

collaborating with the different engineering departments.

Secretary

The secretary provides administrative support by facilitating communication among

faculty, staff, and students. They manage processing of documents, assist students, and

offer support to faculty members while ensuring compliance with university policies.

Laboratory Technician

The laboratory technician is in-charge of managing the laboratories in the department.

These include maintaining lab safety, managing supplies, managing inventory, and

troubleshooting.

Cluster Head, Manufacturing and Materials

The cluster heads are the leaders of the faculty. They organize the coordination of

Manufacturing and Materials Department to other Departments. They are responsible for

facilitating resource allocation and guiding curriculum development to maintain the

cluster's academic excellence and prominence.

They are responsible for teaching, instructing, and guiding students. They provide

knowledge and train practices to engineering students to develop their skills and

thinking. They assess students’ exams and evaluate hands-on exercises or workshops.
