The most important section in memos is the body. Basically, the body has four main parts:
introduction, statement of facts, argument, and conclusion. Firstly, the introduction explains
issues or main ideas that are discussed in memos. Then, providing facts is a more elaborate
presentation of topics. In this case, this part identifies specific areas of interest that authors
intend to address. Moreover, writers provide arguments based on provided facts and explain
personal perspectives on topics. Finally, the conclusion may either be a summary of the main
topic or a call for action. Besides, conclusion examples may help to understand this section.
In turn, the number of paragraphs is not constant but varies depending on the purpose of
memos.
2. Make a memo about monthly meeting to the staff from the manager!
It is hereby informed you all that a meeting will be held on 10th August 2017 at Seminar hall of
our institute. The agenda of this meeting will be discussing the current activities we are doing
and the future plans for the growth of our institute. Your ideas and plans can be conveyed during
meeting. You are all requested to attend the meeting on said date without any fail.

Effective meetings have high participation, good energy, constructive collaboration, and
meaningful conversations. In short, effective meetings are those which tap into the wisdom,
expertise, and energy of the group. Effective meetings are interactive and valuable to both the
meeting leader and the meeting attendees.
Example, when the monthly Departments meeting, the meeting has been clearly scheduled, it
will start at 3 pm and will end at 5 pm. The contents of the meeting regarding the evaluation
of the work program of each division will be presented by the division heads, the presentation
uses good language, opens oneself up to suggestions, and responds well to members
questions.

Avoid writing an angry, sarcastic, or threatening letter. The person reading it probably didn’t cause
the problem, but may be very helpful in resolving it.
• State the solution you want, like a refund, repair, exchange, or store credit. Or, consider
asking the company to suggest a resolution.
• List the documents you’re enclosing, if any. Remember — only send copies, not originals.
• Let them know how to reach you.
Be reasonable
• Say how long you’ll wait for a response. Allow time for the company to take action.
• Tell them what you plan to do next: for example, report it to the Better Business Bureau or
your state attorney general or consumer protection office.
• Send your letter by certified mail, return receipt requested. Keep a copy for yourself.
• If you file your complaint online, print the screen or take a screenshot before you hit
“submit.”
