An important aspect of data communication involves
communication devices and communication software.

• A communication software is an application program used to
provide remote access to systems and exchange files and
messages in text, audio, and/or video format between different
computer users

• Common communication software are:
• 1.  Electronic mail (e-mail) – is a system where messages
are distributed by electronic means from one computer user to
one or more recipients via a network. E-mail messages are
usually encoded in ASCII text. However, you can also send
non-text files, such as graphic images and sound files, as
attachments sent in binary streams.

•  VOIP – voice over internet protocol allows for the
transmission of voice and multimedia content over internet
protocol networks. VOIP enables Web conferencing to take
place. Web Conferencing is generally used by businesses for
meetings, training events or to relay other information to
people in a remote location. Standard practice includes a
whiteboard, VoIP, screen sharing and chat. Most services offer
remote desktop control and the opportunity to record
meetings and annotate information.

•  Internet relay chat (IRC) – is an open protocol allows users to go
online at the same time and exchange text or audio messages in real
time. RC servers on the internet accept and relay messages to
connected users, each of whom is running an IRC client. The clients
all use the IRC protocol, a set of agreed upon rules for communication.
There are many separate IRC networks on the internet. Each network
has one or more servers around the world that work together to relay
messages. Each network also has many channels, sometimes called
rooms, where users can gather.

• Voicemail – an electronic communication system in which
spoken messages are recorded or digitized and stored for later
playback to the intended recipient. Voicemail systems make a
Phone System more flexible and powerful by allowing
information and messages to pass between users even when
one of them is not present. A voicemail system in a business is
essential to keep external and internal communications flowing
seamlessly and efficiently.
