Latitudes in Afro-Latinx Arts Series Exhibition Contract Agreement

This agreement is between NAME OF ARTIST from CITY & STATE (“THE ARTIST”) and Casa Azul of
Greensboro (“CASA AZUL”) located at 200 North Davie Street, Suite 313, Greensboro, NC 27401. This
agreement is for the exhibition titled Latitudes in Afro-Latinx Arts Series (the “EXHIBITION”) to be held
between September 15tth through October 28th, 2023 at The African American Atelier Gallery, the
exhibition sponsor Gallery (“the GALLERY”). Whereas the ARTIST submitted an application to the call of
entries and was selected to participate in the EXHIBITION, and agrees to the following:

I. GENERAL INFORMATION. The EXHIBITION is part of CASA AZUL Latitudes in Afro Latinx Arts
Series. The EXHIBITION is a collaboration between CASA AZUL and the GALLERY and will be held
from Friday, September 15th to Saturday, October 28th, 2023 at the African American Atelier located
at 200 N Davie St #14, Greensboro, NC 27401.

II. SHIPPING AND INSTALLATION.

A. ARTIST shall be responsible for the delivery and return of the Artwork to the GALLERY. If the
ARTIST is from North Carolina, they have the option to deliver and pick their artwork at the
GALLERY. At the conclusion of the EXHIBITION, the ARTIST, if residing in North Carolina, shall
be responsible for securing the return of any Artwork delivered to the GALLERY for the
EXHIBITION. Artwork needs to be taken down between Sunday, October 29th and Monday,
October 30th, 2023.

B. ARTIST residing outstate and/or international shall be responsible for the delivery and return
of the Artwork to the GALLERY, including all packaging and shipping charges, as well as
shipping/transportation insurance costs. Your Artwork will be returned to you by CASA AZUL.

C. Return Shipping: If your Artwork is not selected for sale, the CASA AZUL will arrange its return.
Please include prepaid return shipping labels or discuss return shipping options with CASA
AZUL prior to sending the artwork. If return shipping fees are applicable, kindly include the
payment or provide the necessary billing details.

D. CASA AZUL will be responsible for installing the art for the display. CASA AZUL will start the
installation on September 8th, 2023 and all ARTIST Artwork must be received by September
8th, 2023.

The GALLERY provides the ARTIST the following necessary information regarding the mail-in
procedures for the artwork submission to The African American Atelier Gallery. To ensure a smooth
and secure process, please follow these guidelines outlined below when mailing your artwork to the
GALLERY:

● Contact Casa Azul: ARTISTS must contact Casa Azul first by August 28th, 2023 to coordinate
the details and logistics prior to shipping their artwork to the Gallery. ARTIST will email CASA
AZUL at info@casaazulgreensboro.org to coordinate a conference call for the purpose of this
coordination.

● Packaging: Use sturdy and protective packaging materials to safeguard the artwork during
transportation. Consider using bubble wrap, cardboard, or appropriate padding to prevent any
damage during transit. Indicate "Fragile" or "Handle with Care" on the package, if applicable.

● Shipping Address: African American Atelier, Inc. , 200 N. Davie St., Suite 14 Greensboro, NC
27401. Local ARTIST that choose to bring Artwork in person will need to contact CASA AZUL
via email at info@casaazulgreensboro.org or by phone (336) 850-1532 to coordinate Artwork
dropoff date at the GALLERY.

● Documentation: Include a completed Artwork Submission Form (Appendix A) inside the


package. Ensure the form contains accurate details about the artwork, including the title,
medium, dimensions, and sale price (if applicable). Add your name and contact information on
the form.

● Insurance and Tracking: It is highly recommended that you purchase shipping insurance for
your artwork. Obtain a tracking number from your chosen shipping carrier and keep it for
reference.

● Deadlines: Please adhere to any specified submission deadlines communicated to you by


CASA AZUL or the GALLERY. Allow ample time for the artwork to arrive before the exhibition or
review date.

● Confirmation: Once your artwork arrives at the GALLERY, we will acknowledge receipt via
email or phone. It is advisable to track your package to ensure its safe delivery.

have any questions or require further assistance regarding the mail-in procedures.

III. INSURANCE.

A. The GALLERY shall be responsible for insuring Artwork during the time it is at the exhibition
location.

B. The Artwork is insured while on display, but not during transportation or shipping to the
GALLERY.

C. The GALLERY insurance should provide coverage against any risk or loss to Artwork including
fire, theft, and accidental damage while the Artwork is at the GALLERY.

D. The ARTIST needs to provide the GALLERY with the completed Inventory in the Artwork
Submission Form (Appendix A) by September 5th , 2023 in order for the GALLERY to secure the
insurance for the works.

IV. SALE OF ARTWORK. The ARTIST will determine which works exhibited will be for sale. The ARTIST
will be responsible for pricing the Artwork exhibited. The sales of the Artwork made during the
EXHIBITION will be the responsibility of The African American Atelier Gallery. The following
commission/payment terms will apply to each artwork sold by the GALLERY: 10% (commission to
GALLERY), 90% (payment to ARTIST).

V. REPRODUCTION. The ARTIST reserves all rights to the reproduction of the Artwork except as noted
in writing to the contrary. CASA AZUL and the GALLERY may have the Artwork photographed to
publicize and promote the Artwork through means to be agreed to in writing by both parties. All
rights to reproduction of the work(s) of art identified herein are retained by the ARTIST.

VI. COPYRIGHT. The ARTIST warrants that she/he owns the Artwork listed in Appendix A, that the
Artwork is an original Artwork, or print as stated, created by the ARTIST, fixed in a tangible form, and
the ARTIST reserves all right, title and interest in and to the copyright available to the ARTIST for the
Artwork. The ARTIST retains ownership and copyright of all work shown at the exhibit. CASA AZUL
and the GALLERY shall take all reasonable steps to assure that the ARTIST’s copyright for the
Artwork is protected. CASA AZUL and the GALLERY can use the images only for non-commercial
purposes: advertisement for the exhibit and the organization.

VII. MISCELLANEOUS. This Agreement constitutes the entire Agreement between the Parties, and shall
be binding upon both Parties. All modifications, deletions or additions to this agreement must be in
writing and signed by both parties and attached to this document.

VIII. GOVERNING LAW. This Agreement shall be governed by and in accordance with the laws of the
State of North Carolina of the United States of America.
