Thank you for your recent purchase of a Konica Minolta Medical Imaging ImagePilot System.

This document will serve as a useful guide providing you with information you need in order to be well
prepared for your upcoming product installation.

Here you will find site requirements and product specifications as well as information that the installing
engineer will require prior to arrival at your site for installation and applications (in-service training).

Section 1 General Installation Guidelines

Identifying where you will place your ImagePilot system is obviously important. Please check the
installation site satisfies the conditions listed below:
• Install the device in a location where it is not exposed to water or floor wax.
• Install the device in a location where there is no likelihood of being adversely affected by
atmospheric pressure, temperature, humidity, drafts, dust or air containing salt, sulfur, etc.
• Install the device on a flat surface where it is free from physical shock (also avoid physical shocks
during transportation).
• Install the device in a location where chemical agents are not stored.
• Install the device in a location where no gas is generated.
• Install the device in a location where there are no electrical noise sources.
• Lay all cables so that it they can not be tripped over by the staff working around the device.
• Install the device in a location where the air inlet and outlet are not blocked.
• Install the device in a location where a minimum of 150 mm of space in front and in rear of the
ImagePilot is available.

ImagePilot Client Stations
Client stations will vary. Typically these are standard off-the-shelf desktop computers of common sizes.
If purchased through Konica Minolta, the client hardware will consist of a desktop computer and a 21”
monitor.

A maximum of 20 clients can be connected to one ImagePilot server. Additional optional licenses may be
required to connect the maximum number of clients.

If you chose to provide your own PC and monitor to be used for a client station, it must meet these
minimum requirements:

Workstation Cart – Optional


The workstation cart is solidly constructed and capable of supporting any of the CPUs and monitors of the
ImagePilot configurations. The cart features a convenient bin for cassettes, a location for the UPS, and a
sliding keyboard tray. A mouse holder provides a convenient spot to place the mouse when the system is
not in use.

Stitching Cassette – Optional The Cassette Wall Mount for Stitching is to be mounted by the site
before Installation begins in order to complete required testing.

Referral Form / Report Creation - Optional

The Imagepilot has the ability to send some information to Microsoft Office Word to allow for the creation of
referral forms and reports. The feature requires installing Microsoft Office 2007 or higher on the ImagePilot
server and each client requiring this ability. Konica Minolta does not provide Microsoft Office or any
licensing. Each facility is required to obtain their own copy of MS Office and the needed number of licenses.
It is not recommended to install MS Power Point or Outlook when installing Office.

PATIENT WORKLIST – Optional {The following explanation is based on version


1.41R01, previous versions may work differently}

The Patient worklist on the ImagePilot can be populated by different methods. Which method is best
depends on the workflow for the site.
Is only patient demographics necessary or does study information have to be populated?
ImagePilot only shows the patients for Today even if they weren't completed.
ImagePilot is Patient oriented. If a patient has multiple studies, it will only show the patient once on the
worklist.

ImagePilot can receive procedure-code from a system sending it by either DICOM Modality Worklist (MWL)
or through an HL7 message (ORM^O01).
The customer or a Technician can associate the procedure code with the study information and have it
automatically fill in certain necessary DICOM tags to send to an external PACS.
Study Code mapping is the procedure that ImagePilot uses to map the sent Procedure Code or Procedure
Description into DICOM fields for that image; Study and Series Description, Body Part, Laterality and View
position.

DICOM Modality Worklist Order Information: The ImagePilot is set to request from RIS/Broker only
patients that are scheduled for Today and that are DICOM modality CR.
a. (0008,0060) = “CR”
b. (0040, 0002) = today’s date.
c. Additionally, manually from the Search screen, a request by Patient ID can be sent.
Once the MWL is received, the patient is added to the worklist and displayed that day. The next day it
would not be displayed but retained in the ImagePilot database.
If Study Code mapping is to be implemented, we need the study information to be sent in one of the
following four places in the MWL response:
1. (0032,1064) Requested Procedure Code >0008,0100 “Code Value”
2. (0032,1060) Requested Procedure Description
3. (0040,0008) Scheduled Procedure Step >0008,0100 “Code Value”
4. (0040,0007) Scheduled Procedure Description.

HL7 Patient Worklist Information: The ImagePilot doesn’t request information from the EMR/PMS,
instead, an HL7 message is sent once a patient is registered (ADT^A04) or scheduled (SIU^S12) or a
Radiologic exam is scheduled (ORM^O01). Once the HL7 message is received, the patient is added to the
worklist and displayed that day. The next day it would not be displayed but retained in the ImagePilot
database.

