DESIGN OF A VISITOR MANAGEMENT SYSTEM

INTRODUCTION
 A visitor management system (VMS) is an evolving concept defined as a
systematic collection of visitors’ information. It is a record in digital format
that is theoretically capable of keeping track of list of visitors and their
personal details for effective service from both clients and the company.

 Visitor management is the process of tracking everyone who enters your


building or your office. A visitor may be a customer, a delivery person, a job
applicant, a contractor, a consultant, or the CEO’s third cousin twice
removed. Essentially, anyone who is not a regular full-time employee is a
visitor.
STATEMENT OF THE PROBLEM

After carefully analysis of the project , I observed that the following problems are
mainly encountered :

The present method of Visitor management at Harvarde College right now is


manual which consumes a lot of time.

From the management point of view it is difficult to deal with visitors during rush
hours with the manual system of working making the visitors to wait in long queues.

Another problem is that most of the condominiums are yet still dealing with
inaccurate manual systems
AIMS AND OBJECTIVES
The aim of the study is to design and implement a visitor information management system.
The specific objectives are;

 To design a system that will capture all staff information


 To develop a system that will record every staff visitor’s information at a particular
time.
 To implement a system that will secure visitor’s and staff data
LIMITATIONS OF THE STUDY

This study focused on the perception of Design and implementation


of an online visitor management system, using Harvarde College
as the study group. A major limitation of this work is financial
and time constraint
LITERATURE REVIEW
The VMS has its humble roots extending back to the year 2003. It was first developed as a SARS
contingency tool to provide electronic declarations and temperature-taking. Its evolution has seen it
growing into a cutting-edge technological tool that is used for security, anti-terrorism, visitor and staff
tracking and other administrative purposes such as personnel attendance.

The concept of the VMS is based on the following keystones:

 a. Making the recording and tracking of individuals as easy as possible

 b. Providing the administrative staff maximum control

 c. Reducing manual paperwork

 d. Generating useful and relevant reports in real-time


METHODOLOGY

Development of the system is accomplished by applying this series of steps iteratively to


pieces of a system. The stages involved in the UML method of object oriented analysis and
design methodology are

 Requirement Analysis

 System & Software Design

 Construction and Testing

 Integration & System Testing

 Operations & Maintenance.

SYSTEM IMPLEMETATION AND MAINTENANCE

The new system consists of different modules working together to achieve the goal of the
system.
Homepage:The homepage is the welcome page or landing page in which easily and
quickly direct the users to the place they need on the website. The homepage also serves as
interface that guides users and also making a great first impression.
ADMIN LOGIN PAGE:

The Admin login page is the page in which only the administrator whose is the security, can access

the database of various visitors information and can register new visitors.

VISITOR INFORMATION PAGE:
The visitor information page is the webpage where the visitor information such as
“purpose of visiting, time in , gender and contact information” are to be entered when
collected by the security men in charge
Security page:
The security page is the page in which consists of the names of guardians or relatives of the students or staffs in which has previously
visited. The security men at the gate are the ones in charge of the security page to view the previous data of visitors that has visited and the
new visitors that visits the student or staff.
SUMMARY
Timetable must be produced in other to take the analysis of staffs, students and in various
courses, which changes involved huge amount of work done. Creating an automated
timetable follows all the available constraints which are met.

Automated timetable is of great benefit to all higher institution, and all other educational
institution especially Tansian University, It has great advantage over manually created
timetable which involve time saving when generating the time table, the speed and so on.
RECOMMENDATION
The software developed for the implementation of this research can be used by any School. The following
recommendations are proposed:
 System backup should be carry out day-to-day if place on a central server on the school building.
 A cloud system backup is highly recommended to ensure safety of system in terms of theft or fire
outbreak.
 Every staff granted access to the system is required to sign an undertaken to protect the integrity of the
system.
CONCLUSION

Harvarde College should believe that the use of the visitor management system will
enhance the physical security at the campus buildings and also contributing to the goal of
ensuring a safe environment for the school lecturers, students and visitors. Harvarde
College’s implementation of the system will entail the collection of a minimal amount of
personally identifiable information from visitors, and will be used in order to verify the
identity of visitors.
