Communication:A Process
• The Communication is a two-way process
wherein the message in the form of

• thoughts,
• feelings,
• opinions
• is transmitted between two or more persons
with the intent of creating a shared
understanding

Communication
Communication is a process by which information
is exchanged between individuals
through:
a common system of symbols
& signs of behavior.
The term communication is derived from the Latin
word “Communis” which means to share.

• The communication is a dynamic process that


begins with the conceptualizing of ideas by the
sender
• who then transmits the message through a
channel to the receiver,
• who in turn gives the feedback in the form of
some message or signal within the given time
frame.

• The processes are: 1. Sender 2. Transmission

• Sender: Communication starts with the
sender, who is the initiator of the message.
• After generating an idea, the sender encodes it
in a way that can be comprehended by the
receiver.

Different Stages
• What are the different stages in communication process?
• Sender: The person who wants to communicate.
• Message: The information the sender wishes to communicate.
• Encoding: How the message is to be communicated e.g. ...
• Channel: How the message is sent e.g. ...
• Receiver: The person to whom the sender sends the message.
• Decoding: How the receiver understands or interprets the
message.

SENDER
• The communication process consists of
several components. Let's take a look.
• A sender is the party that sends a message.
Lindsey, of course, will be the sender. She'll
also need the message, which is the
information to be conveyed. Lindsey will also
need to encode her message, which is
transforming her thoughts of the information
to be conveyed into a form that can be sent,
such as words.

Ideation

•  It refers to the formation of the idea or selection of a message to be


communicated.
• The scope of ‘ideation’ is generally determined by the sender’s
knowledge, experiences, and abilities, as well as the purpose of
communication and the context of the communicative situation.
• Ideation may consist of finding and selecting a subject or general
topic, looking for ideas and thoughts, and deciding the type, scope,
and source of information.

Channel of Communication
• A channel of communication must also be selected,
which is the manner in which the message is sent.
• A channel is a medium through which a message is sent
or received between two or more people.
• • While selecting channels of communication, several
factors must be considered:
• availability of channels , purpose, suitability, types
of receivers, types of message, preference of sender
& receivers, communication skills of the sender,
cost, etc

• Channels of communication include
speaking, writing, video transmission,
audio transmission, electronic
transmission through emails, text
messages and faxes
• And even nonverbal communication,
such as body language
• Lindsey also needs to know the target of
her communication. This party is called
the receiver.

Receiver
• The receiver must be able to decode the
message,
• which means mentally processing the
message into understanding. If you can't
decode, the message fails.
• For example, sending a message in a
foreign language that is not understood
by the receiver probably will result in
decoding failure.

Encoding

• It is the process of changing the


information into some form of logical and
coded message.
• The encoding process is based on the
purpose of communication and the relation
between the sender and the receiver.

Transmission
• It refers to the flow of message over the chosen
channel.

• Transmission confirms the medium selected


during the process of encoding and keeps the
communication channel free from interference or
noise so that the message reaches the receiver
without any disturbance.

Characteristics of
communication
• Two-way process: Communication is a
two-way process because orders,
directions, instructions, guidelines, etc. are
directed or communicated down words
while suggestions, complaints, grievances,
etc. are communicated upwards.  This not
only involves giving ideas but also
receiving them.

• The extent of ideas and massages: The


communication process continues to the extent that
ideas and massages are communicated and received.

• An essential element of organization: No business


organization can exist without communication because it
is necessary to have a congenial relationship among the
employees working at different levels and that is why it is
a continuous process.

• Various mediums: It may be formal or


informal though it may be in different
mediums.
Classification of channels of Amity School of Engineering & Technology

• Visual channel: Facial expression, body language, posture,
gestures, pictures & written words, electronic mails, mass media,
etc.
• Auditory channel: Spoken words, sounds, telephone or mobile
communications, delivering audio content (radio, voicemail), etc.
• Tactile channel: Touch sensations, therapeutic touch, etc.

• Combined channel: Audiovisual media, consoling a person with


touch & spoken words.

Decoding
• It is the process of converting a message
into thoughts by translating the received
stimuli into an interpreted meaning in order
to understand the message
communicated.
• This process involves interpretation and
analysis of a message.

Feedback

• It is the last stage in the communication process. It is the


action or reaction of the receiver to the message
received from the sender.
• It helps the sender know that message was received
and understood. It is key to communication as the
effectiveness depends on how congruent a receiver’s
response is with the meaning intended by the sender.
• Based on the feedback, sender further continues the
communication process with the receiver.
