General Information
1.1 Purpose of the RFP
The purpose of the Request for Proposal (RFP) is to establish the functional, operational, and
technical requirements for the procurement of a workforce management system that best meets
XYZ’s requirements.
1.2 RFP Communications

1.4 RFP Preparation
The prospective vendors will absorb all costs incurred in the preparation and presentation of an
RFP. If modifications or additions to the RFP become necessary, prospective vendors will be
notified in writing. All supporting materials submitted with the proposal will become the
property of Tire Tutor unless otherwise requested by the prospective vendors at the time of
submission.
1.5 Vendor Responses
Prospective vendors are required to submit copies of their proposals. Send all copies to Jeremy
Aubin no later than [ ]. All supporting materials and documentation must be included in the
proposal.
1.6 Effective Dates of Pricing
Prospective vendors should state in writing that all furnished information, including pricing, will
remain valid and applicable for a minimum of [ ] days from the date their proposal is received
by Tire Tutor.
1.7 Vendor Site Visits

Tire Tutor reserves the right to inspect all vendor facilities, which will be used to support the
proposed workforce management solution. This includes the facilities of any contractor or
outside support organization that will be used.

Prospective vendor proposals will be evaluated using the following general criteria:

1.9 Right to Reject
Tire Tutor reserves the right to accept or reject any and/or all submitted proposals and request
additional information from all prospective vendors. Tire Tutor specifically reserves the right to
negotiate a contract with the selected vendor(s). The vendor’s response to this RFP will be
included in whole or by reference in the final contract. At the discretion of Tire Tutor, a third-
party financial institution or consulting team could be included in contract negotiations. Any
contract that is eventually awarded will be made to the organization which, based on the
evaluation of all responses, applying all criteria and oral interviews (if required), is determined to
be the best qualified to provide the requested solution and support.
1.10 Marketing References
Prospective vendors may not make any reference to the project in any literature, promotional
material, brochures, or sales presentations, or make any other commercial use of Tire Tutor’s
name and/or this RFP, without the express written consent of Tire Tutor. However, Tire Tutor
will offer itself as a reference account to the selected vendor(s).
2 Vendor Guidelines
2.1 RFP Response Format
Prospective vendors should make every attempt to use terminology in their proposal that is
consistent with that of Tire Tutor and this RFP. Comparable terminology may be substituted,
where appropriate if the prospective vendor provides clear and concise definitions. Prospective
vendor proposals should address the requirements outlined in this RFP as directly and concisely
as possible. Extraneous information with no apparent connection to Tire Tutor and this RFP
could detract from the proposal scoring.
2.2 Exceptions to the RFP
Prospective vendors may find instances where their operations do not function in a manner
consistent with the specifications in the RFP. In such cases, it is permissible to take exception to
portions of the RFP. The exceptions should be clearly identified. If necessary, attach an

additional page describing the scope of the exceptions, any additional costs, and a summary of
any advantages these exceptions represent to Tire Tutor.
2.3 Confidentiality
This RFP and all materials submitted by Tire Tutor must be considered confidential. Tire Tutor
requests that this RFP not be copied and not forwarded to any third party for evaluation or for
any other purpose without Tire Tutor’s express written consent. All prospective vendor
personnel should note that they are under a signed, mutual confidentiality agreement.

Define each product offered by your organization and provide a brief description of its role in
your total solution. Vendors may include screen examples and/or diagrams in this section.

Tire Tutor

Project Goal: Implement new business software for Tire Tutor


Objective: All the millstones that must be achieved to reach the end goal
Success Criteria: The development team needs to communicate with the project stakeholders and agree
upon success criteria
Scope Assessment: here is what the development teams will document all the work needed to develop
new business software

Design
Tire Tutor has narrowed down the selection of Business intelligence software using weighted factors
such as cost and scalability among many other important requirements. It is time to begin the design
process analyzing gaps between the product and critical business needs. The process will cover the most
important aspects immediately and defer to other lesser requirements at a later stage. Two teams,
being the vendor implementation team and a technical team from Tire Tutor will work out what is
needed to proceed into the next phase.

