Pre-conference Preparatory Guide

HMUN India will return with its 9th session this year. We hope you are geared up for the conference and hope your
preparation is going well. Hosting over 1,400 high school delegates each year, HMUN India is the biggest and most
esteemed conference of its sort in India. It is a community that brings delegates from over twelve nations together, to
comprehend a portion of the world's most overwhelming issues.

HMUN India is much more than a four-day conference. It is an open forum for students to discuss real world issues
and challenges world leaders face and to discuss and debate the possible solutions to come to a final resolution.
Delegates will build upon their skill of working with other people who are similarly provoked and enthusiastic about
the points of discussion and to react to worldwide concerns.

While we await your arrival at the conference, we have outlined a few important information in this document
for you to be prepared in the best way possible!

Hotel Check-in

Ensure to carry a Government issues ID card for the check-in process at the respective hotels along with your school
ID cards. In case of any queries regarding the hotel check-in process, please feel free to get in touch with the respective
hotel point of contacts mentioned on the website or the Conference Team for queries related to Novotel. The rooms
will be arranged as per the rooms booked in advance.
Please note that early check-in will be available subject to room availability at the respective hotels.

Pick Ups on Arrival

Transportation for pickup service on arrival at Hyderabad is arranged on 14th and 15th of August from the airport,
bus stations and train stations, for all school and individual Delegates and Faculty Advisors who have booked their
accommodation at our respective partner hotels. Please note that the maximum waiting period for Delegations arriving at the
airport will be about 45 mins. The Conference Team along with the Transport Team will be available throughout for any communication
and arrangements.

For participants staying in our partner hotels apart from Novotel, the transfers between the accommodation and
HICC will be arranged by the hotel – the details of which will be communicated during the check in process.

Weather

The weather at Hyderabad is expected to be at a pleasant high of 30 degrees Celsius with a low of 23 degrees Celsius
along with slight showers. We would advise for you to pack your essentials accordingly and a raincoat/umbrella could
come in handy at times if needed!

Meals arrangement

Meals are arranged for all delegates from Dinner on 15 th August to Lunch on 18th August. Breakfast will be served at
the respective partner hotels you have confirmed for your accommodation. Snacks and tea/coffee will be arranged at
HICC during the conference breaks. Please note that the Lunch on Day 1 (15th August) will be available for only the Delegates
and FAs who have opted for it previously. On-site requests will be entertained only basis the availability at the venue for lunch.

Dress Code Policy

In simulation of the United Nations, we at HMUN India strive for professionalism in all aspects of the conference.
Delegates are expected to follow a dress code during all committee sessions and conference events. At most times,
the prevailing dress code will be Western business attire, although national attire and religious attire are also permitted.

The rules of Western business attire are as follows:


• Men must wear a suit or a formal jacket and dress pants (no jeans or cargo pants), with a dress shirt and tie.
Socks and dress shoes must be worn. Hats and caps are not allowed.
• Women must wear a dress, suit, dress slacks (no jeans) or skirt of appropriate length with a blouse or sweater.

• Social Events: No Restrictions, though at all times be sensitive to the people around you who may be from
different cultures and backgrounds. We request you to plan according to the social event. You may also
choose carry the attire you wish to wear with you for these events and get dressed in the common
washrooms of HICC if you’d like to avoid the rush hour transfers back to your hotel.

Special Needs & Allergies

In the case that you have any special health needs or conditions please make sure that you carry a sufficient supply of
required medicines for the same. Be sure to bring copies of all medical records and prescriptions, including for
eyeglasses, hearing aids etc. If you think you will need regular medical care during the conference, bring a letter from
your home doctor which includes details of the required medical treatment.

Medical Aid

You may choose to carry some regular medicine for fever, cough, common cold etc. There will be a designated Medical
Room at the conference with the availability of a Doctor throughout the day. In case of any emergency, there will also
be an ambulance stationed at HICC for all four days of the conference.

