Scenario

Invention Associates Consulting (IAC) is a subsidiary of APP Berhad is a support and

maintenance provider especially in SAP. In IAC, there are more than 200 employees and 90%
of them are located at client sites while the remaining are located in headquarters office in
PUTRAJAYA. Because of this, the human resources department has been divided into 2
groups, one in the Project Management Office at the client site and another one in
headquarters office. This is to ensure management of employees is fast and easy.

The Human resources department and supervisor are responsible for dealing with employee
leave requests. To ensure all employees receive fair benefits, leave requests will be divided
into several types to distribute the number of days accordingly. Some of leave types may
require salary deductions while some may not. Because of this, the human resources
department is required to manage employee leave requests at his/her best benefit.

There are a number of flaws with the existing manual system. Because the whole system is
maintained by hand, the process of storing, preserving, and retrieving information is very
inconvenient and time-consuming. The data are disorganized, and it's impossible to link any
transaction or activity to a specific context. As the solution the HR LEAVE MANAGEMENT
SYSTEM is upgrading. This project is taking one year of completion. The table below shows
the activities and estimated times for the whole upgrading project of IAC. Students are
advised to answer the questions that follow based on the detailed activities and duration
provided.

Question 2

A PERT chart, also known as a pert diagram, is a tool used to schedule, organize, and map
out tasks within a project. PERT stands for program evaluation and review technique. It
provides a visual representation of a project's timeline and breaks down individual tasks. This
diagram consists of a few steps to get you from a project start date to end date. Provide the 3
advantages of PERT over CPM, in probability of completing a project in time
(10 Marks)

● In the context of uncertainty, the PERT time (Te), which is based on a three-way
estimate, is the most objective time and leads to higher levels of forecasting accuracy.
● The network serves as a platform for various parties, such as designers, contractors,
project managers, and so on, and it improves communication because everyone
involved must be aware of their respective roles and contributions.
● The network will direct attention to areas that require immediate attention, allowing
attention to be focused on the most important activities while ignoring the less
important ones. This allows management to focus on any critical tasks necessary to
complete the project on time.
● It requires project managers to carefully plan their initiatives and evaluate every factor
that influences how well they are progressing. The network analysis procedure
necessitates meticulous planning of the project from start to finish.
● It provides managers with a tool for forecasting the effects of schedule changes so that
they can be prepared to deal with them. Early detection of potential problem areas
allows for the implementation of preventive or corrective measures.
● It is possible to present a large number of facts in a very organised manner.
Individuals in different locations can quickly assess task relationships graphically for
easy evaluation and determine their contribution to overall work requirements.
● PERT is event-oriented, whereas CPM is activity-oriented. The PERT network
focuses on the beginning or end of events rather than the actual activity.
● In the CPM network, the length of time involved uncertainties are not taken into
account, whereas they are in the PERT network.
● In PERT, time and cost are unrelated, whereas the goal of CPM is to create the best
possible time-cost relationship. However, PERT has now been extended in this
direction, and the distinction between PERT and CPM is gradually fading.

Conclusion
As methodologies converge over time, distinguishing between these two project management
tools becomes more difficult. As a result, they are typically used as a single project in
projects. The primary distinction between PERT and CPM is that the former places a high
value on time; thus, reducing time reduces costs. However, in the latter case, cost
optimization is a critical component.

Question 3

When fast tracking hasn't shaved off enough time from the schedule, you should try crashing.
It is a method for adding resources to the project at the lowest potential cost. To achieve the
highest level of compression at the lowest incremental cost, cost and schedule tradeoffs are
examined.

Crashing an activity (Crashing the network): By allocating more resources to an activity, one
can shorten its completion time in the hopes that this will shorten the project's overall
completion time. However, shortening the duration of the activities on the critical path may
cause the critical path to change.

What are the 5 common reasons for crashing a project? Describe with suitable examples.
(10 Marks)

Delay in Project Schedule

● If the project is running behind schedule, you don't have many options to ensure that
it is completed on time. This is critical if you or your company is subject to fines for
unanticipated delays.

Availability of Resources

● If new resources become available, you may choose to devote more resources to a
specific project in order to complete it sooner. Depending on the circumstances,
schedule crashing may necessitate additional funding, new team members, or the use
of any other relevant extra resources

Preventing Future Delays

● When one of your projects is late, it frequently causes additional delays and interferes
with the completion of other tasks. By crashing one project, you can ensure that
several other projects are completed within the time frames specified.

Time Benefits

● While some companies may penalize you for a project delay, others may commend
you for finishing on time. If this is the case, you should calculate how much
expediting will cost and consider whether paying more will be financially beneficial
in the long run.

Additional Manpower

● Businesses frequently hire new employees or train them for specific positions. You
could occasionally hire new employees, work with them on a project until they
complete their training, and then add more workers to the project.

When a project component jeopardizes progress

● If one aspect of the project is jeopardizing the rest of the project, you may want to
consider crashing. If a work stream isn't performing well, it may be forced to take the
critical path. That may be fine, but you may also believe that the rest of the project
will be held hostage by this difficult portion of the task. One way to get out of trouble
is to rearrange your schedule around those time-consuming tasks.
