COMPUTERIZED ENROLLMENT SYSTEM FOR ASIA

TECHNOLOGICAL SCHOOL OF
SCIENCE AND ARTS 2020-2021
 Background of the Study

• Information System refers to the interaction of people, data, process and

technology. It is used by the society or by an organization for the support in their
operations, management and decision-making to make transaction more simple
and easy. The activities of an information System are devoted to provide data
and information to improve the effectiveness and efficiency of different
operation of a business in an organization. One classification of an Information
System is Transaction Process System that handles or records day to day
transaction of a business. A Computerized Enrollment System is a Computer
generated process which can support the operation and management of a
school. This is designed for recording, verifying and processing student's
information who registers on a particular institution.
Enrollment systems, whether manual or automated involve a process of entering
and verifying students' information that enables a student to be officially enrolled
to a particular school. However, doing manual procedure or method may
oftentimes cause errors or mistakes on data and information which are being
processed. Thus, an Online Integrated Enrollment System is one of the best ways
that can decrease the workload and provide accurate and efficient information
needed by the school. Perhaps this is one reason why many schools and universities
all over the country and even globally uses automated information system.
Enrollment System tends to reduce papersed in any transaction easier and faster. It
is also tends to reduce the amount of manpower needed and to process any
transaction in regards to enrollment transaction.Despite of helpful services
provided by an enrollment system, there are still many institutions that used
manual procedures like Asia Tethnological Schoot of Science and Arts in their
school, they manually do the encoding of students information and listing and
checking of students' requiremnts. This resulted in lot of difficulties that they
encountered in handling the transactions leading to more serious problems like
unreliable records of the students and data loss. The manual procedure also takes
so much time and effort thus bringing lots of wasted time and more workload for
the personnel in charge and for the students enrolling. To address the above
problems, the developers developed computerized enrollment system. This system
is capable of providing a fast-paced enrollment processes resulting to a better
enrollment transaction not only for the part of staff but also for the students.
 Statement of the Problem

The main objective of this study is to develop a

Computerized Enrollment System which can be
useful for the school cashier personnel, parents and
enrollees. The purpose of this study is to answer the
following questions.

How to Develop and Implement Computerized Enrollment System For Asia

Technological School For Science and Arts?

To provide Asia Technological School For Science and Arts an easy access to
submit requirements and collect the information gather through the
Computerized Enrollment System. The system contains storing information and
monitoring the submitted requirements by using flexible programming software of
computer technology. Moreover, using the Computerized Enrollment System
doesn’t consumed a lot of time than the manual enrollment system. And specially
the Computerized Enrollment System have a list of requirements to avoid
confusion or to avoid further problems with each student who asks, using this
system will not be difficult for workers of Asia Technological school for Science and
Arts will no longer have difficulty handling large numbers for enrollment and here
is the easiest way to avoid consuming long time because the system does not need
much process.

1.Who is the beneficiary of the system?

of Science and Arts.
2. How to reduce time consumption when it comes to
recording the data of the students?

The school cashier personnel, parents, and students

experiences how much time it takes just to fill down
informations and finding or looking up students records. The
developers made a system that can help to record and
compile the students data with a less of time compared on
manually filling up of printed forms. The Enrollment System
is used especially to make the cashier personnel's work and
the enrollment to process faster. The system layout is easy to
understand for the user to adapt quickly how system works
without having trouble in order to help the procedure to
consumed less time.
3. How to provide a system that can secure all of the
student's records and informations?

The Asia Technological School of Science and Arts

office collects informations of the students that are
unsafe and risky. The informations of the students
intended to be secured by the user or rather the
administrator. The students records can be stolen by
someone with malicious intent. If the administrator
cannot keep the records safe, there is a possibility of
losing them. The institution is required to used a
protected computer system which required passwords
and security that can secure all of the informations of
the students.
4. How can the cashier personnel of the school manage
the students data?

Organizing the students data wouldn't be more hassle

as usual, using the Enrollment system is much easier
instead of having few folder compilations in the school
office. The computerized system has a database that also
known as the storage of the system where the data of the
students will be stored and keeps the informations. The
developers manage to made the project optimized,
assuring the system can be used as a basic tool that is not
difficult to access by anyone.
5. How the system generates timely information about the student?

Information System is one of the key systems for facilitating the

management and development of Higher Education Institutions. Its use
for academic decision-making purposes as well as other academic tasks is
crucial.These software systems enable educational institutions to
supervise student-related activities such as enrollment procedure,
including full details of the student, particulars of everyday school
attendance, and all other institution-related activities; in short, they
provide a complete student records system. They are designed with
diverse application potentials ranging from simple management of
students’ records at school to management of all student-related
functions as well as administrative functions of a university or a chain of
educational establishments.
