THE PSYCHOLOGY OF
PERSONAL EFFECTIVENESS
1. Law of control
One way to achieve the psychology of personal
effectiveness is to always practice the law
of control over events around you i.e. if
you set out to achieve something and end
up achieving it, then you are in control.
Vice versa means you are not in control.

2. Self concept
Self confidence is a major pre-requisite.
Begin to ask yourself:
 What are you trying to do
 Build a great career?
 Why are you doing what you are doing?

 Always be affirmative

The following are some key techniques:
1. Determine your Goals and objectives
To define goals use the SMART approach. Make
them:
Specific,
Measurable,
Achievable,
Realistic
Time bound- what gets measured gets
done

2. Make detailed plans


‘He who fails to plan, plans to fail’. All
successful people are planners, they plan
over and over, on paper and this makes
things easier. Unsuccessful people do not
plan.

3. Use a To-Do List:


Always work from a list. Each week make a
plan of what to do (best done on Sundays). It
takes about 12 minutes per day to make a
list but you save 10 times to 12 times the
time it takes to make a list. Use diaries and
planners.

4. Set priorities such as: (80/20 rule)
20% of what you do accounts for 80% of your
results.
Make an ABC list of your activities.

6. What is the most valuable use of my time right


now?
Never do anything that is not the most valuable of
your time. Keep your mind focused and force
yourself to do that which is the most valuable use
of your time. Sometimes it could be to socialise,
stay with family, go to bed instead of watching
television.

7. Focus on your Key Result Areas (KRA)
These are your number one priorities; the
things you have been hired to do and the
results are being expected. Also know your
boss/ subordinate’s KRAs.

8. Concentration
Stay with whatever you observe as your top
priority task. Stay with it till it is 100%
complete.
9. Overcome Procrastination
‘Do it now’ is a great personal effectiveness
Affirmation. Break work into different
pieces, get it done and reward yourself for
it.

10. Develop Blocks of Time
Develop blocks of time when work can be
done. 3 hours of unbroken time is more than
44 days of distracted work. Use ‘do not
disturb’ sign to create unbroken time while
working. The best times are:
 1 hour first thing in the morning
 1 hour during break period
 1 hour after close of work

11.Control Interactions
e.g. Use ‘do not disturb signs’, and stand up
when an unwanted visitor walks in, meet
unexpected visitors outside the office e.g.
conference room.
12. Control of Telephone Calls
Have all calls screened and have a call back
time.

13. Effective meetings
Run meetings as investments as meetings nave
cost (up to N13,000 – N65,000 or more): ask
yourself why you are spending this money.
Spend only 25-50 minutes in meetings.
According to Peter Drucker, anything more
than 25% of managerial time in meeting is a
waste.

14. Batch your Tasks
You gain a learning curve of 80% when you do
things that are alike. You can save time
when you batch your phone calls,
correspondence etc. And do them at once.
15. Reading Materials
Read newspapers speedily, read top priorities
in magazines using the table of contents, in
books, read only critical chapters.

16. Organize workspace
Put things in files and always have one thing in
front of you. Finish this before starting a
fresh task.

Delegate the right tasks to the right persons.

18. Balance and Moderation

Maintain good health – rest, eat the right food


and exercise. Pay attention to your
relationships – people you care about and
people who care about you. (spouse,
children, family)

individual behaves. These include:
 Nurture: Inherited traits from parents
 Nature: The social, political, economic
factors.
 Educational qualification/Status
 Past experience

PERSONALITY TYPES
1. Introvert
A person who is more interested in his or her
own thoughts and feelings than in things
outside him/herself, and is often shy and
reserved.
To communicate effectively,
Give room for listening, use questions (let your
questions be open and reflective, to
ascertain their point of view). Use
summarizing skills to move the
conversation towards something conclusive.

2. Extrovert
A lively and cheerful person who likes to be
with others and to attract attention.
To communicate effectively,
Show genuine interest in the discussion. Be
attentive at every point of the conversation.
If facts about the issue could be helpful,
have them handy! Seek clarity and
conciseness to enhance your decision making
process and solicit for feedbacks

1. Behaving Naturally
Instinctive mode of behaviour are behavioural
patterns that are:
 Self protective
 Emotion satisfying
 Conflict generating
 Detrimental to the goals of the organisation

A more constructive behaviour would lead to:
 Cooperation

UNDERSTANDING NEEDS
1. Prioritizing Needs
In order to understand needs, you must prioritize the needs
of the individual. The five stage hierarchy of needs are:
 Basic needs
 Security
 Esteem/recognition
 Self Actualisation
Note that the provision of basic needs (food, shelter &
clothing) does not give satisfaction.
 Aspire to provide higher level needs such as
responsibility, progress and personal growth of staff
 Say ‘well done’ to make people feel their contribution
is appreciated.

2. Learn to Listen
 Give staff ample opportunity to express their
feeling irrespective of their personality type
 Ask open ended questions that encourage
total honesty
 Don’t assume you know keep asking
questions
 Practise reading people’s body language, it
often time suggests the state of mind.

3. Communicate clearly
 Encourage communication irrespective of the
status of the employee.
 Cut bureaucracy. This could impede the
effective flow of communication, and cause
some inefficiency in the system
 Maintain physical contact at times rather
than using the phone
 Ensure you understand, don’t assume you do

4. Team Efficiency
Teams are effective when people learn to work
together. You need to:
 Understand each group member and how
their behaviour changes within the team
 To achieve cohesive behaviour in a work
environment, team members need to
overcome defensive behaviour with one
another
 People need to be comfortable to work well
together.

One of the best approaches to enhancing
interpersonal skills, minimizing conflicts and
fostering unity in the workplace, is:
