Introduction
• Information : 
    In the dictionary, it is defined as the facts provided or learned about
something or someone.
In our context, information can be defined as the useful knowledge
communicated or gathered pertaining a particular mater or subject
• Requirements :
   These are the various materials or things that are needed to
accomplish a given task or achievement.
It can also be called a 'Necessity' to accomplish a task or achievement.
Reasons for gathering information
• Effective decision making; gathering of information also facilitates
quick and the best decision making for the project given the amount
of collected data available.
• Feedback; gathering of information helps in effecting of collection of
feedback from the team or first users of the product from the project
which facilitate correction of mistakes and bringing improvements to
the project.
Reasons for gathering information
• To acquire adequate knowledge; gathering information helps the
planner or manager collect the necessary know-hows on how to go
about the projects, minimize mistakes and save time.
• People engagement and management; gathering information helps
keep the team active and involved in the progress of the project. This
widens the scope of the data to rely on during the development of
the project.
• Solution in requirements gathering; gathering information facilitates
the identification of the materials that are necessary for the specific
project and at all the project's stages.
Techniques of gathering information
There are various techniques of gathering information on projects or in
project planning, and these are;

4. Special discussions
5. Interviews

Techniques of gathering information
1. Team meetings;
As the point suggests, team meetings are organized gatherings by the
team members to discuss and bring together facts and knowledge on
the different assignments that were assigned to them pertaining the
progress of the project.
The meetings can be organized on a  daily or weekly basis depending
on the agreement between the parties and they can address the status
of the project, discuss the short-term challenges in schedule and
project budgets, etc.
Techniques of gathering information
2.Interview. Interview is common technique used for gather data or
information. In this technique interviewer conduct a meeting with interviewee.
Interviews questions should be according to the interviewee’s level. Gather
information according to his/her requirement. Questions should be open ended
however; interviewee can provide clear answer of your question.
3.Questionnaires. Questionnaire is best technique for gathering information. In
this technique questions are listed in paper. Questions are filled by the
stakeholders and get the answer of these questions. In this technique
stakeholders cannot express their idea. No new dimension can defined.
Questionnaire type focused on the limited information eliminated unnecessary
information.
Techniques of gathering information
4 Brainstorming. Brainstorming technique is group discussion in which
members shares their ideas and find out the solution of specific
problem. Brainstorming generates or gathers new ideas rather than its
quality. This technique is more popular because of it is a group activity
all the members share own idea. It is more productive for the reason
that groups. When members generate idea it is more valuable as of
group product and members enjoy the group activity.
5.Storyboard. In this technique user, customer and developers draw
picture of what they want to develop software.

6.   Customer meeting;
By conducting weekly formal status meetings with the customer, you
can provide the customer with necessary information as well as receive
useful project information from the customer. At the end of such
meetings, a project information document is to be produced to record
disseminated and gathered data as well as to update the status report
and review all the changes accepted for verification.

7.   Templates;
In this technique of gathering information where the team members
are provided with fill-in-the-blank templates as a guiding tool to answer
specific questions and suggest possible solutions to the project at hand.
The templates should contain descriptions of standard procedures and
steps to be taken to ensure proper project execution and timely
delivery.

8.   Special discussions;
Sometimes making records on projects is insufficient for effective
project planning. Special discussions in the form of interviewing and
face-to-face meetings allow making the project more sustainable.
Special discussions within the information management process will
help build effective communications between project participants.
Reasons for gathering information

• Acquire adequate knowledge. i.e. it helps managers to get more


knowledge about the project which reduces mistakes made.
• People engagement and management. This helps to get best out of users
to understand the process through learning from existing application by
looking at functions by using One to one or team meetings.
• Politics/insecurities. It helps to get knowledge about insecurities which
may affect the project and how to control it's influence.
• Solution in requirement gathering. It helps to identify the people's
problems and their needs which helps in looking for the solutions to meet
their expectations.

• Feedback. This is the key in gathering information which helps the in
the correction of mistakes made in the project.

• Incorrect Feedback.
• Reluctance Towards Sensitive Topics.

• Different Interpretations.
• Survey Fatigue.
• Lack of Accessibility.
Interviews
Advantages.
• Accurate screening. Face-to-face interviews help with more accurate screening. 
• Capture verbal and non-verbal ques. A face-to-face interview is no doubt going to capture
verbal and non-verbal ques, but this method also affords the capture of non-verbal ques including
body language, which can indicate a level of discomfort with the questions.
• Keep focus. The interviewer is the one that has control over the interview and can keep the
interviewee focused and on track to completion. 
• Capture emotions and behaviors. Face-to-face interviews can no doubt capture an interviewee’s
emotions and behaviors.
Interviews
Disadvantages.
• Cost. Cost is a major disadvantage for face-to-face interviews. They require a staff of people to
conduct the interviews, which means there will be personnel costs.
• Quality of data by interviewer. The quality of data you receive will often depend on the ability
of the interviewer. Some people have the natural ability to conduct an interview and gather data
well.
• Manual data entry. If the interview is administered on paper, the data collected will need to be
entered manually, or scanned, if a scannable interview questionnaire is created.
• Limit sample size. The size of the sample is limited to the size of your interviewing staff, the area
in which the interviews are conducted, and the number of qualified respondents within that area.
Brainstorming
Advantages.
• You don't have to be a highly qualified expert or highly paid consultant
to use it
• Easy to understand - it's not a complicated technique
• It is inexpensive
• If controlled properly it is a quick way of generating ideas
• Encourages creative thinking and thinking "out of the box"
• Generates ideas and solutions that can be used elsewhere
• Provides an opportunity for widespread participation and involvement
Brainstorming
Disadvantages.
• Can take too much time if the group is not properly
controlled and is allowed to run for too long
• Raising expectations of the brainstorming group by
considering ideas that will never be implemented
