On-Site Proficiency
• The On-site Proficiency is used to maintain the capability on-site.
• Analysis will be done by all the lab technicians.
• On-Site Proficiency samples are prepared by Plant Lab Specialist and given to all lab technicians.
• Plant Lab Specialist must identify equipment to be used, prepare reagents, provide data sheets and provide any job
aids that are available for each specific test to be performed.
• Each participant that performs the On-site Proficiency should have their own samples to prevent any variation of
results.
• A deadline date to return individual results is a must to insure accuracy.
• On-site Proficiency will be done bi-periodically.
• Each study will either involve final product testing for moisture, oil and salt for two analytically similar samples or
oil quality analysis of PV & FFA for two analytically similar oil samples.
• The person in charge of conducting the On-site Proficiency will track the participant’s results to check the equipment
and the individual.
• Results should be send to Regional Proficiency Coordinator by the date that is scheduled in the On-Site Proficiency
Timetable.
• An in-depth skill audit must be completed if a participant falls out of the acceptable confidence interval.
• Participants that are on leave of absence or fail to perform the scheduled tests must be re-tested.

Proficiency Preparation

A) Required Supplies:
1) List of Participants
2) Deadline for the Test Results for participants
3) Labels for the sample pots (Description of sample, date of Proficiency, analysis required)
4) a) Two large, clean containers with lids, scoop and spatula.
b) Two clean metal containers for collecting oil sample from the line, two funnels.
5) Product or oil enough for all the participants and extra for retention as a backup.
6) Sample pots with good sealing quality
7) Grinder as outlined in the method E000 Sample Preparation

B) Sampling
• Samples should be within the normal operating parameters for the characteristic to be analysed and as close
to the specification aim as possible.
• Two samples are collected from a production line for Final Product Proficiency or from a fryer for Oil Quality
Proficiency for both samples A and B by allowing time in between collection to give similar but different
levels.

C) Sample Preparation
Finished Product
• Grind the samples using Sample Preparation Method E000 by insuring the consistency throughout the product.
• Store the ground product in a large, closed container until the entire sample has been ground.Keep the cover of
the container on in between grindings.
• After the entire sample is ground mix it well with a spatula or a scoop. The container also can be shaken from
side to side to mix.
• Completely fill an individual sample pot with enough product to run all the tests required.
• An individual pot of sample A and sample B must be prepared from each single large sample.
Oil Quality Product

• Collect the oil from fryer and fill the bottles with enough product for analysis.

D) Sample Identification:
• To obtain unbiased results, blind samples must be given to each participant.
• Keep the sample pots A and B separate.
• To assign the pots to the participants, randomly select Sample A and B for each participant.
• Distribute the samples to the each participant. Each participant will have two samples, A and
B for each type of product for Finished Product Proficiency and oil for Oil Quality
Proficiency.
• Include a results sheet with the name of the participant, instrument that should be used for the
Proficiency and any instructions needed. This information will help troubleshoot anyone
falling from the 95% confidence circle.
• A deadline date and time is a must as well as designated location to turn in the results.

E) Sample Analysis:
• Each participant must perform an analysis on each pot in duplicate using appropriate
methods and place data sheets in designated location.

Plant Lab Specialist will collect the participant’s results from a designated location. .

Proficiency Reporting:
E) Reporting Results:
• The Plant Lab Specialist will transfer the results to a worksheet making
sure all data is completed.
• The Bias Software Program will be used to plot results of sample A on X-
axis and sample B on Y-axis.
• Participants with results falling outside of the 95% confidence circle will
be identified.
• When a result falls out of the 95% confidence circle, a complete
investigation and retest is conducted.
• Results should be tracked to identify trend issues over a period of time.
• Actions should be taken to resolve any issues.

1) Youden screen of Bias Manager software is used to enter Proficiency data and
report.

2) Select ‘Youden’ and select ‘Values’ to enter the results.

3) Assigning a title to the Proficiency:
Choose ‘New’ and type in the title of the Proficiency e.g. On-Site Finished
Product Proficiency P5 2008 Moisture.
(Please note that you will have to create new title for each test to enter results
per test separately.)

4) Entering Participants: Choose ‘New Sample’ and type in participant name.
5) Enter the results of this participant for Sample A and Sample B.
6) Keep adding participants and results by choosing ‘New Sample’ until all the
participants and the results are entered.

7) Select the ‘Save’ key to save the results.
8) Once the save key has been selected the title will go blank. Select ‘Close’.

9) Creating Proficiency Report: Select ‘Youden’ and select ‘Print’ to create a report
with all the participants and the results.

10) Select the date of the data entry and pick up the Proficiency that you want to
create a report for from drop down menu.

11) The Youden Manual Radius will come up. Select “OK”

12) The Proficiency Report will include all the participants and the results that are
entered as well as statisticals of the data.

13) Creating Youden Graph: Select ‘Youden’ and select ‘Graph’ to create a
Proficiency graph.

14) Select the date of the data entry and pick up the Proficiency that you want to
create a report for from drop down menu.

15) The Youden Manual Radius will come up. Select “OK”. The Youden Graph
will appear. You can copy and paste the graph on to a report.

Editing Participants List:
Select ‘Proficiency’ from drop down list. Select ‘Edit Participants’.

Edit the list and select ‘Save’.

On-Site Proficiency Report Format
To have consistency across the Proficiency Programme, the format of Regional
Proficiency Report should be used for On-Site Proficiency Report.

This format consists of List of Participants, results and statisticals on the left
hand side and Youden Graph on the right hand side of the page. Please see an
example below.
