Gardenia Bakeries is a company founded in Singapore in 1978.[1. READ BULLET 1]
[2. READ FOLLOWING SENTENCE]: It started as an in-store bakery and became the first
commercial bakery at Pandan Loop, Singapore. Eventually, Gardenia expanded its operations in
various Asian countries such as Thailand, Malaysia, and the Philippines. Gardenia Bakeries
entered the Philippines and started its operations in 1997 at Binan, Laguna.[3. READ BULLET 2
AND 3] [4. READ FOLLOWING SENTENCE]:Their factory was rated as one of the largest and
most modern bread manufacturing facilities in the country. Moreover, the company ensures that
they only deliver fresh bread to consumers every day as they follow an international policy
where only fresh stocks of bread are being stored in different stores. Thus, their products are
shipped out of the factory as early as 4 a.m. each day. At present, Gardenia offers various
products from different kinds of bread to snacks and spreads and has established a rapid growth
of sales.
[5. READ FOLLOWING SENTENCE]:The group interviewed Ms. Pamela Theresa V.
Dimayuga. She is the Vice President and Financial Controller of Gardenia Bakeries Philippines.
Through the interview, we have gathered information on how the company plans, organizes,
leads, motivates, and controls their day-to-day activities.

Planning
Gardenia Bakeries envisions themselves to be the premier company in the baking and
food industry that provides the best quality products by providing assorted food products that are
of the best quality and within reach to the consumers. Gardenia uses their vision and mission as a
guide in setting the goals of the company and in order for them to know the most effective course
of action to take.[1. READ BULLET 1] Before setting long-term goals, the company conducts a
SWOT analysis and a strategic analysis on the social, economic, political, and environmental
factors that affect the goal of the company. With that, the long-term goals and plans are then
formulated. As for their short-term goals, the long-term goal is broken down into milestones,
which also acts as their short-term goals. [3. READ BULLET 2 AND 3] [4. READ
FOLLOWING SENTENCE]:These goals also serve as performance indicators for the company.
Monthly operational plans are based on the company’s monthly budget and target sales as well
as the department goals such as manufacturing, distribution, marketing, etc.
In the situation where the company achieves beyond their goals, Ms. Dimayuga said that
the company must plan and manage for unexpected success. Since the company achieved more
than what is expected, there may be more operations that need to be handled and may add more
workload to what has already been planned. She mentioned that a support system is needed in
order to accommodate several activities.
The company also practices a multistream style of management because their key
employees are involved in strategically planning their business operations. They contribute by
providing detailed and critical inputs that are needed in formulating the company’s strategic
plans in relation to the business operations.

Organizing
[1. READ FOLLOWING SENTENCE]:Gardenia Bakeries makes use of a functional
organizational chart where the company is headed by a President followed by Vice Presidents for
each organizational function, which are VP for Finance, VP for Sales Marketing, VP for
Manufacturing, and VP for Administration. [2. READ BULLET]This organizational hierarchy
shows that there is one overall boss who oversees the company as a whole, followed by the heads
of each department and smaller units under each department, thus having clarity on where the
authority and responsibility is. This type of organizational structure increases the efficiency in
the company as it makes the streamline of communications and decision making more
convenient.
Given the organizational chart, Gardenia Bakeries was able to manifest a well-organized
delegation of tasks. Before assigning tasks to the employees, the managers ensure that all
employees are well-equipped with the appropriate knowledge, skills, and amount of training in
relation to their assigned tasks. [3. READ FOLLOWING SENTENCE]:This training helps
managers assign tasks and duties to the right people. Employees who are not well-trained are
given time to have additional training to ensure their competence in their assigned tasks with
minimal supervision. By allowing the employees to work on their own without too much
supervision shows how the company’s practices are efficient and effective because managers
will be able to focus on their other tasks instead of focusing on the small details that can be done
by the employees. [4. READ BULLET 2]
Organizing also includes the allocation of resources. Gardenia Bakeries creates an annual
budget for each department based on the long-term and short-term goals that were set. [5. READ
FOLLOWING SENTENCE]:The departments then identify the other resources that they need to
achieve their goals, such as human resources, operating expenses, etc. Above that, the company
has also maximized their resources by making use of the Oracle financial system that provides an
accounting software that could manage the finances of the company. Furthermore, the company
also has a management information system that gives an overall view of the company and acts as
a communication and planning tool. These systems allow the work to be done in a lesser amount
of time, making it more efficient.

Leading/Motivating
Leading and Motivating each employee is very important for the success of the company.
Gardenia motivates their workers by providing incentives among members, [1. READ BULLET
1] [2. READ FOLLOWING SENTENCE]:through this the employees will be motivated to do
better in their work so that they will be given more incentives or will be given a higher position
in the company. They also have weekly meetings/assembly to monitor their target sales. Having
a good relationship with co-workers is crucial because teamwork is essential for the company to
reach its goals. The manager must set a good example to his or her co-workers because this will
give them the vision that they need to strive for more. The manager must be in touch with his or
her co-workers at all times so that the manager can be able to monitor their work and make
corrections to minimize errors. The manager must give proper amounts of workload because[3.
READ BULLET 2] [4. READ FOLLOWING SENTENCE]:if the worker is overloaded with
tasks, this can result in low-quality performance and output. Lastly, there must be a monthly
evaluation among all employees [5. READ BULLET 3] [6. READ FOLLOWING
SENTENCE]:so that the manager can track their performance, strengths, and weaknesses so that
they can improve themselves.

Controlling
Gardenia’s customer service handles problems such as consumer complaints, while
professional conflicts are handled through discussion. [1. READ BULLET 1] [2. READ
FOLLOWING SENTENCE]: In situations like these, Gardenia makes sure that a common goal
is emphasized where a way to move forward is established.
For any failure, Gardenia sees it as a learning experience. [3. READ BULLET 2] [4.
READ FOLLOWING SENTENCE]:They evaluate what went wrong and why it did. After they
do so, they assess what they can do better in the future to avoid a similar failure. The company is
also aware of the challenges they may face in the future and are currently facing and are already
addressing it.
With this said, Gardenia’s way of controlling order within the company are handled by
people in a position to do so. Gardenia establishes performance indicators such as milestones and
monitors performance to make sure they meet set standards. [5. READ BULLET 3] [6. READ
FOLLOWING SENTENCE]:After performance is evaluated, and there is a problem
encountered, they promptly fix is through assessing the situation and arriving at a common goal
to move forward. The company responds accordingly to the solution they have come up with to
ensure a bad situation does not happen again.

Recommendations and Conclusion

In the planning aspect of the company, the business should strengthen their human
resources [1. READ BULLET 1] [2. READ FOLLOWING SENTENCE]: this can be done by
enhancing their training program and finding new ways and activities to train the people. There
are still occurring circumstances where there are employees who have been assigned tasks but
are not yet well-trained. Furthermore, when there are employees who need more training, the
company must be prepared with a backup plan to fulfil the tasks the previous employees have
left behind for the meantime. With regards to leading and motivating, the group suggests that the
focus should not only be centered towards incentives but [3. READ BULLET 2] [4. READ
FOLLOWING SENTENCE]:they should also focus in organizing more seminars and workshops
in order to improve the skills and morale of workers. Additionally, even though having minimal
supervision could increase the individual productivity of the managers, it is still necessary for
them to allocate more time to supervise the employees in order to effectively manage the
operations and to avoid problems that may come to the business.
Gardenia generally has excellent management practices and that is what helped them
become the giant corporation it is today. However, there is always room for improvement which
is stated in the recommendations section of the paper.
