What is Microsoft Excel?
 It is a SPREADSHEET program developed by
Microsoft for windows, macOS, Android, and iOS.
 Itfeatures calculations, graphing tools, pivot tables, and
a macro programming language called Visual Basic for
Applications (VBA).
 Ithas been a very widely applied spreadsheet for these
platforms, especially since version 5 in 1993, and it has
replaced Lotus 1-2-3 as the industry standard for
spreadsheets.
 Excel forms part of the Microsoft Office suit of
software.
Early History
 Microsoft originally marketed a spreadsheet program called
MULTIPLAN in 1982.
 Microsoft released the first version of Excel for the Macintosh on
SEPTEMBER 30, 1985 and the first WINDOWS version was 2.05 (to
synchronize with the Macintosh version 2.2) in NOVEMBER 1987.
 Microsoft maintained its advantage with regular new releases, every two
years or so.
 Later versions of Excel featured significant upgrades such as tool
bars, outlining, drawing, 3D charts, numerous shortcuts, and more
automated features.
Early History
 In 1995, Microsoft changed Excel’s naming system to emphasize
the primary year of the product’s release. Excel 95 was designed
for the latest 32-bit computers that used the Intel Corporation’s 386
microprocessor.
 New editions appeared in 1997 (Excel 97) and 1999 (Excel 2000).
 In 2003, Excel 2002 was released as part of the Office XP suite
and included a significant new feature that allowed users to
recover Excel data in the event of a computer crash.
 Excel 2007 featured a redesigned interface, sharing features with
the Microsoft products Word and Powerpoint and allowing users to
move smoothly between these applications. In addition, chart
making, data sharing, security, formula writing, sorting, and
filtering were improved.
USES OF MICROSOFT EXCEL
1. ANALYZING AND STORING DATA

- One of the best uses of MS Excel is that you can analyze larger
amounts of data to discover trends. With the help of graphs and
charts, you can summarize the data and store it in an organized way
so that whenever you want to see that data then you can easily see
it. It becomes easier for you to store data and it will definitely save
a lot of time for you. Once the data is stored in a systematic way, it
can be used easily for multiple purposes.
USES OF MICROSOFT EXCEL
2. Excel tools make your work easier
- There are so many tools of MS Excel that make your work
extremely easy and save your time as well. There are many
wonderful tools for sorting, filtering and searching which all more
make your work easy. If you will combine these tools with tables,
pivot tables etc. then you will be able to finish your work in much
less time. Multiple elements can be searched easily from large
amounts of data to help solve a lot of problems and questions.
USES OF MICROSOFT EXCEL
3. Data recovery and spreadsheets
- Another best use of MS Excel is that if your data gets lost then
you can recover it without much inconvenience.
Suppose, there is a businessman who has stored his important data
in MS Excel and somehow it gets lost or the file gets damaged then
he must not worry as with the new MS Excel XML format can
restore the lost or damaged file data.
USES OF MICROSOFT EXCEL
4. Mathematical formulas of MS Excel make things easier
- Next best use of MS Excel is that it makes easy for you to solve
complex mathematical problems in a much simpler way without
much manual effort. There are so many formulas in MS Excel and
by using these formulas you can implement lots of operations like
finding the sum, average, etc. on a large amount of data all at once.
Therefore, people use MS Excel whenever they have to solve
complex mathematical problems or they need to apply simple
mathematical functions on tables containing larger data.
USES OF MICROSOFT EXCEL

5. Security
- The chief use of MS Excel is that it provides
security for excel files so people can keep their files
safe. All the files of MS Excel can be kept
password-protected through visual basic
programming or directly within the excel file.
USES OF MICROSOFT EXCEL
6. Add sophistication to data presentation
- Next best use of MS Excel is that it makes easy for you to solve
complex mathematical problems in a much simpler way without
much manual effort. There are so many formulas in MS Excel and
by using these formulas you can implement lots of operations like
finding the sum, average, etc. on a large amount of data all at once.

will not have to waste your time in searching for the files. So, it
will save your time ad whenever need be, you can look up the
categorized and sorted data easily.
USES OF MICROSOFT EXCEL
9. Helps businessmen in developing future strategy
You can represent data in the form of charts and graphs so it can
help in identifying different trends. With the help of MS Excel,
trend lines can be extended beyond graph and therefore, it helps
one in analyzing the trends and patterns much easier. In business, it
is very important to analyze the popularity of goods or the selling
pattern that they follow to maximize sales. MS Excel simplifies
this task and helps businessmen grow and maximize profits
through the same.
USES OF MICROSOFT EXCEL
10. Manage expenses
MS Excel helps in managing expenses. Suppose if a doctor is
earning around 50,000 per month the he will make some expenses
as well and if he wants to know how much he is exactly spending
per month then he can do it with the help of MS Excel easily. He
can write his monthly income as well as expenses in the excel
tables and then he can get to know that how much he is spending
and he can thus, control his expenses accordingly.
ADVANTAGES
 Data Organization
One of the biggest benefits of Excel is its primary function; The
ability to organize large amounts of data into orderly, logical
spreadsheets and charts. With the data organized, it’s a lot easier to
analyze and digest, especially when used to create graphs and other
visual data representations.
ADVANTAGES
 Formula and Calculation Features
Excel crunches numbers almost instantly, making batch
calculations much easier than working things out yourself with a
calculator. Depending on your understanding and skill with Excel,
the formulas and equations are used to quickly compute both
simple and complex equations using large amounts or data.
ADVANTAGES
 Third-Party Support
Excel is essentially considered the standard for spreadsheet
software and as such enjoys considerable support on a number of
platforms, including smartphones and tablets. Most other
spreadsheets programs also support importing Excel sheets into
their native formats and exporting their own spreadsheets as Excel
files.
ADVANTAGES
 Office Integration
As part of Microsoft’s Office suite, Excel works with almost every
other piece of software in Office. Excel spreadsheets can be easily
added to Word documents and Power-Point presentations to create
more visually dynamic reports or presentations.
DISADVANTAGES
 Learning Curve
While just about anymore can pick up Excel and start filling in
tables, getting the full benefit of its features takes a lot of practice.
Users unfamiliar with Excel syntax may also find entering
calculations and calling up other functions a bit frustrating until
they get a solid understanding.
DISADVANTAGES
 Calculation Errors
While Excel’s automatic calculate on functions make most large-
scale batch calculations easy, it isn’t foolproof. Excel has no means
of checking for human error data entry, which means that the
wrong information can skew all the results sometimes disastrously.
As Tim Worstall of Forbes reports, JP Morgan lost billions of
dollars due to equation error in Excel introduced by users copying
and pasting data.
DISADVANTAGES
 Time Consuming
Manually entering data into Excel can take a very long time –
especially if you have a lot of data to enter. The amount of time it
takes to manually enter data can be extremely inefficient and as
Lior Weinstein of Cogniview points out, can lead to boredom,
which leads to potentially costly inattentiveness.
DISADVANTAGES
 Cost of Entry
While there are several low or no-cost alternatives, getting genuine
Microsoft Excel isn’t free. The cloud-based version of Excel
requires a subscription to Office 365, while desktop editions have a
purchase price of over $60 as of March 2015.
