PART 1: INTRODUCTION
Time management is the ability to effectively arrange and allocate our time for
specific activities, in order to achieve desired results and enhance productivity. It
plays a crucial role in personal and professional goal attainment, helping us
consider how we utilize time and prioritize important tasks.

Elon Musk and Bill Gates are exemplary figures in effective time management.
Musk, CEO of Tesla and SpaceX, divides his day into 5-minute time blocks,
allowing him to allocate specific time slots for tasks and meetings. This strategy
helps him stay focused and avoid wasting time. On the other hand, Gates, co-
founder of Microsoft, follows a disciplined approach to time management. He
dedicates a substantial portion of his day to reading and learning, constantly
acquiring knowledge and gaining valuable insights that he applies to his work and
decision-making processes.

The reality is that time management is paramount. It helps us make the most of each
day, reduce stress, and achieve a work-life balance. An important aspect of time
management is prioritizing important tasks and allocating the best time for them.
Without careful time management, we can easily become overwhelmed, leading to
imbalance and an inability to achieve the desired success.

Therefore, time management is a critical and necessary factor in achieving success.


If we know how to utilize time effectively and prioritize important tasks, we can
attain better results and have a more balanced and successful life.

To clarify this issue, we would like to mention three issues: Advantages of time
management; Situation of time management nowadays; Some ways to improve time
management skills

PART 2: BODY
A. The advantages of time management
- Better work – life balance:
We all have the same amount of time in a day, but why people need more
than that? “If I had a wish, I would wish for 25 hours a day so that I could
finish all my tasks and have time for myself”. Perhaps this is nearly the
most common sayings of a majority of individuals nowadays.
However, when the time goes up to 25 hours a day, whether their works
are completed or not?

So how to achieve a work-life balance? Time management is key

Managing time properly helps you to rearrange schedule so that you can
define when totally focusing on your work and when spending breaktime.
By relaxing your mind, having a cognitive restructuring, you are able to
change your negative thinking patterns, or even have a new idea for your
job. However busy you are, after a hard - working week with task
finished, taking off an extra week vacation will be the efficient way for
you to relieve stress. That is how time management improves the work -
life balance.

- Less distraction:
Time management can help people become less distracted because it
creates a grounded and organized configuration in their lives and work.

Learning how to effectively manage your time can improve your focus
while working. Setting aside a specific amount of time to assign tasks will
help you avoid piling on too much work at once because each task has its

own time. Time management also allows you to schedule daily tasks in an
environment where you can perform efficiently and stay focused. For
example, you can answer emails in a quiet room at home or perform
highly focused tasks in a low-traffic area of your office.

Time management skills initially help you reduce stress and then help you
stay focused on your goals and tasks.

- Career opportunities:
Time management can create greater career opportunities because it helps
you optimize the organization and use of your time. Here are some
reasons why time management can play an important role in building a
successful career:

Increase work efficiency: When you know how to manage your time, you
can work in a more effective way. This can help you complete more tasks
in a short period of time, increase work efficiency and score points in the
eyes of your superiors.

Work coordination: Time management helps you coordinate work


effectively. You can determine the time needed for each project or task,
thereby ensuring that no work is missed or postponed.

Create time for personal development: When you manage your time, you
can make time for learning and personal development. This may include
taking part in a course, reading books, or developing new skills, all of
which can help you increase your qualifications and value in your career.

Create opportunities to expand relationships: Good time management can
create time to build and maintain social and professional relationships.
Networking can help you expand your network of contacts and gain
access to important people in your field.

Create personal projects and start a business: If you have personal time,
you can use it to pursue personal projects or start a business. This can
create business and financial opportunities that you wouldn't have if you
didn't manage your time effectively.

Build confidence: As you manage your time and achieve your goals, you
will become more confident about your abilities and skills. This can help
you feel more confident at work and when facing new career
opportunities.

B. Situation of time management nowadays


There is a saying “ Time is what we want most, but what we use worst”.
Most people are not managing their use of time wisely. Time is too complex
to be understood by our society. There is no scientific explanation for time.

My experience is with people that they use most of their time to surf the
Internet, watch Youtube, gossip, eat or even look for their love, etc. Are they
wasting their time? Figures will be a proof.

Most people, around 82%, don't have a good time management system and
rely on lists or their email inbox. Only 18% of people have a proper time
management system.

On average, People spend 3 hours and 15 minutes each day (which equals
49.4 days per year) on our phones. About 21% of our daily time is spent on
entertainment, news, and social media.

We spend too much time on unimportant activities. Instead, we can do many


useful things like learning a new sport, studying a foreign language, building
new relationships, and reading books. etc….

- Causes of Time Wasting:


Lack of Clear Goals: If you don't have specific goals and don't know how to
prioritize tasks, it can lead to time wastage.

Technology Distractions: Smartphones, social media, and online


entertainment can easily distract us and result in time wasted.

Interruptions: Interruptions often occur at work, whether from colleagues or


digital notifications, causing disruptions and time wastage. Nearly half of
American employees believe that meetings are a major cause of time wastage
in the workplace.

Procrastination: Procrastination is frequently due to fear of failure, lack of


motivation, or difficulty starting tasks, so it makes you spend a lot of time on
unimportant activities.

Lack of Self-Discipline: Discipline is what you set for yourself to stay on
track and develop yourself to achieve the goals and plans you've set. But it’s
hard to maintain self-discipline and resist temptations, especially when
working on tasks that require continuous effort.

C. Some ways to improve time management skills


- Break down the goals:
Have you ever set a big goal for yourself to get completed in 4 years but
do not seem to be making any progress? Rather than getting started on
these goals right away, most of us wait until we feel the pressure to get
them done.

