Guidelines for Disposal of expired medical material from Lloyd pharmacy Medicine chests

(Recommendation, if no other guidelines from authorities applies)

The following guidelines are meant to be of help to the seaman. They are generally accepted
procedures that, up till now, have proved to be practical. Regulations set up by shipping companies
and/or national regulations for specific trading areas are not affected.

During each visit by a Lloyd pharmacy representative, expired medicines, bandaging-materials and
additional materials such as syringes and needles, can be taken from board for professional disposal
by Lloyd pharmacy. Any disposal of controlled substances is documented in the drug register.

In case the officer takes care of removal/disposal, he should distinguish between


a) “Normal medicines” and b) “Controlled substances”.

a) “Normal medicines”
Smaller quantities can be mixed with everyday garbage when each individual tablet is pressed out
of its blister pack. Smaller quantities (up to ca. 20 packages) can also be burnt in incinerators.
This applies to tablets, capsules, syrups and infusion solutions but not to disinfectants. (Ampoules
can be destroyed e. g. by scrunching – wrap in plastic before!)

Please avoid collection and consequently accumulation of expired medical material.

b) “Controlled substances”
Not all countries have the same list of so-called “Controlled substances”. Especially certain
West African countries have ever-changing, extensive lists.

Lloyd pharmacy tries to have the latest lists available but due to changes at irregular intervals, this is
not always possible. That is why we advise to obtain information from West African agents in order to
adjust possible new lists to the Lloyd pharmacy list.

In any case, all substances listed must be kept under lock and key and both stock and each addition
and removal must be documented, either by keeping a drug-register or by own documentation.
Important: “removal” not only refers to a handing out to crew-members in case of illness but also to a
removal based on expiry dates!

In civilized ports, disposal should take place by handing over documentation and substances to port
doctor / Port Authorities (In case of yearly checkings by Lloyd pharmacy, this is handled by us, see
above).

In case disposal was not possible in a port, it can also be done at sea in a way as described under a.,
considering in this case a kind of “Record of disposal of controlled substances” must be drawn up (see
forms attached) which must bear three signatures (person responsible plus two witnesses = Master
plus 1st and 2nd Officers). This record must then be attached to the drug register and the new stock
(after disposal) must be documented.

Important: please only draw up a record of disposal when the substance in question was documented
as part of the medical equipment!

(Acc. to § 16 p. 1 BtMG, the possessor of expired controlled substances must
