Conference Policy
1. All delegates must attend 6 out of 8 committee sessions to
be eligible for a participation certificate and delegates must
attend all committee sessions to be eligible for an award.

2. Only delegates that attend all committee sessions shall be


granted ODs for the instructional working days in the general
semester (applicable to VITC students alone) from 8 AM to 5:30
PM.

3. The mode of communication in the committee shall be


English unless stated otherwise by the Executive Board.

4. All delegates are expected to maintain decorum in and


around the college campus. Any deviation from the same will
lead to expulsion from the committee and be reported to the
Student Welfare Council (SWC) of VIT Chennai.

5. Dress code for the conference will be as follows;


Day 1- Western formal
Day 2 - Indian formal
Day 3- Western formal

Delegates must ensure that the attire they wear is presentable


and respectable to everyone.
Conference Policy
6. Water bottles shall not be provided during the conference as
we follow a Bring Your Own Bottle (BYOB) policy. The
Organizing Committee (OC) members present in respective
committees shall assist you in filling your water bottles whenever
required.

7. Lunch shall be provided on all three days of the conference.


Snacks shall be provided during the Break and High Tea.

8. Delegates should note that the QR codes (for lunch and high
tea) sent through the registered Mail ID are personalized and are
useable only once. Hence it is requested that each delegate use
the QR code that is assigned to them.

9. The Secretariat, the Organizing Committee or any member of


the conference shall not be responsible for any instance of theft
or loss of valuables.

10. Harassment/misbehavior in any form towards any delegate,


OC member, fellow delegate, faculties, management, or the
Secretariat will not be tolerated and bring upon disciplinary
action.
Conference Policy
11. Any costs incurred outside the ambit of the conference
which would include but not be limited to the room services in
the accommodation, dining, etc, the liability for the same will not
fall upon the secretariat of the conference.

12. Decisions with respect to awards shall be decided by the


Executive Board and are final and binding. Grievances or
contentions with regard to awards can be brought to the notice
of the Secretariat and shall be addressed and sorted out in an
orderly manner.

13. It is mandatory for all delegates to bring any one proof of


identity (college ID cards, Aadhaar cards, etc.). This is essential for
into the university along with the registration process.

14. Possession and Consumption of prohibited items (inclusive of


but not limited to cigarettes, alcohol, narcotics, etc.,) are strictly
prohibited on the university campus during the course of the
conference. The possession of the same will be viewed as a
violation of the conference policy and the delegate shall be
accountable to the administration of VIT University, Chennai.

14. VIT University follows a very strict professional code of
conduct inside its premises. We hope that everyone can fully
uphold this.
