SEEC 2024 PRESENTER Information

Thank you for playing an essential role in the Space Exploration Educators Conference! The crew at
Space Center Houston appreciates all your hard work and dedication.

This year will be an exciting year with all sessions being hybrid and viewed both in-person and virtual.
Sessions will also be recorded, and all attendees can view them on-demand for the rest of the year.

Enclosed you will find information about presenting a session at SEEC. We hope this information answers
all your questions, so please read it thoroughly. If you need any additional assistance, please do not
hesitate to send an e-mail to SEEC@spacecenter.org. Most importantly, remember to have a wonderful

Registration
All presenters must register for the conference. Grenadine does not let us match you to your session
until you have registered for the conference.

Registration is currently open on the Grenadine platform SEEC 24 Website

Presentation Materials
We know you have worked hard to gather, print, and prepare your presentation materials. When you are
not presenting, you are more than welcome to place these items in the designated presenter storage
area at Space Center Houston. This area will be announced closer to the conference date. Storage at the
Conference Help Table will not be permitted as space is limited.

You can also ship your presentation materials to Space Center Houston prior to the conference. Please
send materials with the expected arrival date no earlier than January 23rd and no later than February 3rd.

Please make sure the package is labeled with the following information:
• Your name
• Session date and location

• Session title

Materials will be stored at Space Center Houston and will be available for you during the conference.
Upon arrival, you can go to the help table, and someone will help you retrieve your packages.

Presenters are responsible for any return shipping of materials. Space Center Houston will not be
responsible for shipping any items. If you are arranging for materials to be picked up from Space Center
Houston, you must call the carrier for pick-up. All boxes must be picked up no later than 5 PM on
Tuesday, February 14th.

Uploading your Session Material


We will be using SharePoint as the location to upload all your materials for SEEC 2024.
Upload all materials for your session.
• Click on this link SEEC 2024 Presenter Files
• Three folders will be listed for each day of SEEC (Thurs., Feb. 8th – Sat., Feb. 10th).
• Click on the date you are presenting, and you will see each session during that day.
• Click on the session time and then the folder with your session name.
• Upload your materials to that folder.
• In your session folder, you can either drag or drop files, click on “NEW” and then “File Upload” or
right click and “Upload Files.”
• We ask that any documents and other digital materials be uploaded to the SEEC SharePoint no
later than January 26, 2024. This will allow our virtual attendees time to collect any supplies
needed so that they can fully participate in the sessions.
• You may also upload any PPT or presentations you want loaded to the computer in your session
location. Our fabulous IT department will load it onto the computer for you prior to SEEC. If you do
not wish to have your presentation PPT or other presentation available to all attendees, we can
provide a separate drive for you to upload it to.

Checking In
• Early bird check in is on Feb 7th from 1 – 5 PM.
• February 8th before 9 AM go straight to the presenter check-in area to pick up your badge and
SEEC presenter packet.
• After 9 AM you will check in at the Help Table.
• At the help table you may ask any questions you may have about your session location or material
you may have shipped.
• Locate your presentation room.

Session Information

• Sessions will take place in several locations within Space Center Houston as well as the Jadav
Learning and Innovation center also known as the LINC. We will also be hosting some of the
sessions at an off-site location.
o If your session takes place offsite, your session will be 60 min. in length. This allows for
travel to and from the session from Space Center Houston.
o Presenters can drive and park at the off-site location, or we can provide you with
transportation in one of our Space Center Houston vans.
• Every room will contain the following:
o Screen with projector or media cart (If you will be using a MAC computer, you will
need to supply a MAC adapter for the LCD projector.)
o Wi-Fi connection
o Tables and chairs
• Please remember to bring all power cords, surge protectors, and extension cords for
your presentation requirements.

If you have any other needs that were not listed in your proposal, please send additional requests to
SEEC@spacecenter.org. Additional requests should be submitted by Jan 20th.

Session Set Up
• There are 30 minutes allotted between sessions. You will have 15 minutes before your session
begins to set up and the same amount of time to clean up afterwards.
• Please be courteous. Remember that someone else will be using the room for a presentation when
you are finished. Please tidy up after your session, throw away garbage, recycle materials, and
place tables and chairs in their original locations.
• Attendees want to get the most out of their SEEC experience. Sessions should begin and end on
time.

Session Facilitators
SEEC is fortunate enough to have fantastic crew and volunteers ready to assist. One of these crew
members will be assigned to your presentation location. They will take care of the following:
• Checking the attendees into the session
• Keeping track of the time and letting you know when you are 15 min, 10 min, and 5 min from
session end time, assisting you as needed.
• Since the sessions are all hybrid, there will be a staff member monitoring and operating the virtual
tech for the room, as well as monitoring the virtual Q&A during the session. Do not hesitate to ask
them for assistance during the session. They are there to help.

Suggestions From Veteran Presenters...
As presenters, you are the stars of the conference, and we know you want your session to be the quality
we have come to know at SEEC! Here are a few tips from the presenters who have “been there, done
that.”
• Collaborative projects enable teachers to connect their classrooms long after SEEC is over.
• Please provide specific information regarding web resources (addresses are best) or printed
materials (including the ISDN).
• Upload relevant session material to SharePoint for attendees to access after SEEC.
• Make sure you provide your e-mail address for future contact. Bring your business cards.
• Teachers appreciate activities that they can take back to their classroom and implement
immediately.
• Since the session is hybrid, remember to include your virtual viewers while presenting.

General information
• During the conference questions can be answered at the help desk or by your session facilitator.
• Stay connected with our Facebook group. Updates will be posted throughout the conference.
SEEC Facebook group
• As a presenter for SEEC you are invited to attend the SEEC banquet.
o Date and Time: Friday, February 9th from 6:30-11:00 PM.
o The event will include dinner and dancing with a live band.
o The dress for the event is Business Casual to Semi Formal. The theme for the event is
“Saved by the Bell” 90’s style.
 If attending the banquet, please sign up for it on the Grenadine schedule so that we
know how many guests to expect.
 If you would like to bring a guest, tickets can be purchased on the Grenadine site.
Guest must be at least 18 years old.

After the Conference


• View the SEEC sessions you missed or would like to see on-demand on the Grenadine site.
• Save the Date! Mark your calendar for SEEC 2025 February 6-8, 2025.
• We will send a call for proposal e-mail out to everyone that has presented at the 2024 conference
inviting you to present, again, for 2025.