NOTE: HL7 Implementation is an OPTIONAL licensed feature which requires site specific
investigation.

Importing from a CSV File: The ImagePilot has the ability to import Patient worklist from a “flat” file in csv
format. The file can be exported from an EMR/PMS that doesn’t have the ability to send HL7 messages.
A folder can be set for the ImagePilot to monitor and it will automatically convert the csv file data into
separate HL7 ADT^A04 messages and import the Patients into the worklist. Only four fields are currently
used to import for Patient Demographics (the order of the information can be changed):
1. Patient ID
2. Patient Name
3. Birthday
4. Patient’s sex

Study Code Mapping Information: For Study Code Mapping to be used on the ImagePilot, the Study
Code mapping must be supplied. This needs to include the procedure code, description, Study and Series
Description, and Body part, view, laterality.
This would then be manually inputted on the ImagePilot or a csv file can be imported into the Study Code
mapping. An example of the csv opened in a program like Excel would look like this:

In the example above, the columns are shown how they are imported into the ImagePilot. The example
shows only 3 views, but as many as needed could be implemented. The information in it comes from the
Modality Worklist Order Information or from a list of Stand Views or Protocols that the site uses.

Section 3: Remote Maintenance

What is Enhanced Remote Maintenance?


The Enhanced Remote Maintenance system utilizes a transparent piece of software that runs in the
background on the ImagePilot server. This software, when appropriate, sends an encrypted secure
message to our server, alerting us of any anomalies or potential problems with the equipment. Our
technical support department can then respond accordingly by either calling you by phone or remotely
assessing the situation via this same secure connection. For ease of implementation and quality of service,
the preferred method is the Enhanced Remote Maintenance.

The following minimum requirements must be met by the customer site:


• Internet access available to the CR system – utilizes the https security protocols (the same methods
used in on-line banking). As long as https is authorized, then our software can communicate with
us.
• DSL or faster internet access – without broadband internet access, the performance may suffer.
Appropriate DSL router or cable modem is required.
• Pre-installed network jacks for the Konica Minolta equipment.

Response Time: Should you encounter a network problem with your ImagePilot system; remote
connectivity will allow Konica Minolta’s centralized Technical support Team to access your systems
remotely in order to quickly verify the issue. If it can be resolved by technical support, this will decrease
your down time and minimize the impact on your department and patient care. If the problem cannot be
resolved remotely and requires on site service, remote access also provides the Field Service Engineer
who responds to the call with an accurate description of the problem, as well as other important
information, such as any parts that may be needed.

Use of additional network cards:

Because of the way the ImagePilot utilizes the MAC address of the system; secondary network cards
cannot be added. This includes:
1. Verizon, T-mobile, AT&T, etc… broadband wireless cards (PC cards or USB)
2. Wireless network cards 802.11a, 802.11b, 802.11g, 802.11n
3. Any additional standard network cards.

Not adhering to this will cause the ImagePilot system to stop working.

Use of VPN software:


VPN software comes from many different vendors and each software works differently. Because of this we
cannot support VPN software that is loaded directly on the ImagePilot system.
If you have the need to open up a VPN tunnel to connect to equipment at a remote location you must use a
separate router. The router can be a standard Internet router or a broadband router depending on your
need.

Section 4: Training for Your Team

End User Training Guidelines


At the completion of training, new users will be proficient in the general use of ImagePilot. It is advisable to
designate at least one person as the “super-user” who will learn the system thoroughly and become your
facility’s point person for other users questions.

Training Schedule
Your end user training will be performed sometime after installation (same day or as mutually agreed by
designed to make maximum effective use of your department staff time. Training is conducted at your site
immediately after installation and during normal business hours, using your newly installed ImagePilot.

Important Training Information


• Training is scheduled during normal business hours, Monday through Friday between the hours of
8:30AM to 5:00PM.
• Training for Monday will not be scheduled until travel arrangements have been confirmed.
• Training is not scheduled on weekends or holidays.
• Exceptions must be mutually agreed upon in writing prior to installation and may result in additional
charges.

Duration of Training
The number of hours of training will depend upon your system configuration. In most cases the Training
can be completed within a few hours depending on your staff’s current understanding of Digital
Radiography. KMMI does not provide training of the X-ray equipment.