Development
Tire Tutor should begin to replace and integrate the new system based on the system integration
requirements for the new business Intelligence software. Tire Tutor should plan for this in advance and
be ready to dedicate the resources necessary to properly integrate the new product within their
business so as not to disrupt the work environment. Keeping a database of changes to the system can
help manage real-time updates and provide smoother integration. Communication should be upheld
during this process with the vendor to help close gaps properly with the product.

Testing

• Meet with Jeremy. Implement the connections of information to make sure it is there.

OPERATIONS WRITE UP

Fixes & Enhancements

Tiretutor should communicate with the vendor about support for any software issues and how to
contact support about any serious problems. Also, working out a reasonable support window that
allows their business to be undisrupted. The gaps between the vendor and Tire Tutor should be
mostly solved by this stage and the lesser requirements can be addressed. The Tire Tutor support
team should begin taking over for the vendor and oversee continuing support.

Support

Tire Tutor and the vendor should work out a communication method for serious high-end
problems with the implemented business solution. However, common problems such as features,
and tech should be manageable by the Tire Tutor support team. The escalation process for
problem-solving should be covered early and in detail before the vendor does the handoff to the
company to manage. Tiretutor should create a team to oversee various levels of issues and train
employees to know when necessary to contact the vendor.

Business intelligence software: “Overall criteria….multiple users being able to work on a similar
model. Connections in this software offers (ex. Sigma only offers four connections). A fair about
of connections that our versatile and will allow us to import data. Good variety of connections.
Builds a standard across the board. Critical one…being able to geo-map data (ex. Maps need to
be more in-depth)
Biggest problem: Access to data. Need to connect to several types of data. Can only do so much
with their current software. Can only do so much in their multi-collaboration. Needs to work
with scalability (how much data can they include)

The most important part is the combination of the two. The software can model a lot of data
(large map, growth modeling, and being able to effectively model a large set of data).
Budget: Best value for your money...not trying to spend $30,000 a year.
How will this help the business? Would employees prefer this?
“Consumers will not see this. Completely internal. Employees will have a huge benefit from
this”
**Tire pricing fluctuates by about 5% each month or so. This year it has been fluctuating 20% in
a positive direction. Since covid, the company has grown a lot

1. Reviewed RFP document with Jeremy. Said everything looks good but Tire Tutor
would not be looking for initial costs. He also said to send a copy to him, and he will
write some comments on the document.

2. Reviewed Risk Matix document with Jeremy. Jeremy said the document looks
comprehensive.

3. Reviewed the Decision Matrix template with Jeremy. He said we made


satisfactory progress from last week to this week.

Call to order
A meeting of Group 1 was held at Zoom on 11/15/2022. Attendees included [Angel, Enrique,
and Tre’Von. Members not in attendance included [list names].

Approval of minutes
1. Status update (progress we made since our last meeting)
2. Something is wrong with Tire Tutor’s software. Everything would go through
Jeremy. Anything above Jeremy would go to the software company
3. Testing / Deployment --- First thing, the Tire tutor will test the database
connection, then test the implementation of the software…make sure all information
is there. Tire Tutor does not have a specific guideline on testing software.
4. Closeout report – How to take over for the vendor? How would that shift over?
Jeremy will take over and contact software customer support if anything happens.
Does Tire Tutor have a checklist or specific information regarding close out? Tire
Tutor does not have a specific checklist. They look back at goals and lean on the
software…reasons why they bought the software.
5. Group presentation – Dec. 5th @9:30 AM … Jeremy is looking forward to it
6. Tire Tutor images --- Jeremy said to use the full Tire Tutor image but make a
change to it. Save the image directly on the website since it has the copyright on it