In order to keep from procrastinating till it is too late, split up your goals
into smaller tasks and give them each a new deadline. Make sure the goals
you set are Specific, Measurable, Attainable, Relevant, and Timely.

For example, my intention is to study abroad in 4 years. Those following


targets will be, search for a country which is more suitable for my budget,
personality, and convenient to get scholarship. Then, the first year after I
finish my bachelor program, I prefer to work in the business to get
experience for 2,5 years. With the rest of 1,5 years, I will spend time on
my beloved people, renew my appearance and get ready for a new
journey.

On the whole, if you break down the goals, it is easier for you to manage
time effectively

- Concentration
+ What is concentration?
Concentration refers to the mental ability to focus one's attention,
thoughts, and efforts on a specific task, object, or goal while excluding or
minimizing distractions. It involves the ability to direct your cognitive
resources and mental energy toward a particular activity or thought, often
to the exclusion of other activities or thoughts.
+ The application of concentration in time management
• Khánh Vy's Achievements
At the age of 24, Khánh Vy, a bilingual MC, renowned content creator,
and KOL, has achieved remarkable success in her career. Let's take a
closer look at her achievements and the crucial role of concentration in her
journey.

Khánh Vy's journey includes the following noteworthy accomplishments:


• She achieved the Third Prize in the National Excellent Student
Competition in English, gaining direct admission to four
universities.
• With a score of 28.13 on the university entrance exam, she chose to
pursue her studies at the Diplomatic Academy of Vietnam in 2016.
• She received a nomination for the VTV Awards 2016 in the
category of Impressive Personality of the Year.
• In 2017, she took on the role of hosting three shows on VTV7,
including 'Ielts on the go,' 'Follow us,' and 'Crack Em Up.'
• Applying Concentration to Improve Time Management

Concentration isn't just a key factor in time management; it's a powerful


tool for enhancing productivity. Let's delve deeper into how Khánh Vy

applied concentration to improve her time management skills, and explore
practical tips that can benefit anyone in their daily life.

For instance, as someone who spends a significant amount of time in front


of the computer for her content creation job, Khánh Vy acknowledges the
potential for distractions. Here are some tips she found useful:

• Touch Typing: Practicing touch typing can enhance mindfulness.


Dedicate at least 5 minutes to touch typing without interruptions or
corrections. Consistent focus can significantly boost productivity.

• Pomodoro Technique: Break your work into focused intervals using


the Pomodoro technique. Work for a set period and then take a
short break. This method can improve concentration and overall
productivity.

• Write Down Distractions: When distracted by your phone,


notifications, or social media, jot down those distractions on paper.
Gradually, you'll regain your focus.

=> Taking on 3 jobs at the same time, she needs to divide her time into
which job is more necessary and how long it takes to complete that job.
Ensuring your work is on schedule helps you control your time during the
day. The focus factor helps you work effectively within the set time so as
not to affect other tasks.

Generally, Khánh Vy's inspiring journey underscores the significance of


concentration in time management. By mastering the art of focus, she has

achieved remarkable success in her career. As we navigate our own paths,
let us recognize the crucial role that concentration plays in maximizing
our productivity and accomplishments in the same 24 hours we all have at
our disposal.

- Give yourself breaks


Our lives are always busy and hectic, but we also need to make time for
ourselves to rest. Let's pause and set aside all worries and thoughts that
occupy our minds so that we can truly relax. Stop worrying about
everything; even machines take a break, let alone us humans. Managing
personal downtime is a crucial part of effective time management. When
we allocate time for self-care, it not only enhances our body's resilience
but also improves our mental well-being. Taking time to relax helps
reduce stress, fosters a conducive environment for creativity, and
enhances work productivity. Moreover, it allows us to seek balance in our
lives and guides us in prioritizing personal health and happiness.
Some effective ways to manage personal downtime include planning
ahead to make time for favorite recreational activities, exercising, and
even relaxing without doing anything. We should remember that
downtime doesn't always have to be entirely "productive"; it's also a time
to recharge and enjoy life. With careful time management of our leisure
time, we can create favorable conditions to maintain balance and enhance
productivity in our daily lives.
Even though we are aware of the countless things we must worry about,
from work to basic necessities like food, clothing, and shelter, to the
complexities of family matters and intricate relationships, if we constantly
dwell on these concerns, how can we find the spirit to move forward in the
days ahead.

PART 3: CONCLUSION
We just heard some advice about how we can do well in time management. So, to
do good time management like we just discussed, here are some small tips that we
can do to start an efficient day. Firstly, early morning is always better than night
owl. Don't waste your morning schedule. Being affected by psychological, you
will find the day longer when you have a morning routine. The brain has the most
effective time in 2- 3 hours after you wake up. Scientists prove that the golden
hour for working in the morning is from 8 am to 11 am and we need to have
break time to get the highest productivity. When you wake up, You can try to
smell hot tea, meditate, and listen to jazz music,... whatever makes you
comfortable and sober. It's very important because if you are not awake enough,
you will easily be distracted and tired. And remember, a good sleep at night is a
wonderful therapy. It helps recover your energy and boost your resistance. You
should go to bed before 11 pm and restrict the use of digital equipment like
smartphones, computers,... You can read books or write a diary instead. My mom
always said to me "No matter how hard life can get, go to bed grateful for all you
have". We also know that in real life we have to solve many different problems,
different missions different situations in school, workplaces, relationships ,...
Sometimes something out of our control accidentally happens. Sadness,
happiness, success, failure... is a peace of life. We need to know what is a priority
and do it first. Anyway, I believe you can practice good time management skills if
you are serious about it. Don't be rushed, don't be mechanical, practice it day by
day. Believe you can do it. No pain no gain. Last but not least, I want you to keep
in mind that life always goes on, and everything will be okay. Thank you!
