MANAGEMENT.
INTRODUCTION
Bio specimens, vaccines, biochemical reagents and foods are often vulnerable to temperature
fluctuations that can cause catastrophic impact in medical facilities. Medical products can easily
become less effective, totally ineffective or even dangerous when exposed to unacceptable
environments. Current guidelines suggest that hospital staff record the temperature of the storage
conditions daily.
Dedicating staff time to manual record keeping is not only limited by staff working hours but can also
remain open to human error which in the long run costs time, money and to a large extent the life of
many patients
Since hospital staff are under increasing time pressure, it makes sense to ease the stress by removing
general manual reporting from day-to-day duties. This can be achieved by a digital temperature
monitoring and recording system.
PROBLEM STATEMENT

Staff efficiency is key in hospitals and medical facilities. With so much consistently happening all at
once there is little time for manually recording data. Not to mention the sheer number of items
usually needing to be monitored. Logging items daily to ensure proper temperature can bring
productivity to a halt.
Therefore, this project is to reduce the workload of the staff and ensuring accurate temperature
monitoring in cold storage 24/7.

SPECIFIC OBJECTIVES

• Design a prototype
• To develop a software that will help in capturing and recording the monitored temperatures.
• Research more about how temperature affects the thrive and survival of viruses and bacteria
and other micro organisms.
LITERATURE REVIEW
When the poor state of healthcare in some African regions is discussed, it is often in the context
of the lack of easy access to advanced automations and complex lifesaving procedures. While
these concerns are valid, they often occlude, or minimize, the importance of certain basic-yet-
essential indices such as body temperature and improper storage of medications, food for
patient care, biochemical and bio specimens among others.
Temperature dictates the ability of viruses, bacteria and fungal spores to not only survive but to
thrive as well, so temperature control in hospitals is important due to the frequency and
transmission of these. Exposure is hazardous for all such organisms during their journey
between hosts. Factors such as temperature, humidity, light and even pollutants can inactivate
free-floating, airborne infectious organisms. Temperature is one of the most important factors
affecting virus survival, as it can affect the state of viral proteins and the virus genome.
Hospitals and other medical facilities are responsible for storing and administering medications,
food for patient care, maintaining the integrity of samples, and much more. They need to do this
all both efficiently and while holding to strict standards and guidelines.
RESEARCH GAP

Remotely monitoring and recording the temperature for cold storage in medical facilities is essential
though it is ineffective. Sometimes staff are too busy and forget to put temperature monitoring in
consideration. This gives room for error in the temperature monitoring system.
Often, slight changes in temperatures for cold storage can compromise the safety of drugs, food for
patient care, biochemical, vaccines and bio specimens which is a threat to the patients.
Our wireless system is specifically designed to eliminate faulty and inconsistent manual temperature
recordings through a continuous wireless temperature monitoring solution for cold storage and keeps
real time data for easy management of medical consumables that require specifically cold storage.
SIGNIFICANCE

• This system will ensure accurate records of the temperature in cold storages
• This system aims at improving staff efficiency by eliminating the time spent on manual
temperature check ups and recording
• This system will also help to maintain the integrity of bio specimens, vaccines, biochemical
reagents and foods.
JUSTIFICATION

• The project looks at employing advanced technology for improvement in cold storages in
hospitals, this is the way to save lives
• The project gives an overview of the effect of poor temperature monitoring for cold storage
in hospitals.
• The project has clearly identified a research gap in the health care services in our country and
hence inspires improvement.
SCOPE OF THE PROJECT

• This project is likely to take a period of 4-5 months to fully develop a prototype ready for
use.
• project is to be made in Uganda though made available for international market especially in
African countries where the challenge of poor temperature monitoring system is experienced.
METHODOLOGY

• The proposed system consists of many beacons which are wirelessly sending the measured
temperature data, and the central monitoring computer which allows the user to monitor that
data. In the case of wireless signals getting blocked due to obstacles, repeaters called bridges
send the data to the central computer forming a scatter net. Once the data is received by the
Bluetooth module connected to the monitoring computer, an application saves the data into a
database. This web application forms a website where the users holding the authentication
information can log in and monitor the temperature data in the form of tables and graphs.
The same information can be viewed by a smartphone and a person in charge receives a
warning SMS message. This system also provides a scheduled backup system where the
database is automatically backed up periodically

CONCLUSION

Hospital environments require secure, 24/7 monitoring to maintain drugs, vaccines,


blood/tissues, and critical medical equipment within specified temperature and humidity ranges.
Variations in temperature readings, even the smallest, can make the difference between life-
saving medications and pharmaceuticals. Therefore, we believe this system will provide an
accurate 24/7 monitoring and record of temperature variations at any specific time. This would
enable the staff to know what is still safe for patient’s consumption and what is not, which
sample is still okay for examination and what is not.