Electronics Policy

Usage of any electronic items is not allowed inside the committees (unless specifically instructed by the Committee
Director). Hence, we would suggest carrying a printed version of your position and working papers for the conference.
Printing at the conference venue is subject to charges by the hotel team.

HMUN India’s Got Talent Fair

Continuing our tradition of celebrating the talent of the delegates attending HMUN India, the annual HMUN India’s
Got Talent will be held in Hall 4 on Friday, 16th August from 8:00 pm to 10:30 pm. Delegates will showcase their
wide array of talents, and be treated to a special performance by their Directors and the Host team themselves!

Key Pointers to Performers


• The performance cannot exceed 2 minutes.
• All props and arrangements like costume, instruments, etc are to be carried by the delegates as we will not
be able to provide any.
• If any music is to be played for a performance, please give us the file in a pen drive on 15th August, 2019
at the Help Desk. We will not be able to provide any pen drive/CD/phone to play the song required.
Please ensure that the pen drive is in a working condition. You can collect your pen drive from the help
desk on 17th August, 2019.

Pre-Writing Policy

Any documents written before the conference may not be submitted to the committee staff as part of a working paper,
draft resolution, or amendment during HMUN India. The HMUN India philosophy is founded on the idea that the
best solutions are generated through debate, collaboration, and compromise, and as such, all papers presented before
a committee should reflect collaboration that occurred within that committee. All writing is expected to take place
after the start of the first committee session and be comprised of the work of more than one delegation. Members of
the committee staff have been instructed not to accept documents that do not seem as though they could have been
feasibly written during the conference, based on various criteria, including the content of the document and/or the
time at which it is submitted. Any delegates who, for whatever reason, are suspected of submitting pre-written word
will be subject to an investigation that may result in disciplinary action, up to and including notification of Faculty
Advisors, reduced consideration or ineligibility for individual or delegation awards, expulsion from the conference,
and/or disqualification from future attendance at HMUN India. Any suspicions regarding an infraction of the pre-
writing policy should be brought to the immediate attention of the committee Director.

Delegate Code of Conduct

• At HMUN India aggression and over competitive attitude is not encouraged. Any delegate recognised to be
aggressive or over competitive during the conference (In and outside committee) might be expelled from the
conference immediately.

• Each participant is legally and financially liable for the removal, defacing, or wilful damage to public or private
property.
• Any act of vandalism, destruction of property, or misuse of a facility may be a crime and will be treated as a
potential criminal violation.
• Food (including gum and candy) and beverages other than water (including those sold by the hotel) are not
permitted in any committee sessions.
• Cell phones, music players, or other wireless communications devices are not to be used during any committee
session.
• Laptops or Tablets are not to be used during a committee session (unless specifically permitted by the committee
director). They may be used outside of committee time.
• The use of tobacco products, burning of incense, possession of alcoholic beverages, and the use of legal or illegal
drugs not in accordance with a prescription is forbidden.
• Delegates at the conference are end-responsible for their assets & valuables. The conference and hotel staff will
not be responsible, Delegates can inquire at the Help Desk for lost and found belongings.
• Weapons of any kind and items that could cause injury or damage to participants and/or property are strictly
forbidden.
• No participant should be discriminated on the grounds of nationality, race, religion, age, colour, creed, ethnic
origin, physical attributes, disability, gender, gender identity or sexual orientation
• Sexual/Physical/Verbal harassment of any kind is forbidden at HMUN India.

All violations of this code of conduct are to be brought to the attention of the HMUN India Staff. Participants found
to be in violation of the above expectations will be subject to disciplinary actions at the discretion of advisors and the
HMUN India Staff including but not limited to: calls to parents/ guardians; incident report filed; participant sent
home; school policies implemented. If state or federal law is broken, HMUN India Staff will notify parent/guardian
and law enforcement and participant will be sent home. At all times the HMUN India Staff reserves the right to alter
disciplinary actions at their discretion.
