INTRODUCTION TO COMMUNICATION

Q-2 Answer the following questions in 60-80 words:-


1) Draw the communication cycle and state the important elements.
Communication is two ways process in which sender and receiver are main
factors. Sender sends the message through verbal codes and receiver receives it
and decodes the message properly. Receiver gives feedback mostly positively.
Communication Cycle includes various elements which are shown in the
following diagram.

Communication is a two way process. In a communication cycle there are five


elements:

1. Sender: A person who intends to convey or communicate his thoughts or ideas
is called the sender.
2. Message: The message is the information that you want to communicate.
3. Encoding: This is the process of transferring the information you want to
communicate into a form that can be sent and correctly decoded at the other end.
4. Channel: Message is conveyed through either verbal or non-verbal
communication or written medium.
5. Decoding: Decoding is a process in which message is understood by the
receiver.
6. Receiver: Receiver receives the idea and gives the feedback to complete the
communication cycle.
7. Feedback: Feedback is the final link in the communication through which
communication cycle is completed.

2) Write an example communication event and identify the sender, receiver,


message feedback and channel in it.
Ans.: Communication event is a process of sending and receiving information. It is
a transaction between two persons i.e. sender and receiver through a channel.
Examples:
• A tourist guide explains the importance of historic place, to the tourists. After
visiting the historic place the tourists have some questions, regarding the historic
place. The guide answers their questions in detail so that they are convinced. Here,
a communication event is completed.
Sender: Tourist guide
Receiver: Students
Message: Information about historic place
Channel: Air/sound/face to face communication
Feedback: Receiver asks the question and responses to sender
• A teacher teaches a topic in classroom with the help of diagram, chalk, board.
Then she asks some questions for evaluation. Students listen to questions and
answers properly. Here, one communication event is completed.

3) State the importance of communication skills in the Engineering industry.


There has been rapid growth in the modes of communication in the 21 st century.
The impact of globalization and other electronic gadgets is entry of multinational
companies in India. These companies require effective management and
communication skills. For effective functioning of the organizations, Multinational
companies have entered in India and most of the time the language of the
communication is English. Every organization is social system that involves
interaction among people working at different level. In addition to technical
knowledge there is necessity of proper communication skills. In order to achieve
goals of the organization, Professional industries focus on developing life sills
which generally called soft skills or communication skills among the employees
working at different level. Some of the soft skills are leadership, interpersonal
relation, problem solving conflict resolution, and communication. In Engineering
industry it is required to have command over communication skills which will be
useful and essential; for proper communication in the industry.

4) List the types of communication with example.


There are many types of communication. List of the types as follows.
Formal communication: Person working in an organization follows the rule and
norms to communicate with each other through oral or written communication is
called formal communication.eg. Teacher talks to students in the classroom.
Informal communication:Person working in an organization does not follows
the rule and norms to communicate with each other through oral or written
communication is called informal communication.eg. Two friends are talking to
each other.
Verbal communication: Any form of communication where words are used to
convey the message is known as verbal communication.
Oral Communication: Oral communication refers to speaking with help of words.
eg. Debate.
Written communication: Message when conveyed with help of written words is
written communication.eg Email.

Non-verbal communication: When communication between two or more persons
takes place without making use of word either written of oral communication is
called nan-verbal communication.
Upward Communication: When communication flows from lower level
authority to higher level authority is called upward communication.eg. Employee
speaks to his manager.
Downward Communication:A Communication flow from higher level authority
iscalled downward communication.eg President writes circular to inform
employees.
Horizontal communication: Communication takes place at the same level
authority is called horizontal communication Eg. Two teachers share their idea
each other.

Q-1 Answer the following questions in 25-30 words.


1) What is communication? Explain it with suitable examples.
The word ‘Communication’ has been derived from the Latin words, ‘Communico’
or ‘communis’ both of which means ‘to make known’,’ to make aware’, or ‘to
share’.
Thus, the word communication means sharing of information, ideas, facts,
opinions, attitudes and its understanding from one person to another.
2) Define communication.
According to W. Newman and S. Summer, “Communication is an exchange of
facts, ideas, opinions or emotions by two or more persons.”
According to Peter Little, “Communication is a process by which
information is transmitted between individuals and/or organizations so that an
understanding response results. “
Thus, communication is exchange of thoughts, messages, information or
opinion through speech, signals, writing or behavior between two or more persons
for the purpose of creating understanding in the thinking of receiver.
3) Why is oral communication essential?
Oral communication refers to speaking with help of words.it is essential because:
It saves time and money.
It is interactive and has more flexibility.
Different shades of meaning can be conveyed.

It has freedom of speech and expression.
Therefore, Oral communication is essential.
4) Explain the term ‘encoding’? Who is the encoder of the message?
It is step which converts ideas into suitable words, pictures, charts, symbol etc. for
the effective trammision of thoughts. Under this stage the sender determines the
methods of trammision so the the words and symbols, etc. be organized in a
suitable system of symbol (code of communication) sender is the encoder of the
message.
5) What is decoding? Who is the decoder of the message?
Decoding the message means to interpret the message. The process of
interpretation occurs in receiver’s mind. The sender expects the receiver to
understand the message exactly as it was supposed to. The process of translation
and interpretation of the message is called decoding. Receiver is the decoder of the
message.
