AGENDA: Reading of the last minute: MM No. 2023-11- 007 and Medical Equipment
Update / Status on their payments

1. Reading and Voting of the last minute of the meeting MM No. 2023-11-007 dated
November 28, 2023, and unanimously adopted with majority vote as part of the official
and regular document of HFEP.
2. Handling down of documents or projects and accomplishments should be made by the
main principal of the project.
3. Progress in the FICT Reporting: will get data in the Planning and Engr. Vic will just
have to supplement it if necessary.
4. Lapses on the HFEP Equipment Update / Payment Status: There are several reasons for
the delay or non-payment of the medical equipment, including the possibility that the
documents were stuck in HFEP and prevented it from moving, which contributed to the
delay.
5. Transmittal of the Documents of Medical Equipment to HFEP: Letter of request from the
supplier to the Supply Office (Ma’am Summer who will prepare PTR and AR) from
Supply (forwarding paper or documents such as the IAR, original DR, training certificate
to HFEP (Paul Forto who will input the data online for HFEP office records) and from Sir
Paul to Sir Wilbert Cureg who is a representative of the inspectorate team – the team will
coordinate to the members of the inspection team like Ma’am Elvi, Sir Mike, and Sir
Fred.
6. A template as an official letter containing the schedule for immediate inspection shall be
addressed to the committee headed by Engr. Victorino Maningas as the Committee
Chair/ Head. This is to avoid the pending of inspection of medical equipment and
compelling the inspectorate to schedule immediately the inspection upon the receipt of
the papers. The letters are addressed to the inspectorate accordingly. The letters
7. After inspection the paper/ documents will be given back to the supply which ends the
participation of the HFEP.
8. In the event that the medical equipment delivered is lacking 1 or two equipment, but the
majority equipment has been delivered then payment of the said medical equipment
should proceed and the remaining undelivered medical equipment shall be deducted.
9. Important Note: All the members should acknowledge the date of inspection 3 days prior
to the day of the said inspection.
10. Sir Arman should be responsible to any pertinent documents/ papers of the medical
equipment that has been submitted in our office should not be directed to the staffs rather
to Sir Arman who will receive the document for Stricker control of the documents for
transparency purpose. This is to mitigate the situations like losing documents or papers.
11. Engr. Fidel and Ma’am Evelyn is the official team leader and new member of the medical
equipment team respectively.
