Dear all,
Please see reminders below regarding the Data Correction in FY 2024 GAA for OO1, CP and MVUC:
1. GAA 2024 Updating Forms for OO1, CP and MVUC (.xlxs file)
Important reminders:
a.) Only those projects with proposed revisions in a.) targets, b.) components and c.) type of
work shall be allowed and will be subject to evaluation of DPD for OO1, CP and MVUC.
c.) Indicate in “Supporting Docs” column the type of document scanned, example:
➢ Approved POW
➢ DED
➢ Modification
➢ Abstract of Bids
➢ Contract
➢ Certificate of Reasonableness
➢ Certificate from BQS
➢ Certification of No ROW issue
➢ Outside of the High Hazard Areas, No Build Zones, and Protected Areas
Certification
d.) Kindly follow the guidelines in updating or correcting details used in the Errata Forms.
e.) Revised details in the Updating Forms should be consistent with the revisions in the PDM
which will be submitted to PS-PD.
f.) The proposed data correction will be submitted by the Regional Office to DPD-PS through
email.
g.) Fill out the “Detailed Scope of Work” column in the Updating Forms and indicate, if there
is any, the cost percentage of the road safety facility/device. Specify the type of road safety
facility/device (e.g. streetlights, rolling barrier)
2. Guidelines in updating or correcting details used in the Errata Forms (.pdf file)
Kindly email the a.) Updating Forms (consisting only those projects with updates) and upload the
b.) Supporting Documents in Sharepoint as soon as the data is available per DEO on or
before February 20, 2024 to the following head/staff:
Thank you.

NOTE: We have observed in the previous GAA 2023 Updating Forms/ Data Corrections that there were IOs
that did not provide proper justification/technical explanation on their proposed changes/corrections. We
would like to remind you that if the submitted Data Correction is found not in order or not acceptable
as per your submitted justification, the whole file shall not be evaluated and shall be
returned to the concerned Regional Office for proper justification.
So, please input the technical justification properly for the evaluators to understand the condition of the
proposed changes/corrections in the project. Do not just input “BASED ON ACTUAL SITE CONDITION”
but rather provide a detailed explanation regarding the actual site condition like the following
examples:
EXAMPLE NO.1
- Decrease in physical target due to massive excavation of 14,477 cu.m. (soft rock including common soil)
with a maximum height of 13 meters considering a mountainous terrain.
- Design of road also requires construction of concrete lined canal and other minor drainage structures and
other miscellaneous structures such as installation of metal beam guardrails with concrete post and
application of reflectorized thermoplastic pavement markings.
EXAMPLE NO. 2
-No change in length but with change in physical target since the project considers asphalt overlay of 80
mm thick only (based on design requirement) for 2 and 4 lanes instead of 100 mm thick (4 lanes : K1489+857
- K1489+871= 0.014 km; 2 lanes : K1489+871 - K1490+000 = 0.234km). It includes Anti-Rutting Additive
(ARA) to prevent the road surface from rutting since this section is located on a highly urbanized area
especially that heavy and 10-wheeler cargo trucks are traversing this road.
- Scope of work also involves 80 mm thick asphalt overlay 2-lanes transition (length - 5m) and side transition
ramp (width 1.5 m) and inclusion of miscellaneous structures such as application of reflectorized thermoplastic
pavement markings (yellow and white) for road safety purposes.
EXAMPLE NO. 3
'-Decrease in component cost to augment the needed amount for RROW, correspondingly, decrease in
physical target, but lower unit cost since some portions of the road has lesser earthworks than anticipated.
- Design of road includes construction of gravel surface course shoulder, construction of drainage structures
with pipe culverts (RCPC) - 910mm and 1220 mm dia., removing, cleaning and re-laying of salvaged culvert
pipes and inclusion of miscellaneous structures such as installation of road signs and hazard markers
(chevron) and application of reflectorized thermoplastic pavement markings.
