Introduction and Overview

• This tutorial has been designed to guide you through


building an effective PowerPoint presentation that is
compliant with the BG Visual Identity Standards
• For further information please contact either the Brand
Communications team in TVP or your local PCA

Getting started

• All BG presentations must use the official BG template


• The appropriate logo must be selected when creating
the presentation from the template
• Three options of title page are available depending on
the audience:

– Text only (no images)

– Text and generic images


(images supplied)

– Text with provision for images


(allows insertion of images)

Presentation tips

• It is important to keep a viewer interested


– If they are reading they are not listening, so . . .

• Keep words to a minimum


– 40 words per slide should suffice

• Where possible use visuals, such as charts, images or


photography instead of text

Using colour

• The next slide demonstrates the main colours to be


used in any presentation
• The primary and secondary BG colour palettes should
always be used first before the tertiary palette colours
• For ease of use, the primary and secondary BG
palettes are already set up in the PowerPoint colour
palette and default user colours
• Whilst the tertiary palette is available in the default
user colours, it should only be used in charts when
additional colours are required

Building a title slide

• To ensure use of the correct logo, font sizes and


colours, the title slide details should be entered via the
form presented when the presentation is created
• As well as logo selection, there are editable fields for:
– Title
– Subtitle
– Date
◦ The default date is set to today’s date in the BG date format
(e.g. 1 August 2008). This should be changed to the date the
presentation is to be given but the format of the date must be
preserved
– Speaker’s name

Using images on the title slide

• Two title slide options contain photography. Option 1


has images supplied and the other allows insertion of
images
• Images can be inserted in one of two formats
• The image sizes, in pixels, are shown against each:
– A single full width image (2000 wide x 867 high)
– Three equally sized images abutted (i.e. no gap between
them) (667 wide x 867 high)

How to insert an image to the title slide

• To add a title slide image click:


– BG Tools > Insert Library Image
• This displays folders containing
images for the title page
• When using other images they should
be cropped and resized to the specified
dimensions and be at least 96dpi
• To maintain brand consistency please refer to the BG
Visual Identity Standards for appropriate on-brand
images. If you are in any doubt please check with the
Brand Communications team

How to insert an image to the title slide

• To resize and position a


correctly proportioned title
slide image select the image
and then select the
appropriate command
• For a full width image use:
– BG Tools >
Image > Title - full
• For abutted third width
images use:
– ‘Title – left’,
– ‘Title – centre’
– ‘Title – right’

Creating text slides - layout

• The default slide layout is text only


• You can choose others by clicking:
– Format > Slide Layout
• This option can be used on a finished slide to re-
establish formatting, this is useful when a formatting
error is made on a slide
• The slide must be viewed to do this

• When text, charts, images


and photography are mixed
the BG house style is to have
text on the left and charts,
images and photography on
the right

Text slides - colours

• The template defines the colours used in slides and


these should not be changed
• The background of slides is white
• Titles on slides are in black font
• Sub Headers are also in black font
• Footer bars are black with white font
• Only BG brand colours are permitted in slides, no
other colours can be used

Text slides – font sizes

• The ‘title’ is 24 points, black, bold and on a single line


• Bullet point are black, 24 points
– First indent 20 points
◦ Second indent 18 points
▪ Third indent 16 points
· Forth indent 16 points
• If a sub header is used it must be created by clicking:
– BG Tools > Sub Header
• The sub header is black, 18 points

• If a footer is used it must be created by clicking:


– BG Tools > Footer
• The footer text is white, 20 points

Text slides – content tips

• To ensure the slide can be read


– Please limit content to four to six bullets per page
– Keep to a maximum of eight to ten lines of copy
– If necessary, split text across more than one slide
• A graphic, arrow, shape or text box may be added to
support a point
• This can be done with the drawing tool bar
• To turn on the drawing tool bar click:
– View > Toolbars > Drawing

Graphics and other text boxes – design tip

• Imported images should have a minimum of 96 dpi


and be appropriately sized for use within the
presentation
• If the visual is not clear in ‘View show’ mode it should
be replaced with a another version or removed
• Photos should be in JPEG format (*.jpg)
• Graphics should be either Windows Meta File (*.wmf)
or Windows Enhanced Meta File (*.emf) format to
ensure they can be scaled

Using images on a text slide

• To add a Library Image to a slide click:


– BG Tools > Insert Library Image
• This displays folders containing images for slides
• For text slides using images only
– There are two approved formats
– The image sizes, in pixels, are shown against each:
– A single full width image (2000 wide x 1150 high)
– Three equally sized images abutted (667 wide x 1150 high)
• Other images should be cropped and resized to the
required dimensions and be at least 96dpi
• To maintain brand consistency refer to the BG Visual
Identity Standards for appropriate on-brand images

How to insert an image to a slide

• To resize and position a


correctly proportioned slide
image:
– select the image and then
select the appropriate command
• For a full width image use:
– BG Tools > Image > Slide - full
• For abutted third width images
use:
– ‘Slide – left’,
– ‘Slide – centre’
– ‘Slide – right’
• For an image on the right hand
side of a slide:
– ‘Image within slide – right’

Importing charts

• Charts can be created directly in PowerPoint or they


can be imported from another PowerPoint
presentation, Word or Excel
• When creating a chart the colours from the BG colour
palettes must be applied
• To select the required colour double click the element
(bar, wedge etc) on the chart
• From the ‘Colors and Lines’ box choose:
– Color > More Fill Colors

Importing charts

• Select the content you wish to import from your source


document and click:
– Edit > Copy
• Switch to the slide in your PowerPoint presentation
where you want to insert the content
• From the menu bar click:
– Edit > Paste Special
