Operation Manager Job Description

The Operations manager reports to the Director/owner and oversees the organization’s
production of goods and services. They will:
● Take leadership of operational and administrative departments, overseeing the smooth
running and interdepartmental cooperation to ensure efficient production. The
departments include purchasing & procurement, warehousing/ stores, Logistics,
kitchens, stewards and cleaners, sales and revenue, health & safety, compliance, finance
& accounting, engineering & maintenance, people resources, and security.
● Ensure the company’s products meet quality assurance, meeting or exceeding clients’ or
customers’ expectations.
● Oversee budgets, taking ownership of revenue inflow and expenses.
● Make sure that the company conducts their business in a safe and efficient manner.
● Oversee the company’s compliance with safety and environmental rules and
regulations.
● Ensure compliance with the company's policies and procedures.
● They must continuously follow trends in the marketplace related to their company’s
products and/or services.
● Conduct employee performance reviews in a timely manner.
○ In addition to attending staff meetings within the organisation, they may have to
meet with labour union representatives, members of neighbouring communities,
and government officials.
○ They may be required to mentor and coach staff within their company.
To do so, the Operation Manager is required to maintain the Company’s Vision, focusing on the
monthly business ongoings and targets by overseeing:
1. The Team
a. Building and continuously training the Right team
b. Directing departmental performance & targets, and overseeing key performance
indicators
c. Team motivation and discipline
2. Financials
a. Proposing and advancing strategy and action plans
b. Setting and overseeing budget projections, forecasts and actual revenue
c. Overseeing each department’s cost and setting targets
d. Using analytics to justify approval of Capex
e. Conducting and reporting on internal and external audits
3. Operations processes
a. Keep all business and process flow focused on the production
b. Final authoriser of the departmental Standard Operating Procedures
c. Final authority on task lists, compliance schedules, and maintenance schedules
d. Ensuring sustainability-of-process
4. Systems
a. Engaging in methods to ensure the following processes are efficient, timely and
smooth
i. Personnel/HR
ii. Finance
iii. Sales
iv. Authorisation escalation
v. Engineering and maintenance
vi. Logistics
vii. Production
viii. Purchasing/ requisitioning
ix. Inventory
5. Monitoring and evaluation
a. Monthly income and expenditure analysis
b. Weekly forecast analysis
c. ICE ( issues, complaints & engagement) analysis
d. Gaps and opportunities analysis
6. Growth
a. Market share capture and maintenance
b. Marketing and new market acquisitions
c. Ensure innovation, keeps the company as a leader in the field

Remuneration breakdown
● Salary: Kes 1,200,000 gross per month
● Travel and fuel allowance outside Nairobi
● Per diem allowance, if spending time outside Nairobi
